KAPPA PHI GAMMA SORORITY, INC. BY-LAWS – NU CHAPTER 1. Attendance/Lateness at General Body Meetings A. One excused absence will be allowed per term. i. Unexcused absences are defined as no reasonable explanation given. ii. Excused absences are defined as: a. Exams the next day b. Medical emergency c. Work iii. An unexcused absence will result in a $20 fine. B. Lateness i. Two tardies count as one absence. It is considered tardy if Soror is more than five minutes late. ii. Sorors will be fined $5 for any meeting that the Soror is late to. C. If a Soror must leave a meeting early, she must provide the secretary with a legitimate excuse at least 24 hours in advance. D. Secretary takes attendance at every meeting. 2. Conduct at General Body Meetings A. The President shall post an agenda stating which topics will be covered during a GBM at least 24 hours before the meeting takes place. B. Business casual attire MUST be worn to all GBMs unless otherwise mentioned. i. Deviations from this rule include, but are not limited to, casual days, special events, and religious observances. ii. The president holds responsibility and reserves the right to notify the chapter about these “special” days. C. No cell phone usage during meetings is allowed unless it is an emergency. D. The Secretary will send out minutes 24 hours after the meeting. E. Meeting time will be discussed at beginning of every term. F. No profanity, raising of voices, or disrespecting any sisters during meetings. G. Be respectful and pay attention to whomever is speaking during the meetings. H. Cannot be under the influence of drugs/alcohol when attending a meeting. I. Failure to comply with any of the above will result in a $10 fine. 3. Listserve A. If IMP is written in the subject line of any colony e-mail, a response must be given ​ ​ within 24 hours of the email being sent. i. If a response to an IMP email is not given within 24 hours, a $5 fine must be paid. B. All other e-mails are to be read/responded to within a maximum of 72 hours unless a valid reason is given. i. If a response to an email is not given within 72 hours, a $5 fine must be paid 4. Events A. Sisterhood i. Sisterhood chair must plan at least three events per term. ii. If Sisterhood chair does not plan at least three events, must pay $15 fine. iii. Soror must attend two sisterhood events per term. iv. If a Soror does not attend at least two events, she must pay a $20 fine. B. Fundraising i. Fundraising chair must plan at least three events per term. ii. If Fundraising chair does not plan at least three events, must pay $15 fine. iii. Soror must attend at least one fundraising event per term. iv. If a Soror does not attend at least one event, she must pay a $20 fine. v. Any fundraising will go towards our philanthropy. C. Social i. Social chair must plan at least three events per term. ii. If Social chair does not plan at least three events, must pay $15 fine. iii. Soror must attend at least two social events per term. iv. If Soror does not attend at least two events, she must pay a $20 fine. D. Events Hosted By Kappa Phi Gamma Sorority, Inc. i. All Sorors are required to attend all events/workshops hosted by Nu Chapter. ii. Sorors will be allowed two excused absences per term. E. Multicultural Greek Council Events i. Sorors are required to attend at least 2 events hosted by other Greek organizations that are under the council. ii. The MGC representative and secretary will record attendance for these events throughout the term. iii. If the Soror does not attend at least two events, then she will be fined $20. F. Service i. Sorors must complete a total of 27 hours each of community service per year. ii. Service chair must plan at least three events per term. iii. If Service chair does not plan at least three events, she must pay a $15 fine. iv. If a Soror does not complete all required hours, there is a fine of $5 for every hour not completed. G. More than one unexcused absences for any of the above events will result in a $20 fine 5. Alcohol Policy A. No drinking, being under the influence of drugs, or smoking with letters on. i. If caught, there will be a $100 fine. B. At any event hosted/co-hosted by Kappa Phi Gamma, alcohol consumption is to be limited. i. If you are unable to stay composed and classy, there will be a $100 fine. 6. Dues, Reimbursements, and Fines A. $30 are to be handed in for chapter dues by week 9 of each term except summer term. i. Sorors must talk to the Executive Board ahead of time if there is any conflict with handing in dues. ii. There is a $10 fine for every week that dues are late. B. At the end of every term, one line is reimbursed for any purchases that they made for process or for the colony after they crossed. i. No receipt, no reimbursement. ii. Receipts for purchases for the term will not be accepted after week ten of that term. iii. If the receipt is forwarded to the treasurer electronically, it must be in the form of an email with the subject [RECEIPT]: (event/reason purchased). iv. The intake director and rush director should collect receipts and expense reports of their line and forward it to the treasurer weekly/biweekly. v. All Sorors will be reimbursed for their purchases the end of spring term or the term they graduate if they are seniors. C. If fines are not paid within two weeks after they have been issued, fines are subject to increase. 7. Grade Point Average Requirements A. Potential New Members must have a 2.7 GPA in order to receive a bid. i. In order to stay in the New Member Education Program, New Members must maintain a GPA above a 2.7 B. Sorors who are applying to be Intake Director or Rush Director must maintain a GPA of 2.7 or above. C. Sorors who are nominated to be on the Executive Board must maintain a GPA of a 2.7 or above. D. If a Soror’s GPA is not at least 2.5 or above, they must go on academic probation. E. If a Soror's GPA is not at least 2.5 they must follow the guidelines for probation. F. If a Soror is running for any position, her GPA must meet the requirements for that position at the time she is running. 8. Executive Board/Chair Positions A. Elections will take place annually during week five of spring term. i. Weeks 5-10 will serve as a transition period on which previous chairs/positions will help their successors. B. Positions will be held for a period of one year beginning right after elections are held. C. All sisters must have active status to remain in their position. i. If they fall below the GPA requirement, they will be given a one-term period to bring it back up to the requirements. ii. If the GPA is still lower than the required GPA, Soror must resign from their positions and elections for that position will be held immediately. 9. Representation, Behavior, and Sorority Secrets A. Members must always remember and be aware that their behavior reflects the organization at all times. Any representation by actions or by word, seen as detrimental to organizational reputation, whether it is negligent or intentional, may be subject to fines and probation depending on the severity of the event. B. Behavior that disrespects a fellow member or tarnishes their reputation will be treated with warnings and mediation sessions with the Vice President of Internal Affairs. C. Every member has sworn an oath during crossover to maintain the secrets of the Sorority. Behavior that reveals issues/content the Sorority holds secret including rituals, whether by intention or by negligence, will result in probation for a term. 10. Voluntarily Inactive Guidelines A. If a Soror is not living on campus for her co-op, she may apply to become voluntarily inactive for the duration of her co-op cycle. B. If a Soror wants to go voluntarily inactive, she may put in a request to the Executive ​ ​ Board explaining her circumstances. i. Executive Board has the right to deny the request for inactive status as long as they provide a valid reason C. Sorors are only allowed to go voluntarily inactive for one term. D. You are to attend at least 2 GBMs per term and any mandatory meetings called by the President E. You are to attend at least 2 new member events per term for a minimum of one hour when applicable 11. Involuntary Inactive Guidelines (Academically Inactive) A. All inactive members are not to attend any event within 2 days before an exam/paper/final. B. You are to log your grades (at least 4 hours a week) with both the President and the Academic Chair on the study hour sheet stating what you completed during this time. i. You are to inform the President and the Academic Chair if you fail a test/exam/paper. There may be stricter regulations if this occurs. C. If you received less than a 2.5 cumulative GPA, you must go inactive.
