<p>IEEE Student Branch</p><p>6 University of Saskatchewan Meeting Minutes Page 1 of 6 2018-05-08 Present: Josh Rohs (Chair), Keira Olszewski (Vice-Chair), Kevin Wan (Academic Director), Naveed Mazloum (Finance Director), Cosme Loi (Social Director), Louis Veitenheimer (McNaughton Director), Matt Eisler (Illumination Coordinator), Keaton Wheeler (Grad Student Rep), Ryan Fink (HVC Coordinator), Kyle Sheasby (Robotics), Mike Konieczny (3rd year rep), Jacky Tam (Grad Banquet Co-Director), Rob Tremblay (PR Director),</p><p>Absent: Jayden Leister (2nd year rep), Fang Fang (Grad Banquet Director)</p><p>Call to Order: Motion to Accept Last Week's Meeting Minutes: Keira Seconded: Cosme, passed</p><p>Motion to start the meeting: Naveed Seconded: Keira, passed</p><p>CHAIR – Josh:  Election held  Attending NSS meeting Wednesday and SESS board of directors meeting Friday o Need to submit spreadsheet to NSS for finance o Advertised NSS BBQ, need to invite young professionals on Facebook  Doing ok on recruitment front, ~10 new members so far</p><p>SOCIAL – Cosme:  First beer night ◦ Almost 30 people attending ◦ Cosme needs to produce a receipt for the keg  Selling tickets for NSS BQQ ◦ Personally ask profs if you know them ▪ Keaton to ask Faried ▪ Rob to ask Lynch ◦ Tuesday, September 30 at 6pm  Going to set up a committee ◦ Has three members already  Need to pick a day for the next beer night</p><p>MCNAUGHTON – Louis:  Reimburse “University of Saskatchewan, Attn: Kelly Bader, E&C Eng” for $4,249.20 ◦ Louis motioned, Naveed seconded, passed  Parts have been shipped [Type text] [Type text] [Type text]2</p><p>◦ Reimbursement for $601.24 ▪ Motioned by Keira, Rob seconded, passed  Textbook sale went well, people have 3 weeks to pick up money  Going to bring in a toaster  Getting more lockers, how many do we need ◦ MCN, Finance, plus a few more ◦ Ask for 4  Any other things we want to add to McNaughton? ◦ Rob to bring a Keurig ◦ Going to do a Costco trip ◦ Any other thing we want to buy or bring from home? ▪ More video games? ▪ We’d like to license MCN from time to time ◦ Can we access the SESS movies server? Not a server, just a hard drive</p><p>ILLUMINATION – Matt:  Still filling positions, only one left  Still working to pick a venue, need to coordinate with Grad and Social  Josh and Matt need to apply for Dean’s (SESS) funding</p><p>GRAD BANQUET – Jacky and Fang:  Need to discuss with board of directors which is our day for pizza and booster juice sales  Jacky to contact pizza guy tonight about sales tomorrow  Jacky to contact Booster Juice to aim to start next week</p><p>ACADEMIC – Kevin:  Emailed second year profs about midterms ◦ EE202 midterm Nov 5 ◦ Waiting to hear from the rest  Ryan to run SPARC and Minty Boost ◦ Short of parts, missing tweezers, need to find solder, and magnifying glasses ◦ Minty Boost next Wednesday  Need to set up soldering tutorial, after midterms, November maybe</p><p>HVC – Ryan:  Nothing to report  Setting up signing rights next week  Still looking for charities and committee members  Old coordinators to send report in next few days IEEE Student Branch</p><p>6 University of Saskatchewan Meeting Minutes Page 3 of 6 2018-05-08  Need to pick a date</p><p>PUBLIC RELATIONS – Josh:  Weekly email ◦ Welcome barbeque, textbook sale over, pick up your money, robotics Friday 5:30 in Tau it will help you with programming microcontrollers, illumination needs technical director, pizza sale, hvc committee members, twitter and facebook,  Alberta trip, starting to look at industries for tours</p><p>FINANCE – Naveed:  Keg cost $220, cosme needs to provide receipt  Need to find key to the grad banquet cash box, still no luck, Josh to check all the lockers  If you need float for a cash box, talk to Naveed  Any interest in a jacket sale, plan for second semester  Give Naveed leftover cash, don’t just leave it in the cash box</p><p>VICE CHAIR – Keira:  I brought a cheque to the meeting from the IEEE website contest  Kyle and Jayden ◦ Need to check verification and finish setting it up  Need to set up email forwarding for ◦ Mike, mjk598 ◦ Jacky, cht064 ◦ Fang, ◦ Rob, [email protected]  Set up google drive  Let me know what people want added to the website and calendar  See the congress notes below</p><p>GRAD STUDENT REP – Keaton:  Nothing to report  For future events to entice people to volunteer for exec, offer half price cost to events, something to discuss (maybe just beer nights, or one free event or something)  Voting system from last year seemed bizzare, potentially vote chair first, then next position, and so on, because they ran for more than one position, have multiple ballots, instead of all names on one ballot, check the wording on the constitution  Grad students feel there are not enough networking events ◦ Thinking of trying to do an industry booth event in a very informal setting [Type text] [Type text] [Type text]4</p><p>▪ He used to do a “beers and careers on the lawn,” would not work due to weather ▪ Getting positive feedback from industry including offers from industry for $$ support ▪ Going to plan something similar THIRD YEAR REP – Mike:  Nothing to report</p><p>SECOND YEAR REP – Jayden:  Jayden appointed as our first second year rep!  Tell the class new members are free, members are $10, non-members are $15</p><p>ROBOTICS – Kyle:  Had a meeting with 3 new members showed up, and two existing (1 second year elec, 1 third year cme, 1 third year ep) ◦ Few more people came to the robotics meeting this year  Trying to get the word out to all of first year, possibly whole college  Trying to get a spiel during minty boost  Jayden to tell second years with help with your microcontroller class</p><p>OTHER – Keira’s Congress Notes:  Engenuics: if you read nothing else, read this, I think it sounds like such a good idea o They offer a program called MPG (microprocessor group) o Their website . http://engenuics.com/mpg/ o Here’s a blurb about them . http://engenuics.com/wp-content/uploads/2013/09/mpg_overview.pdf o The program teaches students hands on, marketable skills, including circuit fundamentals, hardware design, soldering, interfacing with Bluetooth (specifically ANT tech), and lots of real-world programming . This would be super handy for design o It’s non-profit, the only costs for it is the hardware, if we want it . if someone is interested in the through SPARC or academic for tutorials, and they skype him about this (preferably a 3rd year, or non-graduating student so we don’t lose this at the end of the year) he’ll send us a dev board for free to play with so we can decide, I can be in on this, or contact him for you, since I met the guy who this belongs to o He gave me a prototype of one of the projects they do (might even be one of the first that’s done), it’s cool o U of C has MPG set up as a “co-curricular record” which would put it on the student’s transcript, we could lobby for this too  We won second place for the R7 student website competition, it netted us $350, if we step up IEEE Student Branch</p><p>6 University of Saskatchewan Meeting Minutes Page 5 of 6 2018-05-08 our game we could get $500 and beat McGill, there’s a list on the IEEE website of what’s needed for a student website  Member benefits, we never really know what these are besides our local ones o We can order recruitment packages to hand out leaflets while recruiting . http://www.ieee.org/membership_services/membership/discounts/discounts_pro mo_resources.html . http://ewh.ieee.org/forms/md/supplies-ondemand.php is the form, you have to sign in with your ieee account o A huge benefit is the “resume lab” . http://www.ieee.org/membership_services/membership/resumelab.html . it seems super helpful, it builds resumes, cover letter, etcs, that are customizable, gives you practice questions for interviews o Our SB counselor can nominate a 3rd year to win a $5k scholarship for volunteering, it’s due by Mar 15, go talk to our counselor o There is also apparently a “NSS Huff scholarship” for their capstone project o There’s a list of student benefits on the IEEE website o If you have an ieee.org email alias, I think you can get an additional 32GB google drive, but I need to look into this still o IEEE discounts for random things, like car rentals  Recruitment o This is a huge priority o Top 3 recruiting schools are going to have whoever comes up with their recruiting strategy invited to the student congress (an additional student than next year’s chair), invited by the president, to talk about recruiting strategies  McNaughton o Is supposed to be a learning resource center and we can get grants of $1k or $5k, to upgrade it as such (talk to ICF about this, IEEE Canadian Foundation) . One school got itself a 3D printer . Some buy and rent out equipment (such as the 3D printer, or soldering stations) . We need to apply by Nov 15 if we want this o An idea for our store is to put in weekly digikey orders to save students $$ on shipping  Chair o Is Josh a voting member of NSS? He should be o We need to update our branch report and chair, IEEE will give us money for this (it still says Kayla is chair) . And then file again for next year after the election . Keep the report updated with events throughout the year  Illumination o This might qualify for funding through the SPAx program because it involves the young professionals and students [Type text] [Type text] [Type text]6</p><p> PR o U of C branch wants to meet us in Edmonton on our trip this year  Notes o When we use the IEEE logo, we aren’t allowed to screw with it, I don’t think we do, but it has to be blue or black and the exact proportions used by IEEE, if we’re using IEEE as part of our student branch we can make our own logo, but we can’t crew with theirs, just use it as is, this includes no drop shadow o If we have an especially good initiative, or one of our members does something awesome (a great design or something) we can send it to IEEE.tv and they’ll feature it, that’s cool o Check out Eta Kappa Nu www.hkn.org it’s an IEEE student honours society o Should robotics or minty boost tour high schools? . Need to be wary of legal implication of working with kids though o There are videos on the “IEEE Center for Leadership Excellence” on how to do the director positions o To use the IEEE website google IEEE with your search term since the search bar on the site only searches documents o The exec is supposed to be: . Chair, Vice Chair, Secretary, and Treasurer . But we can have whatever we want, and add more positions to our heart’s content . Can start a position as a non-voting position and then add it to the constitution as we see fit o Other branches take international trips, do we have the ability/interest? o There are tutorials for “SAMMIEEE” which is the dashboard for finding info on our members o</p><p>Motion to adjourn: Rob Second: Cosme, passed</p>
