How to Write a Press Release for an Event This is an informational email or letter to inform the organization about the event, the expected outcome and about the organization. The event must consist of six specific points and they must be clear, concise and catchy. The six points are: 1. Headline – Grab their attention 2. Summary – 1 to 4 sentences 3. Dateline and Lead Paragraph – Answer the who, what, where when and how 4. Body – 2-3 paragraphs detailing the event – Include a quotable sentence 5. Boilerplate Statement – a synopsis paragraph of the event that can be utilized as an event description 6. Contact Information – complete name, phone number, email, website and address of the key contact When you write your Press Release, be sure to: 1. Use active voice 2. Use professional tone 3. Tell an interesting story 4. Send out the Press Release in a timely manner 5. Make sure to stay within 300-800 words 6. Use proper grammar and spellcheck How to Write a Public Service Announcement (PSA) A Public Service Announcement is similar to a Press Release. The main difference is in the outcome. PSA’s should be written in the exact way you want them read out loud. Just like in a Press Releas, a Public Service Announcement must contain who, what, where, when and why, but it must be very concise. This needs to be conveyed in a few sentences so it can be read in 10-45 seconds.
