Claymont PTO General Board Meeting Minutes Dec 3, 2019 The PTO General Meeting was called to order by Co-Presidents at 6:31 pm. A motion to approve the November 4th, 2019 minutes was passed. Let the general population know that the minutes are added to the PTO website about two weeks after each meeting. (Recording secretary will also start sending a copy of the General Meeting minutes to Dr. Burch each month as well.) Treasurer’s Report – Tiffany Franklin (on behalf of Elizabeth Beauboeuf) Presented handouts with the Balance Sheet, Profit/loss summary, and Budget Summary. Question asked to the board from parent – “Why do we hold such a large balance?” - Voiced opinions regarding amount board holds and how Family Night is managed – as parent does not agree that Family Night should be held as a fundraiser. Co-Vice President’s/Special Projects Report – Brica Griffith &Tiffany Thomas Special Projects: The 2019-2020 school year special project is updating the open classroom/technology rooms between the 2nd grade and 3rd grade classrooms – rooms 702 and 807. Tiffany Thomas presented a PowerPoint presentation showing the plan for the two rooms. Office Essentials, which is a Parkway approved vendor, has been hired to provide the new furniture and storage cabinets. Room 702 (old Tech Specialist room) will have a Step Sofa, L-Shaped desk with wobble stools, and a smart TV. Room 807 will have modular tables and storage cabinets. Current chalkboards will be repurposed as whiteboards (Parkway will take care of the boards). The cost of this project is $18,750.61. This project is covered from money raised during Trivia Nights and Family Nights. Funds Request Approval is needed from board and general population (see “Special Funds Request” section below for approval details). Fundraising Officer’s Report – Lauren Deichmann Shorthorn Spirit Campaign: The campaign has brought in $22,915 so far! Upcoming Spirit Events: The next fundraising event will be a shopping night at Paperdolls on Wednesday, December 4th, from 7-9pm. The next Spirit Night will be held on January 29th, at Panda Express at 101 Highlands Blvd, Manchester, Mo 63011, from 11am-11pm. The month of February will have three Spirit Fundraising Events – A Kendra Scott shopping event on Sunday, February 9th, 1pm-3pm; Chuck E Cheese event on Monday, February 17th (Pres. Day); and Spirit Night at Chipotle, on February 26th. Spirit Mornings/Nights/Events brought in so far: $1,788.19! (Panera ($233.69); Culvers ($480); Dewey’s ($300); Duck Donuts ($170); The Shack ($132); Chick-Fil-A ($); Lifetime Fitness PNO ($472.50); Paperdolls ($); Panda Express ($); Chuck E Cheese ($); Chipotle ($); The Haus ($); Culvers ($); Menchies ($)). Volunteer Coordinator’s Report - A licia Bogue Volunteer needs are in a lull right now, as the major Fall events are over. Trivia Night is the next big event that will have a need for volunteers. Then, a Spring push will be sent out for Talent Show and Family Night volunteers. Principal’s Report – Dr. Burch & M r. Moecke l This Friday, December 6th is the 2nd Bayer Day at Claymont. Also, Community Band will be visiting Claymont. The staff and students are in the process of naming the new Claymont mascot. Check Facebook for an update on how the morning announcements will be presented; students will be doing the announcements, and it will be filmed. The canned food drive ends this week, and volunteers are still needed to sort and organize the donated food items this Saturday, December 7th. Co-President’s Report – Tiffany Franklin & Ashley Jamison a). Winter Parties: Classroom winter parties are coming up – Friday, December 20. b). Trivia Night: Get ready for PROM - Saturday, January 25th. Planning is going well. Registration was kicked off TODAY – Tuesday, December 3rd, ALL VIP tables SOLD and 21 regular tables sold! The Silent Auction committee is collecting lots of great items for the auction. Colleen Beach is the Trivia Night chair. c). December 3rd PTO Gen Mtg Special Speaker: Dr. Catherine Hasler is the special guest speaker for this evening. The presentation topic is Mental Health Matters. d). PTO Website and Facebook page: Amazon Smile, Schnucks eScripts info to be posted on Facebook. Please visit the PTO Website, PTO Facebook page, and PTO Instagram page as the PTO board tries to post a lot of good information! Corresponding Secretary’s Report – Don Sternhagen No Report this evening Special PTO Funds Request There were two special funds requests at the Dec 3rd PTO meeting. (Approval required for amounts greater than $500) Arts Partners Special Funds Request - $3,249 of additional funds needed to pay for Arts Partners. Stephanie Stokes presented to the board and general population – what Arts Partners is, and details that each grade level gets with their week long residencies. Claymont uses Springboard to Learning to reserve each partner for the students. Springboard to Learning is a provider of arts-in-education programs for schools and community organizations.
