BBC Radio Manchester Make a Difference Gold Awards Privacy Notice and Terms and Conditions Privacy Notice This is the Privacy Notice relating to BBC Radio Manchester’s Make a Difference - Gold Awards. Your trust is very important to us. The BBC is committed to protecting the privacy and security of your personal information. It is important that you read this notice so that you are aware of how and why we are using such information. This privacy notice describes how we collect and use personal information about you during and after the competition, in accordance with data protection law. The BBC will collect and process the personal information that you have provided to us about yourself and your nominee. The personal information that we will collect includes the following for you and your nominee (or their parent/guardian if the nominee is under 16 years old): Your name and the name of the person you are nominating Your age and the age of the person you are nominating The nominee’s address, as required for applicants who are shortlisted Your mobile number or landline number Your email address The audio or visual clip that you provide (if you provide this) Any other personal information about yourself and/or the nominee contained in the reasoning that you provide for why you are nominating a particular individual. The BBC will also collect and process certain types of more sensitive data, known as special category data. This information is: Any racial of ethnic background information that is apparent from any audio-visual imagery that you provide. Who is the Data Controller? The BBC is the “data controller” of your personal information. This means that the BBC decides what your personal information is used for, and the ways in which it is processed. For the avoidance of any doubt, your personal information will be collected and processed solely for the purposes set out in this privacy notice. As the data controller, the BBC has the responsibility to comply, and to demonstrate compliance with, data protection law. The BBC relies on its legitimate interests in administering competitions of this nature to process this data. The BBC processes the personal data you provide on the basis of its legitimate interests as a media organisation to produce news and creative content. We have carefully considered the impact on you and will not use your personal information where the impact overrides our interests. The BBC processes any special category data on the basis of the substantial public interests in producing journalistic content. Retention period We will retain your personal data for the duration of the competition. If you are shortlisted a candidate, or the overall winner, information about yourself may be included as part of the BBC’s broadcast output. This includes any audio-visual footage that you provide as part of the nomination process, and your name, age and the town that you live/work in. Any personal information in the broadcast content will be made available publicly through various mediums and archived in accordance with the BBC’s Editorial Guidelines. Sharing your personal data The BBC will not share your data with any third parties, except as required by law, without your permission. In order to nominate someone, you must be a UK resident (including Channel Islands and the Isle of Man) aged 13 or over, and not be a BBC or BBC Group company employee, employee of any of its affiliates, close relative of any such employees or connected to the awards competition directly or through a close relative. Any person who is a resident or travels on a typically daily basis (e.g. for work and does not need to include weekends or bank holidays) in Greater Manchester, except BBC or BBC Group company employees, employees of any of its affiliates, close relatives of any such employees or connected to the award directly or through a close relative. Proof of age, identity and eligibility may be requested. 3. Nominations can be made online at bbc.co.uk/radiomanchester. Please provide as much information as possible to ensure the nomination can be judged for one of the categories below. Written nominations must not be any more than 150 words and audio/video nominations must not be longer than one minute. Please note that all nominations must be received no later than 6pm on Friday 30th October2020. Any nominations received after this will not be accepted. 4. You agree to the broadcasting of your audio/video nomination and you will assign to us all rights in your contribution and for us to use it worldwide in perpetuity in all media known now or in the future. We may edit, copy, adapt or translate your video /audio nomination at our discretion and you will irrevocably waive any “moral rights” that may exist in your video /audio nomination. 5. The BBC team will contact the nominator, the nominee (his/her parent or guardian, where applicable) to verify facts and/or events and whether the relevant consents/permissions have been obtained. 6. The categories and criteria to qualify for nomination and on which winners will be selected are: Triumph over Adversity Award: Awarded to an individual that has overcome significant difficulties in order to be successful. Young Achiever Award: Awarded to someone 17 or under who has demonstrated courage, talent or commitment in any field. The Good Neighbour Award: Awarded to an individual or group that helps make the neighbourhood or local community a better place to live or work, either on a regular basis or through a single act of kindness. Volunteer of the Year Award: Awarded to a person who makes a real difference to the community by giving up their time voluntarily to help out a charity or good cause. Community Spirit Award: Awarded to an individual or group whose efforts have embodied the Greater Manchester spirit and whose achievements have consistently made you proud to be from Greater Manchester. 7. A ‘volunteer’ can be someone who is paid for some of their time but also chooses to give up some time without pay. 8. A panel formed of four core judges will select a shortlist of three finalists per category and then one guest judge will select one winner per each category from the finalists that have been selected. Whilst we do not have the resources to engage in correspondence with every individual and feedback as to the merits of a particular entry will not be made available normally, we aim to be as inclusive as possible. All finalists will be invited to a virtual ceremony in December where the winners of each category will be announced. The ceremony will be pre-recorded and the audio and video will be edited and used for broadcast and social media. 11. The prize will consist of a trophy. There is no cash alternative and the prize cannot be sold or transferred in any circumstances. No commercial gain can be made from using or referencing the BBC brand, the award itself or any other element of this awards process. 12. Nominees must agree to take part in any post-award publicity if required. 13. The BBC reserves the right to: (i) vary these Rules, including but not limited to, opening and close times of the awards nominations; (ii) disqualify any nomination that breaches the rules, is fraudulent in any way or brings the BBC into disrepute; (iii) move nominees into another category should they see fit and (iv) cancel the awards, at any stage, if in its opinion it is deemed necessary or if circumstances arise outside its control. 14. Nominees who have been shortlisted will be notified in November. The BBC will then contact them to arrange a broadcast interview and film them for social media videos. 15. The BBC, their sub-contractors, subsidiaries and/or agencies cannot accept any responsibility whatsoever for any technical failure, loss of data via use of a third party email platform or malfunction or any other problem which may result in any nomination not being properly registered.
