Executive Board Meeting Minutes Mill Creek Towne Elementary School 17700 Park Mill Dr. Derwood, MD 20855 January 5, 2016 7:00PM-9:00PM</p><p>Call to Order: President Debra Thomas called the meeting to order at 7:02 pm.</p><p>Agenda: Soror Debra Thomas presented the Agenda for the meeting</p><p>Adoption of Agenda:  The Agenda was accepted with changes by the Executive Board o Motion: Soror Clara Bryant moved that we accept the agenda with changes o Second: Soror Sheila Robinson o Vote: unanimous</p><p>Minutes of the November 2015 Executive Board Meeting-Soror Daphne Page-Reaves: The minutes were accepted with no corrections</p><p>Correspondence – Soror Daphne Page-Reaves: The following correspondence was presented  We received a letter from the American Diabetes Association thanking the chapter for a contribution in the name of Nadine Frances Covington Brown, mother of Soror Gayle Driver.</p><p>Financial Report – Soror Phymeon Lyles:</p><p>November 1, 2015 – November 30, 2015 Total Assets: $54,106.65 General Operating: $37,980.09 Service Checking: $10,749.54 Service CD: $5,377.02</p><p>General Operating: Receipts: $2,789.00 Disbursements: $2,597.88 Service Checking: Receipts: $223.50 Disbursements: $3,161.62 Financial Members: 152 (2015/2016)</p><p>.</p><p>Fundraising Report – Soror Regina Small:</p><p> Cotillion – Soror Small reported on the progress of the Cotillion o We currently have 4 applicants with a promise of 2 additional applicants o The questions was proposed “what if we do not get enough applicants”? The answer given, “The PVAC Fund would like to move forward regardless of the numbers”. o We still have until Friday January 8, 2016 to receive applications for the cotillion. o Due to risk management young ladies from PVAC GEMS will not be able to participate.</p><p> Stay at home Tea o Thus far we have only received 5 names for the stay at home tea. The deadline to submit names is January 5, 2016. o Soror Thomas asked the executive board to lead by example. Board members were asked to submit names for the tea or make a minimum donation of $25.</p><p>Internal Audit Report – Soror Jervoner Adams: The Internal Audit Committee presented a review of the financial records for the period of July 1, 2015 to September 30, 2015</p><p>2/9/16 PVAC Executive Board Meeting Minutes 1 January  In addition to the internal audit report, the committee suggest the chapter include in the chapter policy and procedures the specific items needed for the internal audit reports.  The committee also suggested having a financial DID.</p><p>Officers’ Reports:</p><p>First Vice President – Soror Darlene Goodman-Mims  Founders Day at Howard University will be held on 1/10/16 at 11:00am at Cramtom Auditorim. The speaker will be Rev. Dr. Howard-John Wesley, Pastor of the Alfred Street Baptist Church, Alexandria, VA. Brunch will be held at the Copper Canyon Restaurant in Silver Spring, MD at 2:30pm. Soror Goodman Mims asked that sorors respond to the evite by Friday January 8, 2016.  Upcoming Events: o Love my Sorors o February – Love Month o March – Sisterhood Month (Reclamation)  Living the Oath Recognition  Recognition of new sorors to the chapter</p><p>Second Vice President – Soror Debra Thomas  Soror Thomas discussed PVAC’s participation in the MLK day of service in conjunction with MCAC. An evite to participate soon to follow.</p><p>President Debra Thomas  Decisions that need to be made for next month: o Month for the next chapter photo o Do we want to move the Delta DEARS celebration o Draft MOU review – please send comments to President Thomas</p><p> Housing and Property updates – The Chapter and the Fund  A strategic planning meeting will be scheduled soon  Crabfeast o The Fund representative will be Soror Joel Parker, the chapter needs 2 volunteers.  Maryland Council of Deltas  Maryland Statewide Founders Day o Chapter Photos – each chapter is to send 5 photos to [email protected] o Hostesses and Sergeants at Arms – volunteers needed, Soror Cathy Troutman is the point of contact. o Next Maryland Council of Deltas meeting will be held on January 10. 2016 </p><p> Montgomery County PanHellenic Council o Greek Weekend Activities . Bowling – February 13, 2016 at Bowlmor in Gaithersburg, MD from 12pm – 2pm. The cost is $25, this includes shoe rental. Participants are asked to bring canned food items for donation. . Get Ur Greek On Party – February 12, 2016 from 8pm – 12am. The location is TBD. The cost is $35. The DJ will be Michelle Wright . Church Service will be held on February 14, 2016 at 8:30am at the Olive Branch Community Church. </p><p>2/9/16 PVAC Executive Board Meeting Minutes 2 January  Reminder – Voting o President Thomas mention again that it is important for us to understand what it means when we raise our hands. When we vote, we say we support the motion on the floor. What does that mean…we will work with the committee to make it a success by either purchasing and selling tickets and/or helping the committee, i.e. making calls, writing letters to vendors, advertising, etc. As leaders, the Chapter will take their lead from the Executive Board. Voting as an Executive Board, we may not always agree, but once the board has voted, then that becomes the vote of the Executive Board body.</p><p> President’s Schedule – President Thomas presented her monthly schedule of meetings, events and activities.</p><p> National and Regional Updates o Please review the 25th on 25th from National Headquarters</p><p>Committee Reports: Arts & Letters – Soror Joan Brown  Soror Brown presented PVAC Arts & Letters activities for December 2015 o PVAC and MCAC collaboration for Delta Red Carpet Event o Celebrating the Holidays at the Strathmore with Sweet Honey in the Rock o Collaboration with EMBODI, GEMS and Academy  Upcoming events o Eastern Region Arts & Letters spotlight on a Soror in first Friday newsletter with an article submission on Soror Petra Martin. o PVAC Juneteenth Activity – poster contest for students at Mill Creek Tone Elementary School</p><p>Economic Development – Soror Enaka Ashu  The Economic Committee continues to focus on debt management  There will be an article in the mid-month newsletter on homeownership.  The committee is planning a Women’s Wealth Seminar with James Washington of Morgan Stanley</p><p>New Business</p><p>Announcements .
