Chief Operating Officer Position Description ORGANIZATION OVERVIEW Maddux Achilles Haggard was born on Feb. 4, 2005, with a condition called myotubular myopathy. It prevented him from breathing, swallowing or moving on his own. On the sixth day of his young life, his parents, Mike and Cheryl Haggard had to make the excruciating decision to take him off life support. Before they did, they called photographer Sandy Puc' to take black and white portraits of them cradling their son. Puc' photographed the couple with Maddux at the hospital before he was removed from life support and after — when he was free from the tubes and the wires that had sustained him. Those tender photographs documenting Maddux’s eternal connection with parents inspired Cheryl Haggard and Sandy Puc’ to begin the nonprofit organization, Now I Lay Me Down to Sleep (NILMDTS). Since 2005, NILMDTS has provided more than 50,000 parents with free professional portraits of their baby. NILMDTS administers a network of more than 1,000 volunteers in the United States and around the world. OVERVIEW OF THE CHIEF OPERATIONS OFFICER The COO will work closely with the CEO and execute the vision of the organization. Responsible for managing staff and more than 1,000 volunteers primarily in the USA, but also abroad, the COO will develop, implement, and refine processes and procedures to more effectively carry out the mission and also increase growth within the organization. The COO will be responsible for the operational elements of the programs, events, and development. The COO: ● Oversees operational policies and procedures. ● Oversees day-to-day operations, including finance, human resources (including volunteers), and fundraising. ● Oversees planning, maintenance and efficiency. ● Prepares operational reports and management reports. ● Ensures compliance on a company, state and federal level. ● Drives sustainable growth and minimizes losses. ● Review budgets and staffing. THE CHIEF OPERATIONS OFFICER DUTIES AND RESPONSIBILITIES: ● Realizes the vision of the organization and possesses the ability to drive results and to filter and translate those ideas into functional plans for the organization. ● Collaborates with the CEO, Board of Directors, and management on developing business plans, strategy and roadmaps to make ideas practical and executable and translate them into functional plans for the organization. ● Relentlessly pursues the organizational values, focus, simplicity, and clarity. ● Faithfully executes the business plan by achieving or exceeding the planned program and financial objectives. ● Leads, manages and holds the staff accountable for achieving agreed upon commitments. ● Integrates all major operating functions of the business. Ensures and unites everyone to work together in the same direction for the best of the organization. ● Foresees potential risks and obstacles and strategizes and implements best solutions. ● Resolves issues effectively by being comfortable with conflict and solving problems in a practical and healthy manner. ● Ensures the team is healthy, functional and cohesive while working organization-wide for the same cohesion. ● Implements effective procedures and processes. Ensures the team is following and adhering to the organization’s core processes and operating procedures with efficiency. ● Responsible for the implementation and coordination of the programs to meet or exceed goals through recruitment and engagement, through participant growth, as well as through corporate development. THE CHIEF OPERATIONS OFFICER MUST: ● Have the ability to be sensitive to the nature of our work. ● Operate within the Core Values of the NILMDTS team. ● Possess relevant experience in the field: this includes operational leadership, nonprofit management, personnel development and financial management. ● Be skillful and able to manage day-to-day business operations with a detail-oriented and budget-focused mindset. ● Be smart and precise. ● Be accurate and not error-prone. ● Possess good time management. ● Be proactive, that is, have the ability to take precautions before a negative situation happens. ● Be hardworking and possess the ability to work in difficult situations. ● Be able to endure stress while still attending to important matters. ● Be able to use limited resources to achieve greater output. ● Have a good team spirit that is the ability to work with others. ● Be able to translate strategy into actionable goals for performance and growth. ● Be able to implement performance management, operating planning and goal setting. ● Be able to oversee employee productivity, building a highly inclusive culture ensuring team members thrive and organizational outcomes are met. ● Be able to assist the CEO/Treasurer with financial projections and analysis of existing programs and policies. SPECIFIC RESPONSIBILITIES: Program: Oversee and strategize the growth of our program services which includes: ● Develop a strong support system for our volunteers locally and in each state as well as including countries abroad. ● Develop leaders in each area (city/state) to ensure a strong volunteer team is in place. ● Develop relationships with hospitals. ● Increase the number of volunteers including photographers, digital retouch artists, hospital liaisons, and other positions. ● Further scale the Medical Program and ensure the proper support is in place. ○ Increase the number of Affiliated Hospital Facilities. ○ Increase the number of Medial Affiliates. ○ Increase the number of digital retouch artists and further engage them as volunteers. ● Ensure all processes and procedures are in place to support a strong scalable volunteer model. Remembrance Walk: Oversee and strategize the growth of our Remembrance Walk which includes: ● Implement a scalable model for the NILMDTS Remembrance Walks (4-6 in-person and 2 virtual Walks) ● Develop a model for the Walk to be a significant funding source for NILMDTS. ● Develop a model to engage committee members and other Walk Volunteers. Development: Collaborate with the CEO to increase revenue and build more visibility for NILMDTS. ● Ensure the process and procedures, as well as the support is in place for the organization to achieve the future vision of NILMDTS. ● Work with the CEO to ensure the proper support is in place for increased fundraising and for more organizational visibility. Organization Infrastructure Collaborate with the CEO and staff to ensure the proper systems and tools are in place to support our future vision. ● Oversee the technology development with our technology team. ● Ensure our processes and procedures are updated and improved. ● Ensure we have adequate resources including staffing and volunteers to carry out our mission and future vision. REPORTS TO: Chief Executive Officer SKILLS AND BACKGROUND: ● Education: Business Degree (MBA or Nonprofit Management Master’s Degree Preferred) ● 10+ years of experience in senior or executive operation management role at small to medium companies or nonprofits. ● Knowledge and experience in the nonprofit sector, preferably with a proven track record of fundraising, including tools and processes, as well as statistical analysis. ● Confident, goal-oriented, positive self-starter, able to work independently with limited supervision and collaboratively with internal and external partners. ● Demonstrated ability to form and develop corporate relationships and partnerships. ● Ability to manage large numbers of volunteers at different levels of expertise. ● Excellent interpersonal skills including verbal and written. ● Work hours will predominantly be in the Mountain Time Zone. ● Ability and willingness to travel 6-10 times a year to fulfill job goals. ● Ability and willingness to work evenings and weekends as required for the job. ● Nonprofit experience. COMPUTER SKILLS ● Experience or ability to work on Macintosh computer ● Proficient in all Microsoft Office Software ● Google Drive ● Trello or similar project management software ● Zoom meeting software ● Experience with databases WORK ENVIRONMENT ● NILMDTS operates virtually with the CEO residing in Colorado and additional staff members (7) in four US Time Zones. ● All staff generally work hours within the Mountain Time zone. ● We prioritize the health and well-being of our staff by allowing some flexibility within work schedules as it allows with each position, and a generous number of holidays and PTO.
