End of Quarter Procedure for Canvas Course Management

This guide includes information that will help you wrap up your Canvas course:

 How to Finalize and Submit Grades  Concluding a Canvas Course  Setting Up a Student with an Incomplete  Get Ready for the New Term

How to Finalize and Submit Grades STEP 1: Finalize and Download Your Grades Make sure all graded assignments have a graded value. Instructors need to manually enter a zero for any missing submissions/assignments for the final grade to be accurate. Instructors using the Grades in Canvas should download and save a copy of the scores in the gradebook as a .csv file. This file will open in Excel or in another spreadsheet program. Here is the guide: How do I download scores from the gradebook?

STEP 2: Post Grades to MyCWU Official grades need to be posted to MyCWU. Canvas is not the official repository for grades. To post grades, log into MyCWU. Navigate to Faculty Toolbox/ Faculty Center/ Grade Roster. For assistance with entering grades please contact the Registrar’s office 509-963-3001.

Note: It is CWU policy that course gradebooks should be kept for two years. To keep copies of student submissions on your computer, you can bulk download submissions by assignment. Here is the guide: How do I download all student submissions for an assignment in the gradebook?

Concluding a Canvas Course A Canvas course will conclude automatically. A concluded course is an archive of course content and student work. Students and faculty can continue to review the contents of the course but can no longer participate or submit to it.

When do courses conclude? STUDENTS - Courses conclude for students at 11:59pm on the day grades are due (the Tuesday after finals week). Students can access content from a concluded course in a read-only format. Tests/quizzes or anything that is locked using the availability feature remains inaccessible. Instructors can now restrict student access to course content after the course term has ended if preferred: How do I restrict student access to a course before or after the course dates?

FACULTY - Courses conclude for faculty at the end of the following term. All active courses will be visible in the Canvas Dashboard.

1 How do I access a concluded course? Faculty can import content from a concluded course and can access content in a read- only format. If you need to access course submissions after the course has concluded, submit this form and it will be re-opened: Form for requesting access to a concluded course

What if I want to keep my course active after the term is over? Before the term is over, faculty can override the auto-conclude function using the term dates within the course settings. Overriding the conclude function will keep the course in an active state for all enrollments. Here is the guide on how to override term dates: How do I change the start and end dates for a course?

Setting up a Student with an Incomplete If you have a student taking an incomplete, you will need to keep your student active in the course after the term concludes. Here is the guide on how to set up a new section that allows the student to continue working on completing the course assignments: Set Up Canvas For A Student With An Incomplete

Get Ready for the New Term: Fall Quarter Begins September 20, 2017 The new quarter courses with their student enrollments will be imported into Canvas on August 23. You will receive the Start of the Quarter procedures before the beginning of the new term.

Contact Joy Bensiger ([email protected]) or Delayna Breckon ([email protected]) with questions.
