OF VACANCIES: One (1) Washington, DC 20009</p><p>TOUR OF DUTY: Full-time, 40 hours per week FLSA CLASSIFICATION: Exempt</p><p>SALARY: Commensurate with experience, plus benefits</p><p>POSITION SUMMARY</p><p>The Information Systems (IS) Secretary performs a wide variety of duties that support the daily administrative and technical work of the IS Department. Primary duties include (1) preparing reports, routine correspondence, and materials for national meetings such as minutes, notices, manuals, and agenda; (2) operating digital equipment such as computers, scanners, microfilm readers, media duplication machines, fax machine, and copy machines; and (3) ensuring accuracy of data entry. The IS Secretary also responds to general inquiries in a professional manner. Within scope of abilities, the incumbent provides simple technical support to employees utilizing information systems and assists in their training when necessary. Duties are performed under moderate supervision following established procedures and deadlines. Also, the Secretary must use superior customer service practices and preserve confidentially of sensitive information. May perform other duties as assigned by the IS Interim Director who is the immediate supervisor.</p><p>DUTIES AND RESPONSIBILITIES</p><p>1. Performs general support functions such as handling calls, emails, and in- person requests; organizing and updating files; responding to routine correspondence in writing and orally; data entry; generating reports; ordering and maintaining sufficient office supplies; and distributing mail. 2. Handles confidential data and performs necessary tasks for the department, e.g., shredding confidential documents. 3. Provides key support to the “Help Desk,” referring those complex situations that require immediate attention to the supervisor. </p><p>An Equal Employment Employer 4. Verifies membership and financial status for chapters and Regional Directors. 5. Uses various office equipment to assist with the printing, assembling, and mailing of dues mailers and membership stickers. 6. Completes data entry to member and chapter records using dues renewal forms and chapter transmittal of funds forms and ensures accuracy. 7. Assists in the implementation of new policies and procedures and system upgrades, within scope of abilities, and in training staff when necessary 8. Assists in the preparation of materials for national meetings, including conventions and conferences, such as minutes, notices, manuals and agenda, and registration packets. 9. Serves as a team member in providing overall superior customer service to Delta’s officers, committees, members, and staff and to the public. 10.Obtains bids for printing projects of the IS Department. 11.Handles low-level changes to the telephone directory and assists staff with access to voice mail. 12.Travels, when required, to conventions and conferences to support registration and other activities. 13.Performs other duties as assigned that may be required to meet the goals and responsibilities of the IS Department.</p><p>QUALIFICATIONS (Required Knowledge, Skills, and Abilities)</p><p>1. Must have a high school diploma or G.E.D. Note: There will be no exception. 2. At least three (3) years of administrative/secretarial experience that includes the performance of the kinds of duties described in this announcement. 3. Experience should reflect the ability to perform general office skills and use various office equipment. 4. Computer proficiency that demonstrates efficiency in using Microsoft Office 2000. 5. Ability to acquire within a reasonable time the skills needed to use organizational software programs – specifically iMIS. 6. Ability to acquire within reasonable time knowledge of the organization and the departmental program structure – mission, goals, policies, and procedures. 7. Strong written and oral communication skills. 8. Ability to work effectively as an IS team member, with other staff, and with members of the organization at all levels. 9. Experience handling multiple interruptions and adjustments to priorities. 10.Ability to excel in a fast-paced team environment. 11.Ability to manage multiple tasks and meet required deadlines. 12.Ability to provide superior customer service.</p><p>An Equal Employment Employer 13.Ability to handle routine situations and refer calmly and quickly those of a complex or emergency nature. 14.Ability to maintain strict confidentially. 15.Ability to follow instructions, pay close attention to detail, and work under moderate supervision.</p><p>DESIRABLE QUALIFICATIONS (Possession considered a plus)</p><p>1. Associate or higher degree in computer science or related field. 2.
