Organisation Structure Sham Shui Po District Council Secretariat has 16 staff members, including 1 Senior Executive Officer, 1 Executive Officer I, 1 Official Languages Officer I, 4 Executive Officer IIs, 1 Clerical Officer, 6 clerical staff members, 1 Calligraphist and 1 Workman II. 3. Function/Roles To provide administrative support to the District Council (“DC”), Committees and Working Groups under DC and secretarial service to their meetings, and to process the disbursement of DC Members honorarium and various applications, including Operating Expenses Reimbursement, Miscellaneous Expenses Allowance, the Setting-up and Winding-up Expenses Reimbursements, etc. 4. Services provided • To provide administrative support to DC; • To prepare minutes of meeting for DC, Committees and Working Groups under DC, and to follow up on work regarding the resolutions reached at meetings; • To handle applications for DC funds and reimbursement of funds; • To reflect the views, enquiries or complaints received from members of the public to the departments or DC Members concerned; • To help DC, Committees and Working groups under DC organise activities and visits; • To update the information on the website of DC; • To help government departments or other public organisations distribute publications, letters or other information to DC Members; • To serve as a bridge between government departments or other public organisations and DC, and as their coordinator when necessary, and • To provide library service to DC Members. 5. Meet the Public Scheme The “Meet-the-Public Scheme” of the Sham Shui Po District Council (SSPDC) aims at maintaining good communication between the Council and residents in the district. Through this Scheme, members of the public may share their views with DC Members or enquire or complain about the policy or performance of the Government. Members of the public who wish to give their views on any local issues or seek help from any DC Members may make appointments with them by visiting Sham Shui Po District Office in person or calling at 2728 0781 during office hours to enquire the telephone numbers and correspondences of DC Members. Alternatively, members of the public may also refer to the contact information of DC Members provided at the website of SSPDC for making appointments. .
