Principal, BVM Engineering College, Vallabh Vidyanagar General Conditions and Important Instructions for Bidders 1. Quotation, 1.1 The contract shall be for the full quantity for each item as described above. 1.2 Corrections, if any, shall be made by crossing out, initialing, dating and rewriting. 1.3 All duties and other levies payable by the supplier under the contract shall be included in the unit price. 1.4 Applicable taxes shall be quoted separately for all items. 1.5 The prices quoted by the bidder shall be fixed for the duration of the contract and shall not be subject to adjustment on any account. 1.6 The Prices should be quoted in Indian Rupees only. 2. Each bidder shall submit only one quotation along with the prescribed amount of tender cost and EMD (Earnest Money Deposit / Bid Security) in form of two separate demand drafts one for each before the closing date and time. The tender shall not be considered otherwise. 3. Quotation shall remain valid for a period not less than 60 days after the last date of quotation submission. 4. Evaluation of Quotations, The Purchaser will evaluate and compare the quotations determined to be substantially responsive i.e. which 4.1 are properly signed ; and 4.2 Confirm to the terms and conditions, and specifications. 5. The Quotations would be evaluated item wise, bidder shall submit a single bid including all items. 6. Award of contract: Tender Notice 1.1 / BVM/Electronics/MoDROB/2020-2021 Page 2 The Purchaser will award the contract to the bidder whose quotation has been determined to be substantially responsive and who has offered the lowest evaluated quotation price. 6.1 Notwithstanding the above, the Purchaser reserves the right to accept or reject any quotations and to cancel the bidding process and reject all quotations at any time prior to the award of contract. 6.2 The bidder whose bid is accepted will be notified of the award of contract by the Purchaser prior to expiration of the quotation validity period. The terms of the accepted offer shall be incorporated in the purchase order. 7. Payment shall be made in Indian Rupees as follows: Delivery and Installation - 100% of total cost 8. All supplied items are under warranty of 12 months from the date of successful acceptance of items with free repairs and free replacement at our site. Performance Security of 5% of the amount of the contract in form of Bank Guarantee or Demand Draft covering the warranty period shall be payable by the awardee of the contract while accepting the contract. The EMD (Earnest Money Deposit / Bid Security) of the awardee of the contract will be released only after the acceptance of the contract with the specified performance security, the EMD will be forfeited otherwise. Performance security will be released after the successful completion of the warranty period. No interest will be payable on the amount of the EMD or the performance security. The EMD of the unsuccessful bidders will be refunded after the successful bidder accepts the contract. 9. You are requested to provide your offer latest by 5:00 pm hours on 02-03-2021. 10.
