<p>The Constitution of the Students for South Asian Service at The Ohio State University</p><p>Article 1: Name and Mission of the Organization, Statement of Non-Discrimination Section 1: Name</p><p>This organization shall be deemed “The Students for South Asian Service,” otherwise referred to as SSAS. Section 2: Mission</p><p>SSAS’s mission is as follows: • To promote the Socio-Economic betterment of underprivileged groups in South Asia through local and international outlets. • Foster appreciation and awareness of South Asian culture. • Help manifest an environment of openness and nurturance for religious, national, and ethnic differences. • Give access to personal leadership development to all members of the South Asian community. • Encourage interaction between South Asian groups and build a community of mutual support. Section 3: Statement of Non-Discrimination</p><p>This organization and its members shall not discriminate against any individual(s) for reasons of age, color, disability, gender identity or expression, national origin, race, religion, sex, sexual orientation, or veteran status.</p><p>Article 2: Membership Qualifications and Categories Any person who wishes to associate with the organization, its mission, and enrolled at The Ohio State University is considered a member of SSAS. There is no membership fee. Voting membership is limited to the Executive Board. The organization will have a general body. </p><p>Article 3: Organization Leadership</p><p>Section 1: Leadership Positions, Responsibilities, and Terms of Leadership</p><p>All positions are to be held from the period of Spring semester after being elected to the end of Spring semester of the following year. New Executive Board members will be selected at the beginning of spring semester and will work in conjunction with the previous board in an apprenticeship role to facilitate leadership training. All members of the Executive Board are expected to attend all SSAS meetings unless they have provided a valid reason for their absence. If there are vacancies in the board or the current board feels a need to expand, an application and interview process similar to the First-Year Representative appointments should be used. The positions are as follows: Co-Presidents Spokesperson for the organization Provide general leadership guideline for all projects, members, and initiatives taken by the organization Unify efforts of all the group members towards a single goal Act as an overseer for all new initiatives Directs Executive Board meetings Must have at least one year of previous experience on the SSAS Executive Board Responsible for maintaining active status</p><p>Vice President Act as a coordinator for total efforts Provides support to the President Responsible for booking meeting/event rooms</p><p>Director of Event Planning Responsible for event ideas and mindful of other campus events Organizing logistics and assigning roles for the event Communicating with other members of the board about budget, administrative, etc. </p><p>Treasurer Control influx and outflux of capital Look into fundraising opportunities Provide budget and expense reports (CSA Application and Audits) Care for financial well being of the organization</p><p>Director of Communications Makes meeting minutes and takes notes during the board meetings Responsible for emailing the minutes out prior to the meeting Records minutes and attendance at events Maintain the SSAS calendar of events</p><p>Director of Marketing Responsible for social media, graphics, flyers and miscellaneous marketing Keep the public informed of SSAS’s effort (listserv, etc.) Maintain the SSAS website and any online media/outreach sites Work with other organizations Director of Fundraising (2) Responsible for finding and conducting fundraising and sponsorship. Responsible for informing board of fundraising goals and how much has been raised.</p><p>Director of Research (2) Research new technologies/opportunities that align with SSAS goals Research causes in South Asia that are applicable Committee Chairs (2-3) Act as the primary SSAS contact to other organizations on campus Lead specific projects in coordination with collaborators Provide information to other organizations about the resources provided by SSAS Work with other organizations</p><p>Underclassmen Representatives Bridge between upperclassmen and underclassmen Ideas for underclassmen involvement Involving younger students</p><p>Section 2: Elections</p><p>The Co-Presidents and Vice Presidents will be the only positions that are elected. Voters will consist of the SSAS board. After the election, the new Presidents and the outgoing Board will select other board positions from applicants. If a present member of the Executive Board is applying for a position on the Executive Board for the following year, they cannot be present while deliberations on that position are in progress. Vacancies in the Executive Board will be filled by an application and interview process.</p><p>Article 4: Removal of Members Section 1: Removal of Executive Board Members</p><p>If for any reason, a voting member of SSAS feels that an officer is not fulfilling his or her responsibility, that member can propose the removal of an officer. This motion requires a second. If this is the case, said member will make a 5 minute speech presenting reasons for the removal while the Officer in question is excused during the speech. The Officer in question will then be allowed to make a 5 minute speech defending his or herself. The Officer will then be excused again from the meeting, and the remainder of the Executive Board will vote on the issue of removing the officer or not—to successfully remove an officer requires a two-thirds vote. In addition, the advisor must approve the demotion. In the case of an officer being removed, an emergency election or application and interview process will be held within the following two weeks to fill the vacancy, if deemed necessary by the Presidents.</p><p>Section 2: Removal of Voting Members</p><p>If for any reason, a voting member of SSAS feels that another voting member of SSAS is causing serious disruptions to the mission and goals of SSAS, they may make a motion for his or her removal at a SSAS Executive Board meeting. There must be a second for this motion. If this is the case, the member requesting removal will make a 5 minute speech presenting reasons for the removal while the member in question is excused during the speech. The member in question will then be allowed to make a 5 minute speech defending his or herself. The member will then be excused again from the meeting, and the remainder of the Executive Board will vote on the issue of removing the member or not—to successfully remove a member requires a two-thirds vote. In addition, the advisor must approve the removal. Article 5: Advisor Qualifications and Responsibilities Section 1: Qualifications</p><p>The Adviser of SSAS must have a good understanding of the goals of the organization. The Adviser will also be a member of the Ohio State University’s Faculty or Professional Staff. Section 2: Responsibilities</p><p>The Advisor of SSAS will be open to communication from all members of SSAS. The Advisor will remain in communication with the Executive Board in order to make sure that the organization is running in accordance to its mission.</p><p>Article 6: Meetings of the Organization SSAS will meet during all terms except the summer term. Meetings of the Executive Board The Executive Board will meet weekly. Members of the Executive Board will report all activities relating to SSAS’s or relevant organizations during this time. Anyone who wishes to attend an Executive Board meeting must contact the Executive Board 24-hours ahead of time for approval.</p><p>Article 7: Amending the Constitution Section 1: Proposals</p><p>All amendments will be proposed at the Executive Board meetings. Following presentation of the proposal, it will be discussed by the SSAS members and voted upon. Any conflicting issues with the rest of the constitution will also be made known during this time. Section 2: Voting on the Proposal</p><p>After thorough discussion, SSAS members will then vote on proposed amendment the following week. If there is a two-thirds majority in favor of implementing the proposal, the constitution will be amended accordingly and implemented in the following meeting.</p><p>Article 8: Dissolution of the Organization</p><p>If the organization falls beneath a membership amount of 5 members (including Executive Board), the organization will thereby dissolve. In the case of outstanding debt, the remaining members will make a case to the SOURCE to see if the debt can be absorbed them. In the case of remaining assets, all assets will be donated to a charity of their choosing.</p>
