<p> Reunion Meeting Notes, 22 January 2013</p><p>Time: 13:45 Venue: Canons High School, Shaldon Road, Edgware Attendees: Lynn Rowlands - Headteacher Simon Newton - Admin Manager Chris Rew - Old Boy (OB) David Brough - OB Colin Poyton - OB</p><p>BACKGROUND: Chris clarified that Downer Grammar whole school reunions had been held in 2002 (50th Anniversary) and 1992 (40th Anniversary). Following Chris and Barry's golfing group meeting in May 2012, a proposal for holding a new one (for the 60th Anniversary) had emerged but had confused the precise year -2013 rather than 2012.</p><p>Action: OBs to consider best way of branding the 2013 Reunion.</p><p>The 2002 Anniversary had coincided with the emergence of the Friends Reunited web-site, so had attracted an attendance of about 700 people. However very little hard-information regarding 2013 attendance had so far emerged. Chris hazarded an estimate that there may be 200 or so attendees in 2013 but it could be considerably more if the OBs can spread the news of the event widely. </p><p>Action: The OBs need to let the school have a better idea of the number of putative attendees as and when they can.</p><p>2013 REUNION: It was proposed that the format of the reunion would be similar to 2002's. Lynn confirmed that the school was very supportive of the event.</p><p>Actions: The eligibility for attendance at the reunion would include all former pupils that had attended 'Downer Grammar School' before the name change to Canons High in 1974/5.</p><p>The School to see whether there are any ex Downer teachers who may be able to attend.</p><p>PARKING: There is very little on-site parking. Insurance for on-site car parking would be at 'Own risk'.</p><p>Action: Attendees will, unless disabled or aged, be asked to use the nearby 'Hive', Barnet Football Club's Training Ground and public car park - £1 (formerly Prince Edward Playing Field).</p><p>TIMINGS: for May 18th it was suggested that the event start at 14:00, with arrivals from 13:30, and finish at 18:00. The school is normally used for classes on Saturday mornings until about 14:00. Action: The School to arrange for classes to terminate by lunchtime (ideally 12.30) on 18th May.</p><p>YEAR COORDINATORS: Only about a half-dozen year co-ordinators had so far emerged.</p><p>Action: OBs-effort to be made to contact Pat Holman as an additional co-ordinator and seek as many additional co-ordinators as possible.</p><p>FUND RAISING FOR THE SCHOOL: The event will be an opportunity for the school to fund- raise preferably towards the end of the event. Chris suggested that it would be helpful if a particular project could be identified as benefiting from sponsorship.</p><p>Action: The School to identify a project in the context of their 20 year Site Strategy.</p><p>REGISTRATION: Registration on arrival had been problematic in 2012 because of the unexpectedly large numbers involved. A major resource to be made available to the school, this time, would be the database of attendees.</p><p>Actions: The School to organise and man with the OBs several 'registration desks' to capture contact details and 'expertise' (possible ways to help the School) of attendees as they arrive. </p><p>The OBs to encourage putative attendees to pre-register to save time on the day. OBs and the School to consider whether the website for Canons High could be used for this. </p><p>The School to make a 'big screen' available that would provide details of attendees to OBs as they register. </p><p>OBs to arrange for the provision of white labels stating attendees name and year.</p><p>CATERING: It was suggested that tea, coffee, soft drinks and cake could be made available to attendees in the main hall by the school's caterers it was agreed that alcohol on school premises should not be available.</p><p>Action: The School to progress the above arrangements.</p><p>FACILITIES AND CLEARING UP; Public address facilities in the main hall and school loos to be made available on the day. School's cleaners to be used to clear up afterwards.</p><p>Action: The School to progress the above arrangements.</p><p>WELCOMES: Lynn will deliver a 'Welcome' speech and give former pupils an insight of the current direction of the school and the OBs will explain the programme for the afternoon.</p><p>CLASSROOMS: There will then be a need for about 15 classrooms to which year groups could decant – including approximately 4 'overflow' rooms for larger groups.</p><p>Action: The School to arrange.</p><p>SCHOOL TOURS: The school offered student led short tours of the school.</p><p>Action: OBs to consider how best to fit these in but probably by year from the classrooms.</p><p>HELPERS: The school would like to be able to access OBs who can act as Knowledgeable Helpers at the event as and when required.</p><p>Action: OBs to appoint 'Knowledgeable Helpers' and identify them by the use of coloured name badges. </p><p>INSURANCE: As a 'School-sponsored event', cover of attendees will be provided by the school.</p><p>SECURITY: The school was unable to identify any additional Security issues over and above those already covered by the school.</p><p>PUBLICITY: the school was content for the OBs to publicise the event with the local papers including the Harrow and Watford Observers.</p><p>Action: OBs to arrange.</p><p>LIAISON: Meeting attendees agreed to maintain contact by e-mail.</p><p>ANY OTHER BUSINESS: none.</p><p>DATE OF NEXT MEETING: 19 March at 13:45, Canons School. </p>
