Job Purpose

To provide general administrative support for the Erasmus+ programme and projects. High level IT skills, including MS Office skills (particularly MS Word) are required for this role. This is a generic job description and individuals in this role may have additional specialised duties which they are required to deliver as part of their remit, and which are within the scope of the role.

Key Working Relationships and Contacts Team leaders, senior project managers and other staff within the business unit and wider company as well as developing a good working relationship with funded projects.

Principal Accountabilities/Tasks

Administrative duties:

 Maintaining an efficient electronic and hard copy filing system in support of the Erasmus+ programme  Formatting and production of high quality, professional looking European / UK / International reports, documents, brochures, diagrams, etc, including liaison with creative and design input from our Creative Team  Typing / preparing documentation (including scanning documents, preparing letters using our templates)  Organising workshops / meetings / conferences / seminars (internal and external), including checking availability of staff/clients, booking rooms using our IT system, booking travel and hotels, organising refreshments, liaising with venues and IT arrangements  Arranging postal/courier collections  Providing cover on reception when required  Helping coordinate or contribute to other activities the team is involved in, for example internal events, newsletters, marketing activities, etc.  Other administrative duties as appropriate

Programme support:

This may include:  Entering and maintaining good quality data in the E+ Link bespoke system  Undertaking tasks in support of the ‘customer journey’  Maintaining IT and office systems  Diary management  Answering helpline queries  Processing ‘Tier 5’ applications Job Description

Travel Arrangements:  Making bookings for the team through Egencia for national and international travel

Qualifications & Experience 1. Good interpersonal, communication and customer service skills. 2. Good English (written and verbal). 3. Good organisational and administrative skills with keen attention to detail. 4. Good IT skills: knowledge of MS Office – Word, Excel, Access, Powerpoint, Outlook. 5. Ability to format reports, run mail merges, prepare presentations and create spreadsheets desirable. 6. Ability to work accurately to tight deadlines. 7. Ability to work on own initiative and as part of a team. 8. Ability to check and input data accurately and efficiently. 9. Ability to work flexibly and multi-task. 10. Experience of assisting and organising events. 11. An interest in EU education and training policy would be desirable. 12. Willingness to travel occasionally throughout UK and work outside normal office hours, including occasional nights away from home would be desirable.
