Welcome and congratulations for being a part of the 2018 South Slave Arctic Winter games! This handbook will provide you with all the information you will need to have the best experience in Fort Smith! We look forward to seeing you during the games. PRESIDENT’S MESSAGE On behalf of the 2018 Host Society I want to welcome you to the 2018 South Slave Arctic Winter Games! As a past Arctic Winter Games athlete and coach, I know the tremendous effort it has taken each of you to get to this point in your Games journey. Just as you have been preparing for the 2018 Games, the communities of Hay River and Fort Smith, and our friends from other communities, have been pre- paring for this day. Over the last three years, volunteer committees and staff have been working tirelessly to plan and organize a Games that you are sure to enjoy and remember. It is guaranteed to be a fast-paced week of intense com- petition and exciting cultural performances, so please enjoy every moment! We encourage you to experience all that our community has to offer, from enjoying our culture and our food, visiting our shops, using our recre- ation facilities, meeting our friendly residents, and flying down our sledding hill. Our home is your home. DORM POLICY 1. GENERAL • House rules apply to all participant accommodation, including food services, athlete enter tainment, and athlete lounges. • Any violations or problems will be report to Mission Staff, Accommodation Staff, Village Mayor or Security volunteer. 2. ACCOMMODATION • Curfew for participants (athletes, coaches and chaperones), will be 11:00pm nightly. • Exceptions will only be made if received in writing from Mission Staff. • QUIET TIME in all Athlete Villages is a strict 11:00pm (23:00) • LIGHTS OUT is Midnight (12:00am) • All rooms will be locked at all times. Please request a door opening from the Mayor or a security volunteer. Participant badge must match room list on door. • All rooms will lock automatically upon exit. • No food permitted in any rooms. Food may be eaten in lounge space but participants are responsible for putting garbage in trash bins. • No alcohol will be allowed in any rooms. • No smoking will be permitted in any room. Smoking must be done outside in designated smoking areas, as designated by signs (minimum 25 feet away from nearest building entrance). • Fire doors are to remain in closed/secure position. Door propping is not permitted. • Only those registered as participants and accredited may stay in accommodation provided. • Visitors will not be permitted in accommodation venues. Participants must meet with visitors in non-restricted areas. • All rooms are set up with bunk beds. These are not to be altered. Mattresses are to remain on the bunk beds. Sheets and sleeping bag are provided to each guest. 3. ENTRY TO ACCOMMODATION • Accreditation badge must be worn at all times. • All persons entering the accommodation venue must go through an Access Control point and show their accreditation badge. Access control will verify its authenticity and that it is properly coded for access to that specific accommodation venue. • Security and Access Control will ask for participants to show their badge if it is not clearly visible. 4. STORAGE • Coaches/Managers/Chaperones will be responsible for storage of athletes’ personal items and sports equipment. • Security personnel WILL NOT hold or store any personal item on behalf of anyone. • Delegations will have a tote at the Village Mayor desk where they can sign in/out their valuable when they leave the village. PERSONAL PROPERTY 1. Participants are solely responsible for their personal items and are urged to keep valuables in a secure location and label all personal items. 2. The Mayor’s Office at each Athlete’s Village will have a Lost and Found. Lost and Found locations will be identified at each venue. CUSTODIAL 1. Outdoor footwear is to be removed upon entry of Athlete’s Village and carried to be stored in participant’s room. A boot mat will be provided in each room. 2. Each room will have a garbage bin. Extra garbage bags will be available upon request. 3. Recycling bins will be located throughout the Athletes’ Villages. 4. It is the responsibility of participants to keep rooms clean. Janitorial services will maintain public areas of the accommodation venue as well as portable toilets and showers, but it is the expectation that participants will use garbage and recycling bins. 5. Cleaning supplies will be provided by request at the Village Mayor’s Office. 6. It is at the discretion of the Mayor to do room checks and will report any rooms that are not up to dorm policy or hygiene standards to Mission staff. ATHLETE SERVICES TRANSPORTATION BUS LOOPS| 5:45 – 23:00 Team staff and athletes will have access to bus transportation to venues throughout the games. The in town bus route will stop on Conibear Crescent outside the front door of PWK and on McDougal Road across the road from the front door of JBT. The ski bus will stop on Conibear Crescent across the road from the front of PWK.
