1)Welcome

2)Purpose of the meeting

a)To bring senior club representatives together

b)To provide an update on what’s happening

c)To seek your assistance throughout the season

4)Update on portfolios

a)Greens

i)Pre pennant greens reports are due back – this provides the lead in to greens inspections

ii)Responses due to “greens availability” to host region events

b)Match Committee

i)Region event schedule – distributed end of June

ii)Entry forms for region events posted to website mid August

iii)Draw for all events will be conducted soon after entries close

iv)Entries for men’s and women’s fours close 23/9/2012 and triples close on 30/9/2012

v)Entries should normally be emailed to secretary – however between 23/9 and 4/10 send to Graham Down

vi)Vic Men’s Regional Sides Championships – requests to be sent to clubs soon

vii)Ladies regional sides championships will; be run this season. Dfetails to be provided later

c)Umpires

i)Two sets of tutorialsconducted last year, with one set in September / October that attracted small numbers, and a second set in February / Marchwith significant numbers. So that added 40+ new or reaccredited back onto the umpires list

ii)Only one set of tutorials to be run this season –which will be scheduled in February / March 2013.

d)Coaching

i)David Hall introduced himself as the director of the coaching portfolio

ii)He’s getting a handle on what’s required to get coaches reaccredited.

iii)New coaching candidates apply to Bowls Victoria via the application form on their website. Links also available from our website

iv)David will be working with Bowls Vic to get reaccreditations moving for those who are interested – 4 coaching levels

e)Junior development squad

i)One development squad in our region – Diamond Valley Vipers.

ii)Looking for new members – not a poaching exercise, but an opportunity for younger bowlers to train and practice together. Training sessions are organised with coaches

f)Treasurer

i)Region leviessent to all clubs with funds due by 30/9/2012.

ii)Thanks to some clubs who have transferred funds early – certainly appreciate EFT deposits rather than payment via cheques.

iii)Invoices for region event entries will be emailed to clubs to designated intervals. There are 20 region events this season. Again we’d request payment of entry fees via EFT

g)Secretary

i)Email is being sent to all club contact officers, secretaries, delegates and region directors – imperative that this is made available to club members through your normal channels

ii)Yarra Reqion have a website operational -

iii)Clubs have been asked to provide a link to our website from your website. Only a few have followed up with this.

iv)Pennant cancellations – Check Bowls Vic website for cancellations on Saturdays due to extreme weather conditions or SEN news bulletins on the hour.

h)Community Development

i)Paul Holtschke, one of 16 Community Development Officers in Australia, and one of 4 in Victoria addressed the meeting. Paul has met with representatives from most of the clubs in our region, and has gathered significant data.

ii)Clubs now encouraged to complete a health check

i)Club Support

i)Graham Howard spoke about some startling drop in membership trends as well as some success stories where clubs had run programs to increase memberships. Graham will head up the Club Support portfolio and is seeking one representative from each club to address way of collectively increasing membership.

ii)Peter Spence Bowls Victoria Development Manager, spoke about an information session conducted by the Sandbelt Region at Sth Oakleigh club where 70 club representatives attended. Further details on the workshop found here

iii)Graham will write to clubs mid October seeking a club nomination for the Club Support group

5)General business

a)Betty Collins day – region to select a 5 person team in a competition to be held at North Balwyn Bowls Club on 23 March & 24 March 2013.

b)Region executive meeting – 22 October and generally monthly

c)Region delegates meetings – 12 November & 18 March 2013

d)Reward & recognition

i)Distinguished Service Awards / Super veterans

ii)Super Veterans – presentation of badges preferred at a club presentation day rather than opening days

e)Booroondara Sports Expo – 7/10/2012

f)Hurstbridge hosting a day for those with disabilities – Sunday 23/9/2012

g)Peter Spence has brought out a show bag for all clubs, which contains the pennant score cards, match reports, green speed documentation among other things. Show bags for Auburn and Hawthorn taken back to Bowls Victoria, and show bags for Ashburton and Yarra Valley will be dropped off
