1.  Revisit Elementary Report Card Procedures – Ken

Ken reviewed the electronic report card procedures with the elementary schools. Around 2 weeks before the end of the grade reporting period (mid Feb.), sites need to go into “Grade Reporting” and press button F (Create Standards Grade Reporting Table). After the last day of the reporting period and when all attendance for that reporting period has been completed, proceed to button N (Update Attendance Totals). Once the teachers have all of the grades entered, you will then be ready to print the report cards (button O).

2.  Linked Contacts to Student Home Screen – Ken

Ken showed sites how to link a student’s contacts to the front student screen.

3.  Filtering on “View All Forms” and “View All Reports”– Ken

The filter tool in “View All Forms” and “View All Reports” has changed. Just start typing a word for the form/report you are looking for. No Cursor Clicking.

4.  Networking FYI – Ken

Ken told sites that the Board has agreed to use some VPEF money to update the Network Connections at all of the sites. Elementary sites will be 33 times faster and secondary sites will be 100 times faster. Elementary sites will be getting new servers as well. Ken said that Comcast workers will begin showing up at sites sometime this Spring to get the faster connectivity ready to go by July 1st. Ken also said that the telecommunication/server rooms at all sites will now be air conditioned, locked and not available for storage purposes any longer.

5.  Student Discipline Information – Mark/Ken

Many sites are having problems creating the weekly mandated discipline reports that notify certificated staff of students that have an SSA date in the past 3 years. Ken explained that the instructions that sites have are out-dated and will only work on computers that have old configurations. Mark will find out who is responsible for running this report at each site and the technology department will then find out what computer configuration that person has. Updated instructions will then be provided for each site to enable them to create this report.

6.  CALPADS Staffing Spreadsheets – Loretta

Loretta passed out spreadsheets with staffing and course ID data for CALPADS FALL 2. Loretta asked sites to look over the data and check for errors. Please let Loretta know if any information needs to be corrected.

7.  Update on FALL 1 and FALL 2 Summary– Loretta

Loretta showed a comparison of last year’s summary report to this year’s summary report. The numbers look good and all categories are moving in the right direction.

For the “Meets UC/CSU Requirements” category, Loretta showed secondary sites how to override students that took Alg. I in 8th grade and show that they are lacking math credits. Go to “College” tab and go to the drop-down in “CRS Completer Overide” and select “Yes-This student completed a full set of UC/CSU Courses.”

8.  Other

Ken was asked to reminded sites that have students that are moving on to middle school or high school to do a simple query check to make sure next school (NS) and next grade (NG) are correct. LIST STU FN LN GR NG NS IF GR = 6

9.  Secondary Sites Only – Review Off Campus Passes– Mark/Ken

No sites are currently using the Aeries Off Campus Passes so there was no discussion.

The next Aeries Meeting will be on Tuesday, March 19th.
