Protocol Advisory to Ministers and High Level Participants We are pleased to inform you about the protocol that we have arranged for Ministers and high- level participants to the “Mobilizing Aid for Trade: Focus Asia-Pacific” , which will be held at the ADB Headquarters in Manila, Philippines on 19–20 September 2007. Pre-Arrival: ADB will assign a liaison officer (LO) for each of the Minister or Governor. We will inform you of the name and contact number of your liaison officer. For coordination purposes, please inform us your hotel reservations, flight details, and your request for bilateral meetings with ADB or with other delegations. Arrival at the airport in Manila: We have designated a dignitary’s lounge for Ministers and other high-level participants at the airport. There will be protocol officials of the Philippine government, ADB representatives, and LOs at the dignitary’s lounge to facilitate all immigration procedures and custom clearance. Upon arrival at the airport, you will be met by ADB representatives outside the arrival area. They will be holding an Aid for Trade board and they will bring you to the dignitary’s lounge. Please present your travel documents to ADB representatives. They will process your travel papers and secure your baggage. While waiting, you are most welcome to use the facilities in the lounge. When you are ready, our representatives will guide you to your designated car service which will bring you to your hotel. Transport between Airport and Hotel: We are pleased to inform that each minister will be provided with a sedan car for transportation from the airport to the hotel and back when you depart. If you need additional car services for your delegation, kindly inform the ADB representative and they will help you rent the car at your expense. Transport between EDSA Shangri-la Hotel and ADB Headquarters: We have assigned cars (sedan type) for Ministers for the duration of the conference. However, to avoid queuing problems between EDSA Shangri-la and ADB, we will provide scheduled shuttle service to bring Ministers, and other delegates to the ADB in the mornings of 19 and 20 September. ADB liaison officers will be waiting for you at the hotel lobby to guide you to your designated shuttle service. For Ministers who stay in other ADB accredited hotel such as Crown Plaza please contact the hotel to arrange transportation between ADB and the hotel. As agreed between ADB and the accredited hotels, transportation between ADB and the hotel will be free. For Ministers and other high level delegates staying in EDSA Shangri-la hotel, attached below is the schedule of the shuttle service between EDSA Shangri-la hotel: Shuttle Service between EDSA Shangri-la and ADB 19 September (morning) From EDSA Shangri-la to ADB • a bus service will leave EDSA Shangri-la at 8:15 a.m. to bring Ministers and other high level delegates to ADB. Our liaison officers will be waiting for you at the hotel lobby with an Aid for Trade board and they will guide you to the shuttle bus. MOBILIZING AID FOR TRADE: FOCUS ASIA-PACIFIC 1 From ADB to EDSA Shangri-la (afternoon) • There will be assigned cars to bring the Ministers back to the Hotel. Liaison officers will bring their respective Ministers to their assigned cars. 20 September From EDSA Shangri-la to ADB • a bus service will leave EDSA Shangri-la at 7:45 a.m. to bring Ministers and other high level delegates to ADB. Our liaison officers will be waiting for you at the hotel lobby with an Aid for Trade board and they will guide you to the shuttle bus. From ADB to EDSA Shangri-la • There will be assigned cars to bring the Ministers back to the Hotel. Liaison officers will bring their respective Ministers to their assigned cars. Access to ADB Premises: We will issue VIP badges to Ministerial and high-level participants on the 18th of September at the Hotel. This badge will provide you unrestricted access to ADB premises and facilities. Upon arrival at the ADB premises, our liaison officers will meet you and guide you to the dignitary’s lounge (Display/Briefing Rooms) where you can stay while waiting for the sessions to begin. We have reserved some meeting rooms in case you wish to conduct meetings while in ADB premises. Please inform your liaison officer if you wish to conduct any meetings while in ADB. Departure from EDSA Shangri-la Hotel: We have advised the hotel to extend late check-out privileges to Ministerial and high-level participants. Once you are ready to depart, please approach the concierge who will call the designated car service for you.
