Amendments By-Laws PREAMBLE We, the members of this organization, in order to promote a more perfect union among college men; to aid in and insist upon the personal progress of its members; to further brotherly love and a fraternal spirit within the organization; to discountenance evil; to destroy all prejudices; to preserve the sanctity of the home, the personification of virtue and the chastity of women, do hereby enact and establish this constitution for the government of its members. Cornell University Ithaca, New York 1906 ARTICLE I. Name, Symbol, and Purpose Section 1. The name of this organization shall be the Upsilon Chi Chapter of Alpha Phi Alpha Fraternity, Inc. at Pepperdine University in Malibu, California. Section 2. The symbol of this organization shall be the Greek letters Upsilon Chi and the Greek letters Alpha Phi Alpha. Section 3. The purpose of this fraternity shall be: to stimulate the ambition of its members; to prepare them for the greatest usefulness in the causes of humanity, freedom, and dignity of the individual, to encourage the highest and noblest form of manhood, and to aid downtrodden humanity in its efforts to achieve higher social, economic, and intellectual status. ARTICLE II. Insignia, Colors, and Pin Section 1. The Chapter shall maintain the fraternity colors of Old Gold and Black. Section 2. The seal of the Chapter shall be the same as that of Alpha Phi Alpha Fraternity, Inc. Section 3. The insignia shall be a pin bearing the Greek letters Alpha Phi Alpha with the letter Phi superimposed on the letters Alpha and Alpha, and such pin shall contain seven jewels. Section 4. The official pin shall be worn by fraternity members only. ARTICLE III. Chapter Membership Section 1. Members of the Upsilon Chi Chapter of Alpha Phi Alpha Fraternity shall consist of male students at Pepperdine University. Section 2. No male student shall be considered for membership unless he has at least a 2.5 grade point average, completed at least one semester, and is a full time student with at least 12 semester credit hours. Section 3. A brother is considered to be in “Good Standing” to the General Headquarters if the brother has fulfilled all of his financial obligations to both General Headquarters and their chapter, in addition to maintaining a 2.5 cumulative GPA. Section 4. Scholastic standing of prospective male students shall be certified by the Registrar of Pepperdine University. ARTICLE IV. Chapter Organization, Structure, and Duties Section 1. This chapter shall be a member of the Western Region of Alpha Phi Alpha Fraternity, Inc. Section 2. The officers of the Upsilon Chi Chapter shall be: President, Vice-President, Secretary, Associate Editor of The Sphinx, Treasurer, Director of Educational Activities, Membership Intake Officer, Historian, Chaplain, and other offices as subsequent conditions may merit. Section 3. The following officers shall comprise the Executive Committee: President, Vice-President, Secretary, Treasurer, Membership Intake Officer, and one additional member at large elected by the Chapter. Each member of this Committee shall have one vote. This Executive Committee shall be required to report its minutes to the Chapter at the next regularly scheduled meeting. Section 4. The chapter President is the chief administration officer for the chapter. He provides leadership, direction, and vision for the chapter. He organizes and facilitates the National Program process while maintaining a positive impact on chapter membership. He oversees the financial and community welfare of the chapter. The president chairs the executive committee meetings and directs all standing committees. Additionally, the president breaks voting ties when necessary and appoints committee chairs and other leaders as necessary. He works with officers and committee chairs to develop their growth and requests chapter reports as necessary. Section 5. The chapter Vice President is the Co-chief Administration officer for the chapter and presides over meetings when the president is absent from the chair. Additionally, he assists the president with leadership, direction, and vision. It is also his responsibility to organize and/or oversee service projects for the Chapter. Section 6. The chapter Secretary is to record official meeting minutes. He maintains chapter records and permanent files. He reads the minutes at each regular or called meeting and attends the executive committee meetings. The secretary maintains the chapter’s constitution and by-laws and the roll or register of chapter members. Additionally he collects and prepares chapter correspondence for meetings and picks up all chapter mail. Section 7. The Associate Editor of The Sphinx writes and edits stories and information to be submitted for publication in the Fraternity’s journal, The Sphinx. He coordinates the chapter’s public relation activities. Additionally, he covers chapter events and submits copies to the secretary for permanent files and solicits materials for articles from the members. Section 8. The chapter Treasurer is the chief financial officer for the chapter and maintains all financial records of checking, savings and investment accounts. He makes monthly reports of finances at Executive Committee and regular chapter meetings. The treasurer works with the budget and finance committee to prepare a chapter budget for review and adoption. Section 9. The Director of Educational Activities coordinates all educational activities for the chapter. He develops and publishes a report of educational programs for the fraternal year. He coordinates the scholarship program, risk management seminars, and Omega Services. Section 10. The chapter Membership Intake Officer manages intake activities for the chapter as established by national Membership Intake Process via the Standing Orders and serves on the Pharaoh’s Council for his area. He assists with the requisition for and coordination of Alpha Awareness Seminars or Informational Seminars, programs, and ceremonies for intake. He must be Risk Management certified. Section 11. The Historian keeps accurate records of all events and teaches chapter and national fraternity history to the members. He reviews newspapers, magazines, etc. for interest articles of chapter members, maintains chapter scrapbook and keeps it updated with programs each year, and works closely with the recording and corresponding secretaries. Additionally, he works closely with the Associate Editor to The Sphinx. Section 12. The Chaplain presides as chaplain for chapter functions. He provides consolation to members and families as necessary. Additional responsibilities include: delivering meaningful and inspirational invocations at chapter meetings and official services, and acts on moral issues regarding the chapter or brothers. Also, the chaplain assists with preparation of the Omega Services. Section 13. All officers of the chapter shall be Risk Management Certified. Section 14. All Chapter meetings will be conducted through democratic process, and abiding by Robert’s Rule of Order Latest Edition. ARTICLE V. The Executive Committee Section 1. See ARTICLE IV; Section 3. Section 2. The Executive Committee shall be the governing body between meetings and shall interpret all policies and conflict of the Constitution. It shall investigate all forms of delinquencies, both financial and moral in the Chapter and take appropriate action. This Committee may approve the payment of emergency expenses. ARTICLE VI. Fees and Dues Section 1. Each aspirant/IMDP candidate for admission shall pay an initiation fee, which will be designated by the Corporate Headquarters. The fees will include the cover of the aspirant’s classification (freshman, sophomore, etc.), Grand Tax, Pin, History Book, Building Fund, National Constitution and Bylaws, etc., in accordance with (IAW) Corporate Headquarters. Each aspirant/IMDP candidate shall also pay Cluster Fees, Chapter Dues, and Western Region Neophyte Registration Fees by Week Three in accordance with the current IMDP Standing Orders. Section 2. The dues to the National Office shall be paid by the Chapter Treasurer on an annual basis. Section 3. Dues as prescribed by the Chapter
