<p> Query Resolution</p><p>QUERY RESOLUTION</p><p>After you have entered and updated transactions from your Bank Statement (see Bank Statement document), sometimes mismatches or queries may arise between what has been entered and updated in the system to what was entered and updated from the Bank Statement. These mismatches that arise are called Queries. </p><p>This process allows you to resolve any queried cheques and/or Bank Deposits that might be present for a nominated Bank Account. </p><p>All queried cheques and deposits are displayed for resolution; however, only those that are amended to allow resolution will be removed from the list of queried cheques or deposits after the Post Query Resolution is run.</p><p>PLEASE NOTE: No General Ledger entries will be made for resolved deposits. It is assumed that manual journal entries will be made if necessary.</p><p>Fields indicated as mandatory with a Red Label require data input where the other fields indicated with a Black Label do not necessarily require input, but any default entries in any of these field can be changed if necessary.</p><p>To access Help for all fields – position cursor in the field and press F1 or click on Help button.</p><p>To access Search for fields that have Search available – position cursor in the field, Click on Search Button, or right click and select Search option. </p><p>Page 1 of 11 Query Resolution</p><p>CHEQUE RESOLUTION SCREEN</p><p>After you select your Bank Account, details of any Queried cheques that are present for that Bank Account will display in the Table on this screen.</p><p> Bank Account – Select the Bank Account for which queried cheques and/or deposits are to be resolved.</p><p>The system will look up all transactions entered in the system and will then display a list of Queried cheques and/or Queried Deposits. If there are no queries for the nominated bank account, you will receive the following message</p><p>Page 2 of 11 Query Resolution</p><p>RESOLVE A QUERIED CHEQUE</p><p>There can be a number of reasons why a cheque might be queried. </p><p> The Drawn Amount is different to the Presented Amount.</p><p>To resolve this type of error, (in this example, it is assumed that the presented amount is the correct amount), from this screen, with your mouse click in the row of the cheque that you wish to resolve.</p><p>Change the Drawn amount to match the presented amount.</p><p>Page 3 of 11 Query Resolution</p><p>You can either press Enter or Tab key or Click Save.</p><p>A window will open for you to make an adjustment to the Expense Accounts that were referenced when the cheque was entered originally, if necessary.</p><p>You must then distribute the $10.00 to an Expense Account for a nominated Expense Entity. </p><p>Click Save. Click Exit to return to the Query Resolution Screen.</p><p>Back in the Query Resolution process, you will then notice that for this cheque, the Queried Amount is now 0.00.</p><p>When this Query Resolution process has been updated, this cheque will be removed from the Query Resolution process.</p><p>Don’t forget to Save your work on a regular basis.</p><p>Page 4 of 11 Query Resolution</p><p>ANOTHER EXAMPLE - </p><p> The Presented Amount is different to the Drawn Amount</p><p>If a mistake was made when the cheque was entered from the Bank Statement and instead of entering the presented amount as $213.00 for cheque xyz as an example, it was entered as $312.00 you can resolve this error by changing the presented amount to be $213.00 in this section of the Query Resolution process.</p><p>In this case NO distribution is required, because the cheque distribution has already been completed correctly in the system, it is only the presented amount that is being adjusted here. Don’t forget to Save your work on a regular basis.</p><p>To resolve further Queried cheques, follow the same procedures as listed above. </p><p>Page 5 of 11 Query Resolution</p><p>DEPOSIT RESOLUTION SCREEN</p><p>From this screen you have the option of resolving Outstanding and Queried Deposits. </p><p>A deposit might show as outstanding, because it has not been entered into the system yet, or perhaps it has been entered into the system as a number of smaller deposits, but only 1 deposit was actually taken to the bank, therefore on the Bank Statement a deposit would appear for $200.00 as an example, but on the system there might have been 2 separate deposits for $100.00.</p><p>Perhaps the deposit has not been posted yet. Make sure all Bank Deposits have been posted in the system. </p><p>A deposit might be queried deposit because the amount is different to any outstanding deposit, or the date of the queried deposit is different to the date the deposit was entered into the system. A queried deposit can be resolved by either fully or partially applying it against a single outstanding deposit or a number of outstanding deposits. </p><p>View Queried Deposits applied to nominated Outstanding Deposit</p><p>Outstanding Deposits Table</p><p>Queried Deposits Table</p><p>The Outstanding Deposits Table shows a list of all Deposits for the nominated Bank Account that are currently outstanding. </p><p>The Queried Deposit Table shows a list of all Deposits that are currently Queried for whatever reason.</p><p>This process allows you to apply Outstanding Deposits to a Queried Deposit. </p><p>Page 6 of 11 Query Resolution</p><p>How to apply an Outstanding Deposit</p><p>Select the Outstanding Deposit (in the Outstanding Deposit table) that you want to apply to a Queried Deposit eg: Outstanding Deposit of 220909a 22/09/2009 $50020.00</p><p>By selecting Fully Applied in a table row, indicates that you will be fully applying this outstanding deposit against queried deposits and as a result details of the deposit will be removed from the outstanding deposits file, once the Query Resolution process has been posted. </p><p>Select the Queried Deposit (in the Queried Deposit Table) that you are applying to the Outstanding Deposit, Click Apply Button in the Queried Deposit table, the Outstanding Deposit number will appear in the Applied to Deposit column.</p><p>If you have a number of Queried Deposits to apply to ONE Outstanding Deposit, Click the Apply Button in the Queried Deposit table in the row for each Queried Deposit. The Outstanding Deposit number will appear under the column heading Applied to Deposit in the Queried Deposit table. </p><p>Page 7 of 11 Query Resolution</p><p>You can continue to Select Queried Deposits to apply against the outstanding deposit if an amount still remains outstanding eg. In this example we have an outstanding deposit of $50020.00 but have only applied queried Deposits totalling $6680.69. Because the Outstanding deposit has not been fully applied, the Fully Applied button is not ticked. If you do not wish to apply any further queried deposits to the outstanding deposit, you should select Save to save your work.</p><p>If you realise that you have made a mistake and wish to Unapply any one of these Queried Deposits, you only need to click the Unapply button associated with the Queried Deposit in either the table top right of screen or the table bottom right of screen. The Applied to Deposit column will then be blank and that queried deposit will be removed from the table top right of screen. </p><p>If the Outstanding Deposit was fully applied, you only need to check the Fully Applied option in the Outstanding Deposit table. If the actual totals of the Queried Deposits do not match the total of the Outstanding Deposit, you can still check the yes option to Fully Apply, this Outstanding Deposit in the Outstanding Deposit Table. Don’t forget that No General Ledger entries will be made for resolved deposits. It is assumed that manual Journal entries will be made if necessary.</p><p>If the total value of Queried Deposits is greater than the value of the Outstanding Deposit, the Fully Applied option will be automatically checked.</p><p>Page 8 of 11 Query Resolution</p><p>If the Outstanding Deposit is to be fully applied to the Queried Deposit check the Fully Applied option in the Outstanding Deposit table.</p><p>If the Outstanding Deposit is not to be fully applied to the Queried Deposit, leave the Fully Applied option in the Outstanding Deposit table unchecked.</p><p>To Unapply an Outstanding Deposit from a Queried Deposit, simple select the nominated row in the Queried Deposit Table and click the Unapply Button. </p><p>Don’t forget to Save your work on a regular basis.</p><p>Continue to apply Queried Deposits to Outstanding Deposits until you are happy that all Queried Deposits have been applied correctly.</p><p>Don’t forget to Save your work when you have completed the resolution process for Cheques and Deposits for the nominated Bank Account.</p><p>Page 9 of 11 Query Resolution</p><p>QUERY RESOLUTION EDIT LIST SCREEN</p><p>Print a Query Resolution Edit List prior to posting any/all Transactions to check the accuracy of the entries.</p><p>An Edit List can be run as many times as you like, prior to posting.</p><p> Sort by: Make your selection to sort this report by. Options are:</p><p> o Bank Account o Date o Deposit Number o Value</p><p>The Edit List will print in the order selected by the sort criteria.</p><p>Click on Continue to produce an Edit List.</p><p>Page 10 of 11 Query Resolution</p><p>QUERY RESOLUTION POST JOURNAL SCREEN</p><p>This process produces a numbered Journal, and updates the relevant Bank Reconciliation and General Ledger files.</p><p>Cheques are checked for differences between the presented amounts and drawn amounts and General Ledger entries are made to address any imbalance. </p><p>Cheques with a zero drawn amount are removed. Cheques with a zero presented amount have all presented details removed and are treated as unpresented cheques again. </p><p>Cheques with equal, no-zero drawn and presented amounts are considered to be resolved and will be removed from the bank account's list of queried cheques (ie they will not appear against the account for reconciliation).</p><p>PLEASE NOTE: No General Ledger entries will be made for resolved deposits. It is assumed that manual journal entries will be made if necessary.</p><p> Sort By: Make your selection to sort this report by. Options are: o Bank Account o Date o Deposit Number o Value</p><p>Click Continue to post Query Resolutions.</p><p>Page 11 of 11</p>
