Please note: The Senate Executive will meet at 18:15 in Room 121, MacNaughtou Building just prior to Senate Senate Approval of Honorary Degrees I The Senate has now had two opportunities to consider honorary degrees using the new process of distributing ballots prior to the meeting. Two issues have arisen from this practice. 1. Distribution of Ballots Presently both the information regarding the candidate and the ballot are distributed with the Senate agenda. The Senate Office has received requests from Senators who will not be in attendance asking if they can vote and send their ballot with another Senator (this is not allowed). In addition, Senators have forgotten their ballots at home and requested additional ballots. Finally, it was commented that someone could photocopy ballots and vote more than once. To address all of these concerns, it is recommended that the information on the candidates be distributed to Senators with the Senate agenda so they have time to review the nomination in advance of the meeting. The ballot will be distributed and completed at Senate. Distributing the ballots at Senate will help to ensure only those Senators in attendance at Senate vote and only vote once. 2. Announcement of Winners. Presently the winners of Honorary Degrees, UPEs, and the John Bell Award are announced at the next Senate. Recipients are informed of the decision once the ballots are counted. However, the public announcement is postponed for one month until announced at Senate. This has caused some difficulty, particularly when departments want to promote attendance of a prestigious speaker at a Convocation. It is recommended that upon the counting of the ballots, the results (only if positive) will be emailed via a list serve to all Senators and posted on the Senate web page. In this way, confirmation of the decision can be more timely.
