<p> Administrative Assistant Job Description St. Olaf TRIO Educational Talent Search (ETS)</p><p>The TRIO ETS Administrative Assistant is responsible for maintaining efficient and organized office functions, coordinating tutors, supervising student workers, purchasing office supplies, assisting in the completion of performance reporting documents, and maintaining multiple databases.</p><p>Duties and Responsibilities: 1) Office Management Provide and delegate clerical, word Maintain/update ETS web page processing, and filing duties (WordPress) and online presence (Facebook, Maintain inventory of etc.) Administrative/program equipment; order and Coordinate tutor recruitment, purchase office supplies training, placement, evaluation, and Produce newsletters and mailings transportation Serve as “reconciler” for credit card Conduct graduate follow-up annually purchases Assist with Advisors’/Directors’ Complete time and effort requests certification Perform related duties, as assigned 2) Database Management Maintain and manage Microsoft Access-based database (Student Access) for over 1,500 current participants and graduates Print up-to-date student rosters, service logs and summaries, performance report data sheets, and other rosters as requested 3) Supervision Recruit, interview, hire, train, and supervise undergraduate office assistants, database assistants, and tutors Ensure that student worker and tutor time cards are accurately completed in a timely manner Maintain Google doc calendar for all student workers and tutors 4) Administrative Assistance Assist Director with completion of Annual Performance Report (compile and enter data, print rosters, edit reports, submit reports, document final submission, etc.) Assist the Director with coordinating site visits and monitoring activities Assist the Director with monitoring monthly expenditures and managing the budget Assist the Director with completion of grant proposals and other documents/tasks, as requested 5) Internal/External Public Relations Maintain relationships with students (target school and undergraduate), program graduates, parents, mentors, tutors, faculty, staff, and community and government agencies Assist with mentoring programs (coordinate recruiting paperwork, letter exchanges, assist with questions, arrange transportation, assist with on-campus visit, plan mentor appreciation, order t-shirts, etc.) Attend TRIO conferences to network, gain professional development and learn more about the programs Required Qualifications: Minimum Associates Degree plus Student Access, Microsoft Word, Microsoft two year general office experience Excel, WordPress, Pages, and Adobe Creative Suite including InDesign Advanced computer skills including database experience, spreadsheet/budget Ability to design and manage experience and experience with office complex filing system management software such as FileMaker Pro, Ability to prioritize and complete Sensitivity to diverse ethnic groups multiple tasks simultaneously Excellent public relations skills Additional Preferred Qualification: Personal background similar to that of students to be served (TRIO serves students from low-income families who would be the fist generation in their families to obtain a college degree) Previous supervision experience</p>
