<p> MU Extension Human Resources Hiring Checklist</p><p>Overview - The following information can be used by hiring supervisors to create, post, and recruit for University of Missouri Extension positions, including benefit-eligible staff positions, benefit-eligible academic/faculty positions, and non-benefit eligible positions that are posted through eRecruit. </p><p>Definitions</p><p>Interviewer – term used in eRecruit for the hiring supervisor, the search committee chair, and/or all those involved with interviewing candidates. One interviewer should be designated to lead the search and follow- through on the checklist below.</p><p>Hiring manager – term used in eRecruit for the person who manages the hiring process within eRecruit. For Extension, this term refers to an Extension HR representative (Mary Sheller).</p><p>Procedure – checklist for interviewer</p><p>Position Approval & Posting - email an updated job description and completed Form A (NTT eligible positions) or Form B (Non-NTT eligible positions) to Mary Sheller at [email protected]. She will post position after receiving required approvals. Form A and Form B located on webpage at http://extension.missouri.edu/hr/employment.aspx. </p><p>Recruit - Interviewer(s) recruits for the vacancy. In addition,</p><p> Hiring manager will post vacancy on the Extension.missouri.edu website </p><p> Candidates must apply online at http://hrs.missouri.edu/find-a-job/index.php.</p><p>Screen Applications and Conduct Interviews</p><p>Access Applications at https://hrprd.umsystem.edu/psp/prd/?cmd=login </p><p>1. Sign in using your normal user ID and password.</p><p>2. On the main menu choose Recruiting.</p><p>3. Then select Find Job Openings.</p><p>4. Then click on the Search button (without putting anything in the boxes)</p><p>5. Your job opening(s) should come up.</p><p>6. If you don’t see Find Job Openings, then select Browse Job Openings then in the drop down select Job Associated to Me.</p><p>HRD Form #1 06/2016 7. Choose job opening you want to look at, the applicants name(s) and selection of attachments will be listed.</p><p>8. Be sure to sign out when done.</p><p>Contact applicants, determine interview questions, and maintain good documentation. Go to Interview question selector at http://extension.missouri.edu/hr/interview/interviewbuilder.aspx if you need help selecting interview questions. You will need to enter MU pawprint and password to access.</p><p>Conduct reference checks (Form #2) either before or after interviews. Each committee member should complete an interview sheet (Form #3) for each applicant interviewed. </p><p>Offer Approval</p><p>Applicant disposition – email the following information to your hiring manager. </p><p> Who was invited for an interview</p><p> Who was interviewed</p><p> Who withdrew from consideration and why</p><p> Who is being considered for the job and why</p><p> Why others interviewed are not being offered the job</p><p> Any other pertinent information</p><p> eRecruit non-selection choices: • Applicant declined offer • Misrepresentation/falsification • Hours/Availability • More qualified candidate selected • Ineligible to work in position • No show for interview • Internal candidate selected • Not as strong in other factors • Lacks preferred credentials • Not as strong in research • Lacks preferred education • Not as strong in teaching • Lacks preferred experience • Poor interview • Lacks required credentials • Poor quality application • Lacks required education • Poor reference • Lacks required experience • Questionable work history • Location • Unable to contact</p><p>Salary approval – email the following information to your hiring manager. </p><p> Candidate name</p><p> Proposed salary offer</p><p> Salary calculator (if applicable) and/or justification for salary offer</p><p>HRD Form #1 06/2016 Offer letter & CBC – your hiring manager will email you a completed offer letter which includes information on the criminal background check (CBC) process to send your candidate once the offer has been approved. In cases where the applicant does not accept the offer, but would accept a salary higher and you are agreeable to the higher salary you cannot make that counteroffer without going through the approval process again. </p><p>Start date – interviewer can confirm start date with candidate once the CBC has cleared and they have talked with payroll.</p><p>Notify candidates – hiring manager will send email through eRecruit to all candidates not interviewed of final decision. Contact your hiring manager if you prefer to send your own correspondence. Hiring supervisor should contact those that were interviewed. Sample letter is available on website at http://extension.missouri.edu/hr/employment.aspx. </p><p>Records management – the following information is required to be maintained for three years.
