Minutes from Everyone received minutes from previous meeting. No updates required. 12/16/2004 meeting Old Business 2. Technical Training Reviewed current Technical Training Schedule. Discussed whether Oracle Schedule & YES Forms (OR105) training is needed at this time or can be delayed since it Project Calendar conflicts with SCT Summit and may not be needed at this time for us to complete our current responsibilities. Joozar Najmi, Banner General Technical & Security (BT102) trainer, indicated that it was probably not needed at this time in the project. We need to ask other SCT consultants for their recommendations. 3. DESC command In December, Sandy corrected security so that the technical staff can use the DESC command in the TRNG (not TEST, my typo) instance with their named accounts. 4. Extended Search Still having an issue with using extended search feature and list not appearing. Feature Many SCT Consultants have seen this behavior and do not know what is causing it. Troy has opened a ActionWeb contact for this issue at the recommendation of one of our remote installers. 5. Problem closing Believe this was a navigation issue. Expanded message Issue that Cleo was having with expanded message screen locking up when screen locks up typing after the first line when sending messages through banner. Will ask Cleo for more details. 7. Training needs Donna Wainio may need an additional Banner DB instance for training (INB & SSB). Also, Doug needs to set up SSB for TEST instance. Currently, have Donna continue to use TRNG. She’ll need YSU data in March for training. 8. Oracle Reports Doug let the group know that it is installed and functional. However, the </p><p>YES Technical Minutes Page 1 of 5 Oracle Developer will need to be loaded on the PCs (in the training lab and on users desktops) if they need to develop new reports (or forms). 9. Database instances Currently, five (5) instances of the SCT Banner exist with a sixth instance (PROD) planned. We are currently basing our instance definitions on Wright State University’s Banner Instance Definition.</p><p>The SEED instance is used as a pristine version of Banner. Upgrades and patches are first applied to this instance before moving to the TEST instance. No users are allowed here. It may be used to create other instances.</p><p>The TRNG instance is used to facilitate learning and knowledge of the Banner system. Users are allowed to exercise functions here to familiarize themselves with Banner. Users are provided training IDs (TRAIN01-99) for their use. Computer Services has named accounts (IDs) for their use. Banner uses this instance for the various training classes.</p><p>The TEST instance is used to test changes before being migrated into the PROD instance. Patches, upgrades and conversion data are applied here before moving to PROD. User acceptance and validation testing occurs here.</p><p>The CONV instance is used to convert the data from the legacy system. The Banner Conversion Tool is configured to use this instance. After data conversion, the data is moved to the TEST instance for further testing and validation.</p><p>The PPRD is a controlled instance. No PIDM data, build institutional data, database of authority, build Banner modules. Move modules into the TEST instance, then clone into the PROD environment.</p><p>The PROD instance (not currently built) is the Banner live instance. Only production activities occur here under the university’s strict business guidelines. Only authorized user are allowed access here.</p><p>Tom asked for a visual representation of the instances and the flow of data between them. New Business 10. Multiple INB TRNG Reminded team of the issue of opening multiple INB sessions with a desktop Sessions shortcut. Troy determined that under IE Tools/Internet Options/Advanced/Reuse window for launching shortcuts must be uncheck or it just overlays your previous IE session. However, this just cause message FRM-92050. Troy looked up this message on ActionWeb and fould FAQ #13225 that lists five methods to open multiple INB sessions. However, if you use a desktop shortcut, you must change the IAS webserver setting \ORANT_IAS\Apache\Jserv\servlets\zone.properties from session.useCookies=true to session.useCookies=false. Currently, we are recommending opening multiple IE sessions and navigating to http://banner.ysu.edu rather than using a desktop shortcut. 11. Documentation on Tom Master’s request to provide team with visual documentation on Banner Banner Instances Instances. Tom also asked for information on the server configuration. Training Needs in Old Business. 13. Reload of organization Question: Why did Sean reload the organization and account tables on and account tables 12/27/2004 that he previously loaded on 12/11/2004?</p><p>Answer: Sandy said that Sean said that Richard Quattrocchi asked him to do it.</p><p>Additional information: This was causing Marianne Anderson some reporting problems since the date was loaded in error. Sandy fixed this with some SQL scripts that Richard provided. 14. Population Selection Population Selection was not working for our Banner General Technical (BT102) class that we had this week. Troy and Doug worked with SCT support to resolve this problem. Problem was resolved shortly after the class had ended. Problem was cause by an 32/64-bit compilation problem that the remote installer didn’t check. Bigger issue is what other functions did the remote installer neglect to test that may crop up later. 15. TOAD Need a volunteer to try out TOAD and other similar Oracle utilities and make Recommendation a recommendation. Dennis and Marayamah recommended Maureen Drabison and Salem Rashid for this task. 16. General Person, Meeting ended before we had time to discuss this thoroughly. I believe that Vendor, Alumni and we need to start a sub-committee on this issue. Patron 17. Security – Roles and Meeting ended before we had time to discuss this thoroughly. Please inform Rules Sandy if you cannot perform a function that you need to be able to perform. 18. Functional or Dennis needed to know whether he and other should attend Advancement Technical Training Functional training or Finance Technical training. Technical training is your first choice unless the functional training is for a Banner module that you are responsible for and the technical training is for a Banner module that you are not responsible for. Dennis and Marayamah indicated that they both will be attending the Advancement Functional training next week rather than the Finance Technical training. 19. Video Tape Converter Mary asked whether we should have the Converter Tool Training video taped. Tool Training Many thought that this might negatively effect communication of both the instructor and attendees. 20. Contact Instructors Mary and others asked whether we can feel free to contact our training after course instructor after course completion. So far, all of our instructors have given us completion their e-mail addresses and indicated that attendees may contact them directly. Can we? Will YSU be charged? 21. Oracle Documentation Tom asked about purchasing Oracle Documentation for the technical staff. I told him that many manuals could be reviewed using Safari and then he could request Rick to purchase the materials. If he felt that everyone on staff need their own copies of certain manuals (e.g. reference materials), he could make those recommendation to the Technical Team and Troy would forward them onward. 22. Timeout Should we set timeouts for Banner users? Network or Oracle Timeouts? Everyone agreed that we should initially set a timeout at 30 or 45 minutes. Retention Everyone agreed that we should initially retain Banner job submission output for a maximum of one (1) week. If necessary, we can increase this at a later date. Banner user can save their reports locally. 24. Overtime Troy asked for the technical staff’s willingness to work overtime. Timeout Sandy 02/28/2005 Determine and implement best method to timeout Banner users. Test Banner with an idle timeout set in an Oracle profile and report how that reacted with all of the INB components (i.e. How gracefully and/or ungracefully the user was terminated? Where the user was after termination? Etc.) Apparently, network termination is another option which someone should test before we make a decision.</p><p>Doug 02/04/2005 Increase SSB timeout from 5 minutes to 30 minutes.</p><p>18. Retentions Doug and Sandy 03/31/2005 Implement scripts to enforce job output retention standards. UNIX file deletes need to be combined with corresponding Banner table deleted for this task. I have yet to receive the scripts, as promised by consultants, which specify the Banner tables. I am hopeful that this will be covered in Banner Admin (BT101) so I will need some time after this class to affect these purges 19.
