Photo Credit: Neville Porter INTRODUCTION Internationally regarded as one of the world’s top five snow sports events, the fourth Audi quattro Winter Games NZ take place in the Southern Alps of New Zealand from 18-30 August 2015. The Games attract the world’s elite winter sports athletes including multiple Winter Olympic, Paralympic and X Games medalists and world champions in freestyle skiing, snowboarding, alpine skiing, cross-country skiing and curling. It has also positioned New Zealand at the forefront of competitive winter sports development, playing an instrumental part in the decision to include freeskiing at the 2014 Winter Olympics in Sochi, Russia. Volunteers will be the face of the event and it is great to have you as part of the Audi quattro Winter Games NZ Volunteer Crew. As part of the crew you will often be one of the first people our visitors see and talk to. Your commitment and reliability to assist with delivering this event is what will make this event a success. As part of a 400 strong dedicated volunteer crew recruited to deliver this world class event, we do ask that you are friendly, helpful, polite and a great team player. IMPORTANT INFORMATION EMERGENCIES In the event of an emergency on any of the mountain venues, please follow the instructions of the venue staff. If asked to evacuate the venue by Local Organising Committee Staff / or Venue Staff stay calm and assist spectators with evacuation procedures: - Assist spectators to move quickly - Identify pathways that are easily accessible to elderly or disabled spectators - Go to the specified evacuation assembly point - Follow venue staff and local organising committee instructions - Do not return to the venue until you are advised it is safe to do so MEDIA If you are approached by media, please do not comment. In the event of an emergency or any other issue, please direct all media enquiries to the Event CEO, Arthur Klap on 021 895 937 or the Media Manager Kat Irving on 021 641 233. UNIFORM All volunteers will be provided with a Mons Royale neck warmer. This merino neck warmer is the official uniform and preferably worn while on shift to identify you as a member of the crew. WHAT TO BRING We encourage you to bring along: - For all on snow roles, please bring a small back pack with you to carry your gear and lunch we provide you. - Additional warm layers of clothing (especially if your role is based outside and ‘On Snow’) - Skis/Snowboard and gear if allocated ‘On Snow‘ mountain roles. - All ‘On Snow’ roles we request you take a small back pack with you for the day out on the mountain to carry the lunch we provide you and your own gear. - We would also remind you to please avoid bringing any valuables with you. You are responsible for your own belongings at all times. - Sunscreen, extra snacks, drinks, thermos cup, extra layer for insulation to stand, kneel or sit on. - It is recommended you wear a helmet for added protection. Wristguards are also recommended for snow boarders. SIGN IN / SIGN OUT PROCESS - All volunteers (unless instructed otherwise) must report to the Audi quattro Winter Games NZ Volunteer sign in area before your rostered shift. (Base building at ski areas) - Sign in with the venue Volunteer Manager and their assistants. You will be notified of a place to store your belongings - Once signed in, unless otherwise notified your team leader will collect you and provide instructions for you to commence your shift. - Upon completion of your shift all volunteers must sign out with the venue Volunteer Manager at the Audi quattro Winter Games NZ Volunteer Crew sign in/out area and return any radio, high vis or other equipment that have been issued. - A drink and snack/lunch will be provided to those working On Snow roles and day shifts off hill. It would pay to bring your own extra food and a bottle of water especially if you have special dietary requirements. SUSTAINABILITY Please help us to be a sustainable event by recycling where you can and take all rubbish away with you. We encourage you to bring a thermos cup with you to reduce waste. You will be given a Sport & Festival Schedule for Wanaka and Queenstown which contains the dates for on snow events and village festivals and includes a map of the ski areas. It can be both physi- cally and mentally demanding. Make sure you take your scheduled breaks and keep up your food and fluid intake. Watch out for your personal safety while you are working and if you see something that could endanger yourself, other volunteers and spectators please advise your team manager immediately. VOLUNTEER AGREEMENT Audi quattro Winter Games NZ values the time and support generously given by volunteers and thanks you for your commitment. We have certain standards outlined below that we will work towards in order to make your experience a positive one. Audi quattro Winter Games NZ will strive to: - Treat all volunteers equally and with respect - Provide a clear role description and contact person - Provide necessary induction or training to enable you to fulfil your role - Provide a safe working environment - Acknowledge and provide recognition to all volunteers - Enable you to withdraw or say no without guilt Audi quattro Winter Games NZ asks that you: - Are reliable and advise us of any change of availability - Seek support if you’re feeling out of your depth or struggling with the commitment required - Strive to maintain and enhance the events reputation within the community - Respect the operational guidelines of the event organisers - Participate in any induction or training required for your role - Report hazards, incidents, accidents or any safety concerns you have to your immediate Manager or the Volunteer Manager THE SNOW RESPONSIBILITY CODE 1. Stay in control at all times Know your ability, start easy, be able to stop and avoid other people. Losing control is the number one cause of falls. 2. People below you have the right of way The skier or boarder downhill of you has the right of way. Don’t forget to look above before entering a trail. 3. Obey all ski area signage Signs are there for your safety. Keep out of closed areas. 4. Look before you leap Scope out jumps first. Ensure the area is clear of others and use a spotter on blind jumps. 5. Stop where you can be seen When stopping, try to move to the side of the trail and make sure you can be seen from above. 6. Don’t lose what you use Equipment must be secured while walking or stashing.
