The organisers are not able to make reservations for you and cannot be responsible for any costs associated with participants’ hotel rooms. Booking method: If you choose to stay at the ANA InterContinental Tokyo, please complete the dedicated online reservation system (details provided with your invitation letter) to book directly with the ANA Hotel as indicated to obtain the negotiated rate. It is important to make your reservations no later than 20 March 2013, as after this date, the special rate for conference participants will no longer be available. If you choose not to stay at the designated hotel, please inform Ms. Morven Alexander, OECD (E-mail: [email protected] ) of the hotel where you will be staying. VISA FOR JAPAN AND INSURANCE You are advised to contact your local Japanese embassy or consulate to verify if you require a visa to enter Japan. If required, please complete the Passport Information Form (attached to your invitation) in order to receive the necessary Letter of Guarantee from the Japanese authorities, by 28th February 2013. Participants are advised to have adequate medical and travel insurance to cover their visit to Japan. AIRPORT TRANSFERS Airport transfers to and from the hotel cannot be arranged by the organizers. Cash should be prepared for a ticket. Fare: approximately 25,000 yen (Narita Airport to ANA InterContinental Tokyo), approx 1 hour 30 minutes From Haneda Airport, approximately 45 minutes 7,000 Yen Limousine bus: The airport limousine bus is the easiest way to the ANA InterContinental Hotel. The bus takes you directly there and stops right in front of the ANA. You can buy tickets at the limousine bus counter located in the airport arrival lobby. Full details on the limousine bus service, as well as trains, can be found on page 5 of this Information Note. 2 HOW TO GET FROM ANA INTERCONTINENTAL HOTEL TO THE CONFERENCE VENUE - ADBI The ADBI is within a short walking distance (approximately 10 minutes’ walk) from the ANA InterContinental Tokyo. A map of the Kasumigaseki area indicating the Kasumigaseki building and ANA InterContinental Tokyo - can be found at the end of this note and also the following address: http://www.anaintercontinental- tokyo.jp/e/access/ If you choose to go from the Ana Hotel to ADBI by taxi, the fare is around JPY 800 (at your own expense). PROCEDURAL ARRANGEMENTS Participants are requested to arrive by 9:00 am on Thursday, 4th April 2013 for registration. The Roundtable will end at 18h00 on Friday 5th April. WORKING LANGUAGE The working language of the Roundtable will be English. DOCUMENTATION AND WEBSITE If you have been asked to contribute a paper or presentation to the Roundtable or wish to submit any relevant background materials, please send your material to Ms. Morven Alexander, OECD (email: [email protected]) by 1 March 2013 at the latest. Please note that unless presenters advise OECD otherwise, all presentations will be posted on OECD’s website, after the event, at the following link: Tokyo Roundtable 4-5 April 2013 Registered participants will receive a set of documents upon arrival at the Roundtable. MEALS AND SOCIAL EVENTS All participants are invited to the social events described below. Lunch: Thursday 4 April and Friday 5 April: Buffet lunch for all participants will be provided by the ADBI and the OECD, at the ADB Institute. Dinner reception: Thursday 4 April: A buffet dinner reception will be co-hosted by the ADBI and the OECD. It will take place in the ADBI building, from 7 to 8.30pm.
