EVS “Learn It Your Way” Komotini, Greece 14th December, 2015 – 3rd August, 2016 Summary of the project: “Learn It Your Way" is an EVS project that will take a place from 14th December 2015 till 3rd of August, 2016 in Komotini, Greece. Two young persons from Poland will move in Komotini and by learning new skills and knowledge will be in position to act for the favor of the local youth. Our title describes our project philosophy. This is exactly our project priorities, ethics, democracy and human Rights and youth policies and participation. Moving in another country means learning and adjust the new knowledge to develop as a person and help the social development in your community. Through non formal activities our project will redefine the habits and the needs of youth in Komotini, underline the need to respect our social environment. The volunteers will be the example for the whole community as they will create events and implement various activities. Moreover the two youngsters from Poland will work on projects which aim to create a better life for youngsters, especially for those with fewer chances. This systematic work along with all the other activities of «System and G» are able to create a System of unofficial rules that will be adopted by our citizens and change our community to a better way. In addition through inter-cultural activities the volunteers will present their culture, and through daily life they will be integrated in the Greek society. "Learn It Your Way" has also another meaning as promotes the youth mobility as a tool for the personal development and social change. Responsibilities of Sending organisation Preparation Stage: To provide information about the Erasmus Plus Programme and EVS as a non-formal learning possibility (including the Youthpass); Intercultural learning – during a preparation session, through non formal methods, the volunteer will be stimulated to reflect about intercultural shock and the different learning opportunities arising from EVS; Language support – providing an allowance for language material; Task related support – giving the chance for the volunteer to participate in workshops organised at the association that might be connected with the theme of the project; Practical support – enrolment in the insurance, enrolment in the Pre-departure training , booking the flight Inform volunteer that the coordinating organization is responsible of covering the cost of travel (from door to door) according to the Erasmus+ regulations and distance classes approved within the applied project. Any additional cost will be covered by the volunteer or the sending organization. To inform the volunteer about the EVS group Insurance plan foreseen in the Youth in Action Programme and give all the necessary information to the volunteer about the AXA procedures, and provide documentation (card proving the insurance for use in hosting country). To inform the volunteers of the possibility of issuing a European Health Insurance Card (please refer to http://ec.europa.eu/social/main.jsp?catId=563&langId=en#National_information_and_contacts) To ensure that the volunteer gets pre-departure preparation; (to confirm that the volunteer understands what EVS is, rights and responsibilities of volunteer) To assist the volunteer with travel arrangements to the host country; To ensure that the volunteer gets necessary vaccinations before the departure to the host country, if needed; To provide the Host Organization with a full description of the volunteer’s profile before the departure of the volunteer; To provide the Host Organization with information regarding risk and crisis prevention during the project for each volunteer; To provide the Host Organization with a full description of the sending activities carried out before the departure of the volunteer. Implementation phase: To support volunteer by keeping regular contact with volunteer and hosting organisation through e-mails and Skype during the whole Activity; at least once per month; To get actively involved in case of conflict or crisis and help to solve it by dialogue with all involved parts and if needed ask help in the National Agency. To ensure the participation of the volunteer in the evaluation of the Activity and give the volunteer the opportunity to exchange and share experiences; To encourage the involvement of the volunteer in dissemination and exploitation of results; To support volunteer with reintegration in home country, to propose participation in other organization's activities. To provide guidance regarding further education, training or employment opportunities; To do standard reporting for Host Organisation as mentioned in the EVS funding rules. Responsibilities of Hosting/ Coordinating organisation Preparation phase: To arrange all practicalities before arrival of the volunteer like preparation of the flat and signing contract, providing the flat with necessary equipment, towels, dishes, furniture. To identify and prepare mentor according to the learning needs of the volunteer by informing him about planned project activities, volunteer's profile and send him to the on-arrival training together with volunteers, if this is required by the organisers. To take responsibility of application process and general management of the project; To take financial and administrative responsibility for the entire project towards the National Agency according to the grant agreement; If according to the grant agreement with the NA, the project budget is changed after the Activity Agreement has been signed; the budget set in grant agreement is superior. Implementation phase: To identify clear learning opportunities for the volunteer and adapt it to learning plan, if necessary; To offer to the volunteer the opportunity to carry out a well-defined set of tasks; To provide decent accommodation for the volunteer as agreed among involved partners; To offer supervision and guidance to the volunteer by experienced staff and introduce the volunteer in their accommodation and working environment and duties after the arrival; To do introduction to the local city/organization(s)/activities to the volunteers and practical arrangements (local transport, accommodation and food); To give to the volunteer monthly pocket money and food money that will be arranged in first 5 working days after volunteers’ arrival. To ensure that the volunteer attends on-arrival and mid-term training and is involved in the dissemination activities; To cooperate with the project partners, including conflict solving and crisis management according to the needs of volunteer; To report the project progress to the Sending Organisation every three months; To actively support the volunteer progress in learning Greek by offering and motivating the volunteers to use it. Evaluation phase: (included within implementation period) To issue a Youthpass certificate if the volunteer wants to receive it at the end of the Activity. To complete the application process and general management and financial issues of the project; Responsibilities of Volunteer Volunteer agrees to take responsibility: Preparation phase: To confirm that this is the first and only time she/he takes part in EVS project. To inform the Sending/ Hosting Organisation before the project about his/her special needs, allergy and emergency contacts; To participate actively in preparation activities of the project, inform about her/his needs for the project; To participate in pre-departure preparation; Implementation phase: To be actively involved in the Activity, including the preparation and evaluation phases; To follow Host Organisation general rules as well as accommodation rules; To share accommodation room and facilities with other volunteers; To keep the accommodation site and lent properties in proper condition (in case of damage the volunteer is fully responsible to repair it or to replace with the new one); To report illness or problems to mentor right away; To respect the work, target group, local community, leaders and respect each other; To attend all trainings and information sessions during the Activity; To express any concerns, problems or suggestions for improvements related to the project to the project coordinator; To carry out activities to disseminate results of the project at the end of project activities; To fill in final report at the end of project activities in host country; In case of cancelling his/her participation in the EVS project; the volunteer has to send an official cancellation letter (the reason of the cancellation, the volunteer´s signature and the date) to the Sending and Hosting Organisation. If not, the volunteer has to pay her ticket way back home himself. To hand in all the travel documents (tickets, invoices, boarding passes) in original and present them to the Host Organisation after the arrival to the host country. Working hours and days off: 30-35 hours per week (Days may differ from week to week and volunteer according to needs and tasks). 2 days holiday per month for the duration of the project (dates to be chosen by the volunteer and agreed beforehand with the hosting organisation at least one month before - During Christmas, Easter and Summer holiday you will have to take part of your holidays. 3 days in Christmas 3 in Easter and 10 in Summer holidays during the period System and G is closed. During All day events (e.g. international trainings) timetable will be to needs and might exceed 6-7 hours.
