<p> Transfer Articulation Agreement Process</p><p>Initiate - The request for an articulation agreement may be generated from either an internal or external source. </p><p>Internally - The request for an agreement may be generated from a department or division within Northern Kentucky University (NKU). </p><p>Externally - The request may originate from another institution through an NKU contact.</p><p>Regardless of the origin of the agreement, all requests to initiate development of transfer agreements must be communicated in writing to the Department where the program is housed, office of Admissions Processing and Transfer Services (TS) and the office of Curriculum, Accreditation, and Assessment (CAA). CAA or department will coordinate and communicate the request to the appropriate Academic Affairs office, where the "Notice of Intent to Develop an Articulation Agreement" will be shared with the appropriate NKU individuals/offices, specifically the CAA Articulation Manager, departments, deans, and vice provost will be informed to gain added value and to communicate intent. </p><p>The Notice of Intent to Develop an Articulation Agreement will follow a standard format to include the following:</p><p> Name of program </p><p> Name of institution with which the agreement will be developed </p><p> Brief rationale to support entering into the agreement </p><p> NKU program contact person </p><p>Develop - The development of an agreement may be initiated internally or externally.</p><p>Internally - The office of Curriculum, Accreditation, and Assessment drafts the general institutional agreements and program agreements. The department or program coordinator, where the program is housed, will provide program specific information for the agreements. Both draft agreements are developed with the following considerations:  Complies with the Articulation Agreement Guidelines </p><p> Provides for input and review from the partnering institution </p><p>Externally - The partnering institution may draft an institutional or program specific agreement. The draft agreement is reviewed by the CAA Articulation Manager, the NKU Transfer Services office, and appropriate department/program with the same considerations as that agreement internally developed. </p><p>Comments and concerns are considered and brought to the CAA Articulation Manager for discussion with those who drafted the agreement. Any necessary revisions are made to the final draft of the agreement and presented to the Academic Affairs Office of the Provost. </p><p>Approval - The final NKU approval occurs in the Academic Affairs Office of the Provost. The CAA Articulation Manager will coordinate the communication and approval from the partnering institution. Upon approval from both institutions, two originals are created for signatures. The CAA Articulation Manager coordinates the signature process and if appropriate a signing ceremony, when appropriate. </p><p>Those invited to attend: </p><p> Agreement development members from both institutions </p><p> Deans, Program representative(s), Department Chair, Provost, and/or President from both institutions </p><p>Two sets of original documents are brought to the signing ceremony. </p><p>The event may include: </p><p> Light refreshments </p><p> Press coverage and press release </p><p> Photo coverage </p><p> Agenda to include: </p><p> o Welcome and introductions of each institution's representatives o Comments by those present </p><p> o Signing activity Communicate/Disseminate - Following approval in the Academic Affairs office of the Provost, and obtaining the appropriate signatures, the signed agreement is posted on the web site at NKU CAA Office. Others receiving notification are: </p><p> Deans </p><p> Program Coordinator</p><p> Department Chair </p><p> Office of Admissions and Transfer Services</p><p> Academic Advisors </p><p>Original copies of the agreement are disseminated to: </p><p> Academic Affairs office of Curriculum, Accreditation, and Assessment, which maintains all signed original documents </p><p> Partnering institution </p><p>Copies of the agreement are distributed to:</p><p> Program representative(s) </p><p> Program Coordinators, Admissions, Transfer Services, Vice Provost and Provost Promotion/Marketing - The CAA Articulation Manager will coordinate promotion and marketing of transfer articulation agreements to students in several ways: </p><p> Electronically inform academic advisors of new agreements </p><p> Include a statement on transfer guides that indicates the guide represents an articulation (partnership) agreement between Northern Kentucky University and the partner institution </p><p> Place new agreement on the NKU web site</p><p> Consider other web-based venues to promote agreements Promotion/marketing efforts will be monitored to determine the most effective methods of promotion as measured by students' use of transfer articulation agreements. </p><p>Annual Review - The academic program or CAA may initiate the annual review with the transfer institution. Any revisions to the program transfer agreement will be reviewed and approved by: </p><p> Program representatives </p><p> CAA Office </p><p>With approval of revisions and communication of changes to the CAA Office, a letter reflecting the revisions will be sent by CAA to the transfer institution. Approved revisions will be disseminated to: </p><p> Program(s) </p><p> Program Coordinator</p><p> Academic Advisors </p><p> Admissions Transfer Services</p><p>Each reviewed transfer articulation agreement will be dated to reflect the date of the review and to assist in maintaining the most current agreements. </p>
