An Introduction to Google Docs What is Google Docs? With Google Docs, you can create and edit text documents right in your web browser—no special software is required. Even better, multiple people can work at the same time, you can see people’s changes as they make them, and every change is saved automatically. What will you learn? 1. Name Your Google Doc 2. Copy, Paste, and Clear Formatting TO NAME YOUR GOOGLE DOC: Click on “Untitled document” in the upper left hand of the document. Type your new document name and hit enter on your keyboard. [email protected] TO IMPORT/EXPORT IN GOOGLE DOCS: To import another Doc or a Word Document select File > Open Docs can also be exported and downloaded as variety of other file formats including Word Documents or PDF files. To do this, select File > Download as and then choose your desired file format. Whenever you are importing or exporting Word Documents in Google Docs, the formatting of the document may change, especially when the files include tables, graphs, or images. This can usually be easily corrected after the file is converted. [email protected] GOOGLE DOC FEATURES: Many Google Doc features are the same or similar to those in Microsoft Word. Images can be dragged and dropped into a Google Doc, copied and pasted, or inserted through the Insert button on the toolbar. [email protected] GOOGLE DOC TOOLS: Several Google tools such as Google Translate, Google Dictionary, and Google Voice to Text can be used seamlessly in Google Docs. To use any of these features click on the Tools button on the toolbar. [email protected] GOOGLE KEYBOARD SHORTCUTS: If you are interested in learning Keyboard Shortcuts to use on Google Docs, Google provides a list for you under the Help button on the toolbar. This list will change to reflect if you are using a PC or Mac. [email protected] TO SHARE YOUR GOOGLE DOC: To share a Google Doc you can click File > Share or you can click the blue “Share” button in the upper right hand corner. [email protected] TO SHARE YOUR GOOGLE DOC: If you did not already name your Doc this page will appear, asking you to name the untitled doc before it is shared. [email protected] TO SHARE YOUR GOOGLE DOC: On the Share with others page, type the name(s) of a CRSD staff member or student. For staff members you can also search by their e-mail address and for students you can also search by their student number. Click this drop down menu to change the access permissions that the shared person/people will have. You can allow them to edit (and comment/view), comment (and view), or just view the Doc. [email protected] TO SEE FILES SHARED WITH YOU: Go to your Google Drive. On the left navigation panel select “Shared with me” [email protected] TO EDIT/REVIEW DOCS: There are multiple ways to edit others’ work on Google Docs. One way is to select the Mode drop down menu. By default, Docs will be in Editing Mode. By switching to Suggesting Mode you can suggest edits on the Doc without changing them. The owner can then view the suggestions and make any changes. [email protected] TO EDIT/REVIEW DOCS: On this document suggestions were made in Suggesting Mode. The suggestions can be seen both on the document and as comments to the right. [email protected] TO EDIT/REVIEW DOCS: Another way to edit others’ work is by commenting. Highlight a word, sentence, or paragraph and click the Comment icon that appears next to the highlighted text. [email protected] TO EDIT/REVIEW DOCS: A new comment box will appear. The owner will be able to see the comment, make any changes, and then delete the comment. [email protected] TO PASTE INTO GOOGLE DOCS: To paste into Google Docs on a PC, copy the text you want, then press the Ctrl and V buttons on the keyboard at the same time. Alternatively, you can right click and select “Paste.” [email protected] TO PASTE INTO GOOGLE DOCS: When you are pasting information into a Doc where you want to keep the text uniform without hyperlinks or a change of font or text size, then Paste without formatting. To do this, copy the text, then on the Google Doc press Ctrl + Shift + V at the same time. Alternatively, right click and select “Paste without formatting.” [email protected] TO PASTE INTO GOOGLE DOCS: Sometimes when you copy and paste text, the text will be randomly formatted with large spaces or indents. To correct this, highlight the pasted text, then select the “Clear formatting” icon from the toolbar. [email protected].
