Operations Support Specialist

The Position

This administrative position plays an important role in supporting the management team members and the staff who are responsible for providing leadership, management and direct services to its customers - employers and job seekers. The Administrative Support Specialist assists teams and staff by providing quality administrative work that is key to organizational performance and providing quality services.

This position performs a variety of complex administrative and technical tasks including collecting and summarizing data, managing databases and creating reports. Works on assignments for which considerable judgment and initiative are required in resolving problems and making recommendations. May determine methods and procedures on new assignments. Provides high level support to the Executive Director and the Administrative Team.

The support specialist works independently to complete projects. Must have the ability to adapt to changing priorities.

q  Work is distributed amongst support for direct service, administration, and one-stop center operations

q  Time management is coordinated through Executive Operations Manager

q  Position available at Bellingham office

Essential Functions and Responsibilities

q  Provide office management and administrative support

q  Coordinate activities; ensure smooth flow of operations and communications. Recommend improvements in work processes and office procedures

q  Maintain project schedules and monitor progress to ensure deadlines are met

q  Manage calendars; including maintaining an annual master calendar

q  Collect and summarize data for reports; coordinate report preparation

q  Word process, spreadsheet and database preparation, correspondence, internal communication (email, voicemail and messages), external communications (email) for the Executive Director as needed

q  Create and maintain files; work with data management programs (e.g. SKIES)

q  Organize and plan meetings and events

q  Manage content/updates and broker inbound messages on organization website

q  Produce flyers, brochures, reports, etc. using approved templates

q  Independently manage personal schedule including processing paperwork and participating in work teams and business meetings

q  Complete special projects and other duties as assigned

Required Skills & Knowledge:

Minimum AA degree with major coursework in business administration.

Combination of education and experience which provides:

q  Proficiency with Microsoft Office programs

q  Ability to participate as a team player with effective problem solving skills

q  Troubleshoot technology issues and forward unresolved problems for IT support

q  Exemplary written and oral communication skills and interpersonal skills

q  Excellent analytical, organizational and research skills

q  Accurately record meeting minutes

q  Ability to work independently, as well as take direction

q  Ability to multi-task and maintain focus on critical details

WORKING ENVIRONMENT AND ADDITIONAL REQUIREMENTS:

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are in addition to the essential functions and required skills:

q  This is an exempt, professional position which requires a full-time schedule. The employee is required to be present in the workplace on a regular and reliable basis. Normal business hours are Monday through Friday, 8:00 to 5:00 PM. Occasionally alternate schedule/hours as may be required to effectively execute duties of the position.

q  Valid Washington state driver license required with properly licensed and insured automobile available during work hours

q  Work is conducted primarily in an office setting and will involve some travel within the region; employee to provide own transportation, with travel reimbursed at fixed federal or actual rates.

q  The position requires a criminal background check as condition of employment

BENEFITS

Salary starts at $2,773 per month. Excellent benefit package includes paid employee medical and family dental insurance coverage, employee assistance program, long term disability insurance, paid vacation and sick leave, eleven paid holidays, and 401K retirement plan. Subsequent employment and rates of pay depend on funding.
