For Club Use Only Date received: Police Check Status: Approved: 1 of 4 Competitive Coach and Manager Policies 1. Rules and regulations of the Ontario Soccer, NTSC, leagues, Cups and tournaments must be adhered to by coaches and managers. Team officials have the responsibility to familiarize themselves with current rules and regulations, and when necessary to communicate them to players and parents. 2. Appointments for coach and manager are for a one-year period. An annual application is required, along with verification of current qualifications, a “Clear” Volunteer Sector Police Check dated within the past 3 years, and references for a first-time applicant. Following the end of the outdoor season, incumbents will not engage in team activities without explicit Club approval until their re-appointment is approved. 3. Player registrations are required for all players attending any on-field team event (training or game). Players must have registered with NTSC for the current season and be in good standing with the Club with respect to the payment of Club fees and/or the approved application for a fee subsidy. 4. Rosters and player books are the responsibility of the team manager, who ensures that roster players provide the following for their Ontario Soccer player books one week before the first game of a season: proof of birth date, a passport-sized photo every 3 years, and the player’s signature in the book. Player books remain the property of the Club as long as the player is registered with the Club, and must be returned to the NTSC office immediately following the last game of the indoor season and the last game of the outdoor season. A player transferring to another club is required to be deregistered by NTSC and have their player book stamped by the District before the book is returned by NTSC to the player. 5. Tryouts and trials will be conducted in accordance with NTSC’s tryout/trial policies. All tryout/trial players must have registered with NTSC. The final roster is subject to approval by NTSC. All roster decisions will be communicated to players/parents by the Club. 6. Playing up to an older age group will be considered only for a player of exceptional skill, within the parameters of Ontario Soccer rules, and only when specifically authorized by NTSC’s Technical Director. 7. Call-ups from other NTSC teams will be considered, but only on an emergency basis and only after permission is obtained from the other team’s head coach before either the player or the parent is contacted. Call-ups must be conducted pursuant to league policies. The number of call-ups for a team or player may be limited; violations could result in a league fine, and/or forfeiture of a game. 8. Registrations and applications including player registrations, roster changes, league applications, schedule requests, travel permits, hosting permits and the like must be requested only through NTSC unless otherwise stated. Direct contact by the team with the league or district association is not normally permitted. 9. Participation in exhibition games and tournaments may, with prior NTSC approval, be arranged by a team, within applicable Ontario Soccer policies with respect to the number of such events in a season and the travel time involved. Participation in such events must be in accordance with NTSC travel policies. Tournament applications may not be submitted until approved by NTSC’s Technical Director. Teams are responsible for tournament and exhibition game costs unless explicitly included in the Club Fee. 2 of 4 NTSC Coach & Manager Policies 10. Facilities – fields and gyms – used by a team must be specifically authorized by NTSC, used only during times assigned by NTSC, and used in accordance with the facility’s policies with respect to access, parking, food/beverages, and pets. Improper use may jeopardize continued NTSC access to the facility. Unauthorized use may nullify liability insurance coverage, putting team officials and NTSC at risk. A team planning to not use a facility as scheduled should notify NTSC at least 48 hours in advance to allow reassignment. Failure to do so may result in the team’s loss of future use of the facility. 11. Uniform kits worn by players and coaches/bench officials at league games, Cup games and tournaments must be current, approved NTSC team-wear (uniforms, track suits, polo shirts, rain jackets, etc.). No advertising or logo shall be affixed to team apparel or equipment without the prior approval of the Club. 12. Protests, grievances and appeals may, with NTSC’s approval, be filed against other clubs or leagues. NTSC will assist in advising the proper procedures involved in any such administrative action. NTSC must be notified promptly in such circumstances and also in any situation where discipline or similar proceedings have been instituted against an NTSC team, player, coach, manager or supporter. 13. Red cards and other sanctions imposed on NTSC players will be promptly communicated by the team manager, who will explain to players the circumstances and timing of any suspension or fine. 14. Technical support is provided by NTSC to all teams. No outside technical assistance, coaching or training for a team is permitted without the prior approval of NTSC’s Technical Director. 15. Club training programs - including NTSC Academy, Premier Development Camp and Summer Camp programs - are to be promoted and supported by team officials. 16. Team budgets must be provided to players/parents and NTSC prior to the season in accordance with NTSC team budget policies. Within 30 days of the end of the season a full accounting of the use of funds from team fees, sponsorships and fundraising is to be made available to NTSC and players/parents. 17. Fundraising, sponsorship and donations proposals must be submitted to and approved by NTSC before such activities are commenced. Approval will be based upon NTSC fundraising and sponsorship policies. Proposals should outline the nature of the program, fundraising costs, the intended use of net proceeds, and obligations to promote any organization’s name or brand. All sponsorship funds are received by NTSC which retains a portion (usually 15%) to cover printing costs and help provide financial assistance to players. The balance (usually 85%) is available for team expenses within the scope of the Competitive Team Finances policy. Proceeds of fundraising and team-specific donations generally stay with a team. 18. A breach of these policies may result in disciplinary action as determined by NTSC to be appropriate. This could include a monetary fine, termination or suspension as coach or manager and/or expulsion from the Club. I acknowledge that I have read the above policies, and that I understand and agree to abide by them.
