Purchasing Dept (x5191) 3) Contact Pete Larose in Clinical Engineering for guidance x5807</p><p>DEADLINE FOR SUBMISSION 1/23/2012</p><p>CAPITAL BUDGET REQUEST PROCESS OVERVIEW Budget Year 2013 (July 1, 2012 – June 30, 2013)</p><p>DEADLINE FOR SUBMISSION 1/23/2012</p><p>GENERAL INFORMATION</p><p>Definition of Capital: Property, Plant and Equipment (PP&E) are long-lived assets acquired for use in the operation of the facility. They represent expenditures for assets to be used over future periods. PP&E, which cost $2,500 or more with a useful life greater than two years, are considered capital expenses versus operational (departmental) costs. </p><p>Procedures: All tangible property, plant, equipment and software with a useful life of two or more years and meets the criteria of one of the following categories shall be capitalized, if; An individual item with a cost greater than $2,500, or; Bulk items whose combined cost equals or exceeds $2,500 will be capitalized if they meet the following criteria: . The item(s) are part of a set and would generally not be used separately, or; . Multiple units of the same item are purchased and each unit has a useful life of two or more years and the total of the purchase is equal to or greater than $50,000 or; . Equipment and furniture that is purchased as part of a renovation, remodel, or new construction capital project. </p><p>Acquisitions not considered capital, include the following:</p><p>A. Demolition costs (unless part of a renovation or new construction of an area) B. Carpet or tile replacement (unless part of a renovation or new construction of an area) C. Ongoing or periodic painting costs should be expensed (unless the cost is part of a renovation or new construction of an area) D. Periodic or recurring training on existing equipment and technology E. Software and subscription fees that are paid annually are to be expensed F. Identify your department capital needs a. Meet with your physicians, staff, and peers to solicit input b. Make sure the identified need meets the definition of capital (above). If you are unsure as to whether the need is for capital or operational funds, please contact Lito Landas x 8419 or Kimberly Black x8421.</p><p>2. Complete the Capital Budget Request Work Books in Business Objects a. It is critical that you provide all information as complete and accurate as possible. b. Work with the appropriate departments to develop the Capital Budget Request i. IT – Tom Brink x8581 ii. Clinical Engineering - Pete Larose x5807 iii. Facilities – Clint Lord x5480 </p><p>3. Submit all Capital Budget Requests prior to the Deadline a. JANUARY 23th, 5:00pm is the deadline!</p>
