Minutes from the February 14th conference call were approved as sent.

Announcements (Roy and Valerie) FSU announced plans for their summer conference will most likely be held on August 16 and 17, in Panama City. The theme will be innovation in libraries and there will be a strong collection development focus. They are looking for a national speaker (someone entrepreneurial, but not necessarily librarian). A call for proposals will be up by the end of the month on the conference website. The hotel will be the Wyndham Bay Point, with a cost of $99/night and a ten day window for the conference rate. They are hoping that a resort setting and a great program result in great attendance. Remember that Southwest and Delta fly into Panama City. Registration will be around $100 and there will be scholarships available.

FIU lost a valued colleague with the death of Nancy Hershoff who passed away unexpectedly. Nancy worked for 25 years at FIU in many capacities and will be greatly missed.

SUS Shared PDA E-books Selection Criteria (Roy) The hope is to have the shared PDA e-books program operational by June or July. There have been some delays as FCLA concentrated on shared bib. The implementation team has handed off the work to an profile/selection team (Michael, Steve, Carol, and Paul). There is $125,626.90 in a deposit account for the program. The basic starting profile is “comprehensive, undergraduate.” For cost estimating they will start with the basic profile and add non-subject parameters as necessary to build an appropriate starting collection. If the cost estimate is too high they may need to be more strategic with subject areas. An estimate will be requested for 2011 and 2012. If the profile becomes 2012 only, it will be small to start with, but grow each month as new titles are added.

By comparison, the UF/FSU e-books PDA cut down the number of titles by cutting years and staying graduate only. At this point, they are happy with the results. Titles are being purchased, but at a measured rate.

A discussion on maximum price resulted in a decision to start with $150.00 for the first cost estimate. Next steps included cleaning up the document and going back to the original committee for comment. The suggested profile will then go to Erin Gallaher and Janet Walsh at Ingram for a cost estimate.

Last Copy in Florida Policy update (Cheryl) This was approved at the last CPC meeting, but Shared Storage had some feedback that resulted in changes, so it will come back to this group in April for final comment and then will go out to other committees for further vetting, and finally to CSUL Deans for approval.

CSUL Meeting Update (Michael & Claire) A F2F Meeting was approved in principal, but CUSL Deans want to see an agenda before giving final approval. They also want to shorten the length of the meeting, which will mean revising the traditional meeting format. Gainesville or Orlando are the preferred locations (an idea to hold the meeting in conjunction with the FSU conference was not seen as feasible). Please send agenda items to Michael or Valerie. Doodle Polls for dates and location will be sent to ERS and CPC members. Preliminary dates are in late July or early August.

The prioritization of databases was discussed. We will need to review the criteria for validity in light of the new environment. What are we currently sharing that is not paid for by FCLA? Are some of them higher priority than some things that FCLA is paying for now? We need to look at databases/packages for overlap with state colleges.

Measurable action by the June meeting is requested on the shared e-book plan. We are on track to make that deadline.

CSUL reviewed the new DMS and voted to go with Islandora. They also proposed an interim solution where FCLA can support SOBEK while getting Islandora operational.

There was no formal report on the e-resource cost sharing discussion at the vice-president level, but there was much discussion of the various models. Various blended models with FTE, research, and usage are on the table. Michael cautioned them that from the collection development standpoint, it is difficult to have parameters that change year to year. Discussion followed. . RS Database Prioritization (new criteria) & Unmet Curricular Needs (Jane) An ER task force (Claire, Sherry and Jane) are looking at this. They have a lot of data from various sources:

Prioritization of what is in the FCLA collection. SUL funded resources list. 2009 unmet curricular needs submitted – wishlist. CCLA databases pricing sent from CCLA. Survey of core. They will try to pull all these pieces of information together to help build a common collection. They are working on a process for building a list of core resources. It is time to talk to CCLA about what the criteria are for a core collection. The task force will need to communicate to CSUL about where they are and where we should be going. Michael will get them a time frame from CUL, but the task force will likely need to report by the June meeting.

FCLA Update (Claire) Josh Greben has accepted a position elsewhere.

Single bib is on track for the June deadline.

They continue to work with ICUF and CCLA to expand collaborative licensing. Sage is extending our contract to Florida Colleges for a small annual fee.

Legislative Update (Claire) The two conflicting bills were resolved forming the Florida Virtual Campus effective July 1, 2012 and including FCLA, CCLA, Florida distance learning consortium, and Facts.org. There is also a degree completion pilot project led by UWF and 3 or 4 other institutions that will transition to the FVC next year.. The interim director of the unified library service section of the FVC is Jane Hayes who is meeting with CCLA this week and FCLA next week. There are meetings at the end of the month for deans and directors from state colleges and from universities. Committee structure will be up for discussion. Now is the time speak to your dean or director about the importance of the work of CPC and ERS.

Governance and administration decisions for the FVC has not yet been determined.

ERS Report (Jane) Three deadlines are coming up for input to FCLA

Student tech fees discussion to keep track of what people are receiving is ongoing.

Health Sciences Task Force (Cecilia) The medical and health libraries have agreed in principal that they need to be helping pay for the big packages. They are also considering consolidating access to the Cochrane databases with Wiley. If you are interested get back to Cecilia. Hopefully this will allow unlimited users for about the same price. Costs are unknown at this time.

SCS Report (Mark) With the consortial plans for a new DAMS (digital asset management system) ongoing, SCS wants to be involved in the process for implementation.

The committee is now almost a decade old, and looking at how they have engaged with CPC and CSUL over the years and how they communicate as a committee. They are in agreement that many of their conference call agendas could be handled by email, and there are interested parties in the state who could participate by listserv, who aren’t on the conference calls. This discussion will continue at the March meeting, with the result that they may move to doing more by listserv, and having fewer synchronous discussions.

Next meeting: April 10, 2012
