Newcomer Weekend Timeline

Newcomer Step Weekend Timeline

12 Weeks Out 1. Find a facility for the all weekend event – Fri night, all day Sat, and Sun afternoon. Churches work well, but private residences are better. 2. Present the dates of the weekend to group members and newcomers, and see if anyone has any firm conflicts. Newcomers have to commit to the entire weekend, Coaches and Leaders do not. Change the date as required. 8 Weeks Out 1. Ask for volunteers to lead the various sessions using the Step Weekend Signup sheet. If no volunteers, remind them of the commitment they made at their newcomer weekend to coach or lead future sessions. See if members are willing to let out of towners stay at their homes. 2. Contact other groups via the intergroup or GSRs to see if they will be sending Newcomers and/or coaches. Ask for phone numbers of potential coaches. 4 Weeks Out 1. Finalize the list of Leaders and Coaches. One-on-one approaches are more effective than those made in a group setting if you are having trouble filling the sheet. 2. Provide Leaders and Coaches with the Step Weekend Leader’s Guide, Step handouts, and Absolute Surrender guide. 3. Meet with Refreshments Coordinator. He needs to ensure refreshments will be provided for the entire weekend. You'll need up-front money from either your group, the Intergroup, or personal contributors a. Assorted Fruits or vegetable tray with dip b. Bagels, muffins, pastries and cookies c. Ice and beverages –diet and regular, juice, water, coffee d. Chips and crackers with dip e. Other carbs and caffeines 4. Decide to bring in lunch or gather several lunch menus from local eateries – dining-in is preferred. 2 Weeks Out 1. Confirm with Coaches, Leaders and the facility. Ensure that the building will be open or that someone has the key. 1 Week out 1. Reconfirm with Coaches, Leaders and facility and touch base with Refreshments Coordinator. The Weekend 1. Ensure Leaders, Coaches and Refreshment Coordinator show up early for setup. 2. Take a breath, let God take care of the rest of the weekend
