August 2016 Dear Parent/Guardian,

PLEASE TAKE TIME TO READ ALL THE CONTENTS OF THIS LETTER CAREFULLY

The 20016/17 season starts on Saturday 3rd September 2016 at the Rugby Club, John Hunter Memorial Ground and we would like to encourage anyone (boys & girls) who are in P2 to Y8, to come regularly on a Saturday at 10.00AM SHARP. [Age groups are from July 1st]

Each training day will commence with a roll call, warm-up session, then a development skills session followed by a practice game/games session. Parents/guardians are requested to collect all participants no later than 11.30 am (P2 at 11.15) unless you have been notified of a change in time.

The IRFU have placed a requirement for all players to be registered. This is done by completing every box on the Registration Form. A copy of the player’s birth certificate is required on their first registration with the Club. The Code of Conduct must also be read and is available with the required forms on the Club website.

This year the annual fee will be £40.00 for the first family member and £30 for every one after that. All parents of Junior Members automatically become members of the Parent Support Club which allows use of the Club facilities and access to events. Full Club membership (£120pa and separate form required) is also available which includes automatic membership of the Mini/Maxi section..The deadline for completion of registration forms and payment of fees will be the end of September. NO player will be permitted to take part in matches until they are registered due to Child Protection and Insurance. Any new member will be permitted 2 weeks to complete registration but will not be permitted to take part in matches until fully registered.

The membership fees are necessary to cover insurance, team kit, pitches, refreshments and other related Club costs affecting the Mini/Maxi section of our Club. In addition to weekly training/fixtures each player will be invited to an end of season prize morning where every registered player will receive a certificate and medal. Other events rugby related events will be run throughout the year.

As in previous seasons the Mini/Maxi section of our Club can only function and survive if we have sufficient parents/guardians willing to help out with coaching and catering etc. Anyone who is willing to help either full time or part-time with coaching or catering please contact me ASAP – training will/can be provided as necessary. In addition as from this season it was agreed at the last parent Meeting that for a period of 5-6 weeks as outlined on the fixture list a duty team will be nominated. This will require the parents of this team to look after kit sales, registration, tuck shop and drinks at each training session and at home games assist with parking, tuck shop, teas and coffee, serving the after game food and clearing up the Club after the food.

It is also important to our coaches that you instruct your child to pay attention at all times whenever advice is being given on matters of safety, behaviour, general procedures and information. Anyone who continually does not listen, misbehaves or is obstructive to the extent of putting the safety of others at risk will be warned about their conduct and you will be informed. If they then persist with their behaviour their membership will be cancelled. Our Club’s Child Protection Officer/Children’s Officer is Janis Simpson Mahoney, who can be contacted through the Club. If you have any concerns regarding child protection issues at our Club please raise them with me ASAP. Please advise your child to inform their respective coach at the time of any injury. Please inform coaches ASAP if your child has an injury and advise them as to when your child will be fit to train/play again. We will NOT allow players who are not fully fit to train or play for the Club.

If your child suffers from asthma please ensure that they have their own inhaler with them at the pitch at ALL times and that they use it when necessary. As coaches we cannot assist in the use of an inhaler or allow one player to use another player’s inhaler if they have forgotten their own.

The first few weeks of the season will involve training only and then we will play other Clubs. Details of fixtures and Club news can be viewed on our web site at www.limavadycrfc.co.uk and will be subject to change. I would encourage all players to regularly check this on Friday night in case of changes. We travel to away games in cars and a suitable lift should be arranged if you are unable to travel.

An email address is an essential method of communication as regular information is provided by me. Any late changes to the fixture list/programme will be circulated in an email to all our members on a Friday night or Saturday morning in order to avoid members travelling to the ground when match/training has been cancelled. Regular contact will come this year from your team coach.

All players, coaches, parents/guardians and spectators are being requested to adhere to the IRFU Code of Conduct. Players and parents/guardians are required to sign on the Registration Form that they have read the Codes of Conduct. The Codes of Conduct can be found on our website (‘Downloads’ section). If you have any matters you wish to raise regarding coaching at our Club please contact me ASAP in order that they can be addressed promptly and efficiently.

Finally, regarding the matter of gum shields – ALL PLAYERS MUST WEAR A GUM SHIELD AT PRACTICE & DURING MATCHES where contact activity is involved – NO GUM SHIELD - NO PLAYING. Any player who does not have a gum shield will have to sit out during contact exercises – NO EXCEPTIONS. Cheap gum shields are all that is required for insurance purposes; however research has proven that they actually can, on occasions, cause or increase the risk of injury. As a Club section we would recommend the purchase of ORTHODONTIC FITTED gum shields.

To register please check you have completed and included the following: 1. Registration Form with all boxes completed 2. New Players or those who have not yet done so provide a photocopy of Birth Certificate 3. Read the Code of Conduct and Data Protection Section on the ‘Downloads’ section of the website 4. All players - Registration Fee (£40 for first child, £30 for every child thereafter. Cheques payable to “LCRFC”)

Remember registration must be submitted before matches are played. Registration and kit purchase can be carried out at the Clubhouse on Saturday 3rd September 9.45 – 11.30 am. After these dates it will be done on a Saturday at the Club.

If you have any queries or concerns regarding the Mini/Maxi Section of the Club do not hesitate to contact me. Thank you for taking the time to read this letter and I look forward to your support this season.

David Moss-Bowpitt Mini/Maxi Convener Tel: (h) 028 777 63194 (m) 07816 779584 Email: [email protected]
