<p> TREX vG2.1 Receipt File Scanning Tips</p><p>The TREX vG2.1 Expense Reporting system has the ability to attach receipts directly to your expense report in place of mailing paper receipts to the Travel and Entertainment Department.</p><p>As seen in the following screenshot, TREX vG2.1 will not accept receipt files larger than 2 megabytes (i.e., 2,048 kilobytes or 2,097,152 bytes).</p><p>Creating a receipt file requires scanning your paper receipts using a scanner or multifunction device (i.e., MFP). The scan settings on your device will determine the file size of the scanned receipt file.</p><p>The scan settings typically found on a scanner or MFP are:</p><p> Scan Color or B&W, Document Type, Output Quality, Resolution – DPI, and Optimize for Text/Photo.</p><p>The Color/B&W scan setting is the most important setting to be aware of! Color scan files will be 3 to 5 times larger than a Black & White scan file. The Optimize for Text setting is also important; it will create a smaller file than an Optimize for Photo file. The other settings can also further reduce file size if scanning more than 35 pages of receipts.</p><p>The scan settings are described below along with the recommended settings. Also see the table comparing receipt file size and scan settings.</p><p>Finally, you may want to change the default settings for your scanner or MFP if it is set for scanning photos (color scan, high output quality, and high resolution) as these settings will create large files.</p><p>1 Receipt File Scanning Tips</p><p>Typical Scan Settings</p><p>Color/Black Scan the document in Color or Black & White. Black & White (B&W) is also called monochrome. Some scanners also have Grayscale .</p><p>Document File Type Valid file types for receipt attachment in TREX are: PDF, tiff/tif, jpg/jpeg, bmp, gif, and png.</p><p>Output Quality Low, Medium, High. A higher quality setting produces a larger file.</p><p>Resolution - Dots per Inch (DPI) Typical settings are: 75, 150, 200 and 300 dpi. A higher resolution setting produces a larger file.</p><p>Optimize Text/Picture Change the scanning procedure based on the type of document that you are scanning: Text, Photo, and Manual Adjust.
