<p>1</p><p>COULSTON PARK COMMITTEE OF MANAGEMENT</p><p>Minutes of Special General Meeting, Wednesday 8th October 2014</p><p>Held at Tangambalanga Community Centre</p><p>Meeting opened by Indigo Shire Deputy Mayor, Cr Peter Croucher, who congratulated the former Committee of Management for many achievements and acknowledged the numerous years served by outgoing President, Damian Ley and Secretary, Pam Davis-Jones. </p><p>PRESENT: Val White, Peter Read, Shelley Lancaster, Di Kerr, Kay Beazley, Steve Larkin, Lisa Knight, Peter Croucher, Jenny Larkin.</p><p>APOLOGIES: Nil</p><p>MINUTES OF THE PREVIOUS GENERAL MEETING held 3rd September 2014 were read by the Secretary Jenny Larkin. </p><p>Moved D. Kerr, Seconded P. Read that the minutes be accepted – CARRIED.</p><p>BUSINESS ARISING FROM MINUTES Email notice of Committee resignation from Chris Isaac. ACTION P. Read to engage Max Dunlop to slash oval perimeter when needed and lop tree branches as required for tractor access.</p><p>CORRESPONDENCE IN Thankyou note from Pam Davis-Jones.</p><p>CORRESPONDENCE OUT Emails circulated in folder.</p><p>Moved S. Lancaster, Seconded L. Knight that the correspondence by received and endorsed – CARRIED.</p><p>FINANCIAL REPORT as submitted by Treasurer Peter Read and included with minutes. Bank account balance $23,710.01. Investments balance $14,861.02. The Bowling Club have received an invoice from Indigo Shire for garbage collection they believe is not relevant. ACTION - P. Read to check any past payments made to Indigo Shire for garbage removal.</p><p>Moved P. Read, Seconded D. Kerr that the financial report be accepted and accounts arising be approved for payment and those already paid be ratified – CARRIED.</p><p>D:\Docs\2018-04-03\0720e78a70148765d156444ff180bb6a.docx REPORTS</p><p>Secretary – Jenny catered for Councillors on 23/9/2014 with the profit donated to the Community Centre.</p><p>Netball – Di explained soil works around court will be completed now that the season has ended. A successful season with U18 Premiers 2014.</p><p>Tennis – Shelley said the Club had reached a compromise regarding the Public Liability with Tennis Victoria and will be covered for competition played on the 4 synthetic courts only. Payment reduced to $540.</p><p>Lions – Peter told the meeting the Lions have removed all belongings from the Community Centre and relocated to the former kindergarten at Kiewa East Road, Tangambalanga next door to the butcher.</p><p>Football – Lisa recapped the successful Premiership 2014 for KSCFC. The AGM will be held 26th November 2014. New coaches have been appointed for next season. Ongoing discussion regarding design and location of proposed 3 bay shed for storage use by football and tennis clubs. Proposer club/s to supply written submission to Committee for consideration at next meeting.</p><p>Bowls – Kay told meeting the season has just opened. A windstorm shredded the shade cloth on the northern end of the greens. RSL have relocated their home to the Lions building. Club holding a come and try day 12th October 2014.</p><p>Community Centre – Val advised of missing gas plate top. ACTION – Steve aware of such and will repair and replace. Football club asked to remove wire between buildings. Mick Coish has cleaned windows very well and also engaged to clean cooktop and range hood. </p><p>Moved D. Kerr, Seconded S. Lancaster that all reports be received – CARRIED.</p><p>SPECIAL BUSINESS</p><p>To align our bank account name and shire records the following motion was proposed. </p><p>Moved J. Larkin, Seconded V. White that the bank account name is altered from Coulston Park Trust to Coulston Park Committee of Management – CARRIED. 3</p><p>GENERAL BUSINESS</p><p> a. Election of Office Bearers and Committee 2014. The position of Chair remains vacant. Deputy Chair – Val White nominated by D. Kerr, Seconded S. Lancaster; position accepted and duly elected.</p><p>Committee members Lisa Knight and Kay Beazley nominated by J. Larkin, Seconded S. Lancaster; accepted and duly elected. </p><p> b. Moved P. Read, Seconded S. Larkin that user fees remain the same – CARRIED.</p><p> c. Moved D. Kerr, Seconded L. Knight that meeting dates remain quarterly, being the 2nd Wednesday of March, June, September and December – CARRIED.</p><p> d. User groups dealing direct with Chris Westwood, Indigo Shire re Seasonal Agreements.</p><p> e. Tree branches and pruning placed adjacent to bowling club to be removed. Steve has offered assistance for disposal. ACTION-Tennis Club</p><p> f. Concreting between the Community Centre and Football Club rooms has been unfinished since establishment of new buildings. Existing concrete and rubble needs removing. New concrete has challenging levels to align between buildings. Moved V. White, Seconded D. Kerr that we accept todays quote from Andrew Dove ($7,700 inclusive) to compete works - CARRIED. ACTION-S. Larkin oversee contract with Andrew Dove.</p><p> g. Di advised of traffic flow problem in car park. Agreed to install “keep left” sign and painted arrows on road to guide drivers. ACTION – S. Larkin to organise.</p><p> h. Lawn area to east of Community Centre requires topdressing during spring. Area at rear of players’ bench and in front of car park requires filling with hard material, possibly road base. ACTION – Jenny getting quotes. </p><p> i. Roses donated by Kiewa Valley Red Cross. ACTION – D.
