Housing Information For Exchange Students International Exchange Center Aoyama Gakuin University September 2013 1. Housing Information This is a handbook to introduce housing opportunities for exchange students at AGU. Please read the following information carefully and decide where you wish to stay while you are at AGU as an exchange student. 1.1. Dormitories Below are dormitories operated by private companies, which International Exchange Center (IEC) introduces to exchange students. IEC will process the application on behalf of exchange students for them. Male Dormitory Female Dormitory ◆Tokyo Student-House Hiyoshidai ◆Dormitory Eda See “3. Male Dormitory” on page 3 See “4.Female Dormitory” on page 5 Application Instruction If you wish to apply for a dormitory, please fill out the “Application and Contract” form and send it to us with other application materials by the deadline. Rooms at dormitories are reserved on a first-come, first-served basis, determined by the receipt of the dorm “Application and Contract”. We recommend you to complete the application form as soon as possible. Since rooms are limited at each dormitory, we cannot guarantee the room reservation if you send the application form after the deadline. Please contact us if you have important food restriction for health or religious reasons. Check-in Date Check-in is available between 9am and 5pm from the dorm opening date. You may not be able to check in except the opening hours or earlier than the opening date since dorm rooms will not be ready by then. Housing Subsidy AGU provides the financial support for exchange students who live in Tokyo Student House Hiyoshidai and Dormitory Eda, which are not AGU dormitories but designated by the university. Please refer to the column “Housing Subsidy” of 2. Important information (Both Male and Female dormitory) . 1.2. Guest Houses, Apartments and Homestay AGU does not make arrangements for any guest house, apartment / room share or homestay. If you prefer these types of accommodation, you may arrange it on your own. Please refer to “5. Guest House/ Apartment /Homestay” on page 7-8 for useful websites. 1 2. Important information (Both Male and Female dormitory) Important Notice: There is a minimum length of stay at this dormitory and you are asked to stay more than 4 or 5 months depending on your study period in Japan. Please refer to the information below: Study period Minimum stay Spring semester Fall semester 1 semester 4 months April to July October to January 2 semesters (1year) 5 months April to August October to February *Please note that September is not included in the minimum contract period if you move into the dorm from Fall semester since September is not a full month contract. Please contact us if you wish to stay shorter than the minimum length of stay. Cancellation Policy If you wish to cancel the reservation or leave the dormitory before the contract term ends, you should inform IEC office by submitting a form before the date you wish to move in or out as shown below. If you cancel or leave the dormitory without prior notice, you may have to pay the rent for one month. Because of regulation about the minimum length of stay, you have to pay the dorm fees (including electricity & phone bill in case you make the contract for Dormitory Eda) for the minimum length of stay (4 months or 5 months) although you wish to leave the dormitory within that period. *Please note that payment during summer or spring vacation period is required for those who wish to continue staying at the dorm for the following semester. To cancel the reservation Inform IEC office 75 days before the date you move in To leave the dormitory before the contract term ends Inform IEC office 45 days before the date you move out Housing Subsidy AGU provides “Housing Subsidy” for exchange students who live in Tokyo Student-House Hiyoshidai and Dormitory Eda. The details are as follows: Fire Insurance Premium Room fee (Only for Dormitory Eda) 3,000 yen/year 8,500 yen/month x months you stay at the dormitory * The subsidy will be paid twice in a year (in July for Spring semester, in December for Fall semester) * It is not eligible for those students who will stay at the dormitory less than the minimum length of stay (You will be asked to return the subsidy, if you have already received it). * Housing Subsidy will not be paid for the month which weekly payment is accepted. 2 3. Male Dormitory ◆Tokyo Student-House Hiyoshidai Tokyo Student-House Hiyoshidai is a private dormitory operated by Itochu Urban Community Co. Ltd., but AGU has a special contract with the company in order to reserve rooms for AGU exchange students. This dormitory gives opportunities for exchange students and Japanese students from other schools to communicate each other. An AGU student is planned to be assigned as a resident assistant in the dormitory to support exchange students. There are staffs of Itochu Urban Community to ensure the security and general maintenance for 24 hours at the front desk. Room type Single rooms (9 ㎡) Meal service Breakfast/dinner * No breakfast on Sundays and national holidays. No meal services cafeteria holidays Cafeteria Holidays: Summer holidays (Aug. 13 to 15), winter holidays (Dec. 30 to Jan. 3) Common facilities Dining room, public bathroom, shower room, toilet, laundry space (charged), kitchen, study room, training room, kiosk *You have to buy a prepaid card (3,000 yen) for the laundry as cash cannot be used. Room facilities Sink, internet connection (fees included), bed, bedding, desk, chair, air conditioner, closet * Telephone, PC and TV are not in each room. 3 Regulations Curfew 24:00 * Please unlock the door with PIN between 24:00 and 6:00 Meals Breakfast : 6:30 to 9:00 on Mon to Sat (Last order: 8:45) Dinner: 18:00 to 22:30 on Mon to Sun (Last order: 22:15) * Meals cannot be eaten in the bedrooms. Public bath 6:00 to 10:00, 13:00 to 24:00 Private shower 24 hours available, but not available during cleaning time and occasional inspection. room Laundry 24 hours available Washing machine: 150 yen/one time, Dryer: 100 yen/10 min * Cash cannot be used. You have to buy a prepaid card (3,000 yen) for the laundry. Stay out Fill out a designated form. Visitors When you have visitors to your room, fill out “visitor note”. Visiting Hours: 9:00 to 22:00 * Male only. You are not permitted to let any visitors to stay over in your room. Others No Smoking Events Welcome party, monthly meetings, farewell party etc. Fees * Subject to change without notice Fees Amount Payment Due End of Mar for Spring semester Room fee/month 70,000 yen End of Sep for Fall semester (End of Aug for students from Fall) * Meals (breakfast & dinner), electricity, internet, bedding and housing insurance are included. * The room fee should be paid once a semester. It cannot be paid monthly, weekly or daily. * Weekly payment of September fee for students from Fall semester, August fee for students leaving after Spring semester, and February & March fee for students leaving after Fall semester is accepted due to AGU academic calendar. 4 4. Female Dormitory ◆Dormitory Eda Dormitory Eda is a private dormitory operated by Kyoritsu Maintenance Co. Ltd., but AGU has a special contract with the company in order to reserve rooms for AGU exchange students. This dormitory gives opportunities for exchange students and Japanese students at AGU to live together and support each other. There is also a resident assistant (an AGU student) who lives in the dormitory to support the students. There is a live-in manager of Kyoritsu Maintenance to ensure the security and general maintenance. Meals will be served every day except Sundays and national holidays i.e. New Year, Obon period etc. There are many students from other universities and the population of international students is about 40% of the whole.
