End of Year Testing Procedures

End of Year Testing Procedures

END OF YEAR TESTING PROCEDURES

This is a quick step process and will be redone with images later. It’ll work for now. If assistance is needed to export roster from the program, use the procedures at the bottom of the page.

Step 1:

Export the roster from NDSP and save it on the desktop. Name of the file doesn’t matter.

If you do not know how to export roster, click here.

Step 2:

Open the Roster file and highlight the SSN column, right click on it and select “format”; then select “special” and select “SSN” to format the column to SSN.

Step 3:

Save the Roster file.

Step 4:

Log into IFTDTL and run a results report with the following information:

Query Options

By UIC:

Begin Report Date (DD-MMM-YYYY) This is the date the lab reports out the results. For Example: Use 01-OCT-2015.

End Report Date (leave blank)

Row Order Options

Order by 1. “Collection Date” leave the rest blank

Break Options (leave blank)

General Options

Output Format (HTML)

Layout Style (Tabular)

Maximum Rows/Page (3000) See step 5 if more than one page of results. Font Size (11pt)

Step 5:

Click on “Run Report” at the top of the page

Once report is generated, highlight only the information fields, not the header row. Highlight the entire page from the listed UIC (BAC) all the way down to the last information field at the bottom right (Report Date). Repeat if results consist of more than one page.

Copy it.

Step 6:

Open the End of Year Excel spreadsheet and click on IFTDTL Results tab and paste the information into cell B2. The rest of the fields will populate. Save this file under a new name so the original will be a template. BTW…There’s another Template tab in the spreadsheet, just in case there’s a mistake.

Step 7:

Open the Roster file you exported to the desktop and copy the information from A1 to G1 and down to the bottom of the roster list. “DO NOT highlight the entire columns by click on the header for each column.” We only want the contents of the cells highlighted and remember, do not go pass column G.

Once finished. Highlight it.

Step 8:

Go back to the End Of Year Excel spreadsheet and click on the Roster tab. Right click on cell A1 and click paste special so the fields will populate.

Once complete click on the FYTested tab. Members who required to be tested will not have testing information and it will be shaded in another color, perhaps Pink.

Step 9:

Click on the drop down arrow next to sample date (column G) and click on select all to remove the check marks, then scroll down and check on the box for “blanks”. Only the names of the members who haven’t tested will appear.

Step 10: Copy this information into a new spreadsheet or new tab and now you can sort them by name or SSN for selection for testing. Now, you’re good to go.

Export Roster Procedures

Export roster steps:

1. Go into Personnel Roster. At the top, there are two sheets of papers with Red arrows, click the one on the right. 2. Export Roster File box will appear for you to decide where to back up the file to. Select the desktop and create your own file name. Note: Name doesn't matter. 3. Once finished, click “save”. The file will save as .CSV file which is okay.
