<p> Steering Committee Meeting Summary July 9, 2013</p><p>Meeting Overview</p><p>On July 9, 2013 the UAB Online Steering Committee met at the Clarus office for a two-hour planning retreat facilitated by Clarus, with the objective of reviewing the strategic planning project’s scope and timeline. Additionally, the Steering Committee discussed the selection of stakeholders who will help inform the plan through participation in a data gathering process. The retreat agenda can be found in Attachment A and a complete list of participants can be found in Attachment B. </p><p>The morning was launched with an introduction from Dr. Martha Bidez, Director of the UAB Division of eLearning and Professional Studies. Dr. Bidez acknowledged that fear and division currently exist around the culture of online learning at UAB. At the same time, she is hopeful and encouraged by the possibility of fostering UAB Online as an overarching brand for all opportunities related to distance education at UAB. Dr. Bidez stated, “If we focus our efforts and re-energize around UAB’s bold programming and research capabilities, then we will not be competing with other institutions. Rather, we can make the competition irrelevant.” </p><p>The other Steering Committee members embellished upon the introduction and thoughts offered by Dr. Bidez by providing additional commentary around their vision for UAB Online. </p><p>Steering Committee’s Initial Thoughts Regarding a Vision for UAB Online</p><p>- Structure that helps support all students, faculty and programs</p><p>- State of the art training </p><p>- High-quality, engaging, interactive courses, programs and continuing education </p><p>- Helpful and user-friendly </p><p>- Front-end coordination and collaboration across all schools</p><p>- Well-constructed, collaboration between IT department and academics to result in stronger partnerships </p><p>- Highly collaborative and interactive</p><p>- Trusted, high demand, sought after</p><p>- Body of knowledge, resource </p><p>- Embracing of all learners</p><p>1Confidential—Do Not Distribute Clarus Consulting Group, Inc. ◦ www.clarusgroup.net ◦ (205) 254-0129 - Leader of online learning, global outreach, and academic learning</p><p>- Raise the bar of quality across the campus and provide a baseline/standard</p><p>- GLOBAL leader </p><p>- Quality</p><p>Project Overview </p><p>Lynn Elgin, Principal of Clarus, spent the next portion of the meeting outlining the roles and responsibilities of the Steering Committee, the timeline for the project, and the stakeholder engagement process. The Steering Committee had some ideas for additional stakeholders who would add value to both informing and creating the Strategic Plan. The complete suggested list can be found in Attachment C. </p><p>Additional Stakeholder Suggestions for Informing the Strategic Plan: </p><p>- Online academic program administrators (along with Deans)</p><p>- Max Michael, Dean, School of Public Health </p><p>- David Randall, Sr VP Strategy & Bus Dev, UAB Health System </p><p>- Suzanne Austin, Vice Provost for Student and Faculty Success </p><p>- Student focus group to include: </p><p> o Med/professional representation </p><p> o Recommendations from Dr. Austin</p><p> o Recommendations from online Program Directors and Advisors </p><p>Additional Stakeholder Suggestions for Creating the Strategic Plan at an-all day Retreat (8/19/13): </p><p>- Ask Deans to identify faculty from their schools to participate in planning retreat (high users and/or online Program Directors involved with online learning)</p><p>- David Randall’s team, Strategy & Bus Dev, UAB Health System </p><p>- Gregg Janowski, Associate Provost for Assessment and Accreditation (SACS) </p><p>- Lee Smith, Exec Dir-Institutional Effectiveness (student enrollment/registrar representatives) </p><p>- JR Hartig, Vice Chair of Medical Education at UAB</p><p>2Confidential—Do Not Distribute Clarus Consulting Group, Inc. ◦ www.clarusgroup.net ◦ (205) 254-0129 - Library Directors</p><p>Cascading Communication </p><p>As a way to conclude this first Steering Committee meeting it was important to gain clarity and consensus around the cascading messages which could be communicated by the members. The Steering Committee has an important role in the on-going communication. Specifically, one aspect of their charge is to help design key messages and delivery strategies throughout the project that serve as a key tactic for promoting alignment and collaboration between internal stakeholders. There were two questions which were posed and the discussion was captured in the notes below. </p><p>Who needs to be informed?</p><p> Colleagues and staff </p><p> Office of Student Success</p><p> Associate Deans</p><p> Instructional Designers Consortium </p><p>What are the messages?</p><p> Part of the Steering Committee’s charge is to develop a Strategic Plan for online learning and to increase collaboration across schools. </p><p> The Strategic Plan will be action-oriented and include the nuts and bolts to carry this vision forward, such as what training, support, and infrastructure will be needed. </p><p> This process will involve engaging a broad group of stakeholders across campus to inform the development of the plan. The Steering Committee will oversee the planning process and then be charged with prioritizing the plan goals and objectives into 1, 3, and 5 year time frames. </p><p> This is the time to identify what UAB Online needs to carry the university forward and bring groups together to work toward a common goal. </p><p> The Steering Committee and the Division of eLPS want this to be a transparent planning process. Throughout the process, information will be posted on UAB Online web site (www.uab.edu/online) and Steering Committee members are to serve as a conduit for two-way communication throughout the planning process.</p><p>Other discussion points: </p><p>- Currently UAB Online is a portal for all online efforts at schools</p><p>3Confidential—Do Not Distribute Clarus Consulting Group, Inc. ◦ www.clarusgroup.net ◦ (205) 254-0129 - Focus on early wins and foster advocates by asking faculty what they want and what the current issues are</p><p>- Inform stakeholders around “have-to's” such as SACS requirements (i.e. mandated quality control)</p><p>Next Steps </p><p>Now that the Steering Committee has helped to solidify a clear roadmap for the first phase of the project, the data collection and stakeholder engagement will start and take place throughout July and early August of 2013. At the conclusion of the input process, Steering Committee members will be invited to participate in a second meeting which will include additional key stakeholders. This will be a full-day Planning Retreat, scheduled for August 19th from 8-5pm, to review findings and to identify strategic goals and objectives.
