We understand that some events may not warrant the use of a full time planner, while others require them. It is very important for your event that the basics on the following list are covered. In addition, to ensure the success of your event, we have compiled a list of Event Planning Resources, Timelines, and Seating Chart Generators, at your disposal. Example Timeline / Blank Timeline Sheets - Download a PDF Template Example, and Blank Sheet - Download an Excel Template Example and Blank Timeline Perfect Table Plan Software - Well Worth It! - 30.00 Please don’t underestimate how time consuming this task can be. We require seating charts, guest lists, and diagrams for our service, and this program does it all. If your event is a plated dinner you must retrieve RSVP from all of your guests with what they wish to eat, this program will manage all of the decisions and keep track of it! Remember, Savoury Chef Foods holds a valid caterers liquor license, we can sell, transport, and return all alcohol for your event under our license. - Handy Alcohol Calculator Here Cont..... TO DO - ASAP • Select and book Officiant/Priest/Minister/Rabbi • (Hire) wedding consultant/coordinator • Select and book photographer • Select and book live band or DJ for reception • Select and book decorator / florist • Select and order the wedding cake • Schedule hair and makeup artists • Arrange transportation 3 MONTHES PRIOR • Start constructing a wedding day itinerary and timeline • Forward rough timeline and itinerary to caterer for review and feedback • Forward rough seating and floor plan to caterer and venue for review • Share your other vendors you will be using with the Caterer, and if contact is needed let the businesses establish them for you. 1 MONTH PRIOR • A Special Occasion Liquor License is obtained if you plan to provide alcohol yourself • Personalized phone call from Savoury Chef Foods regarding final service questions for your event. • Marriage licence is obtained • Send your rough draft event schedule to the vendors • Send out as many final payments as you can 10 BUSINESS DAYS PRIOR • Final Minimum Guest Count Required to Savoury Chef Foods • 70% Deposit for Savoury Chef Foods is due • Beverage/Alcohol is purchased, list is compiled and forwarded to caterer • Contact guests that have not RSVPed yet • Finalize again with all the vendors • Forward over seating chart, menu choices, and table floor plan for caterer to review. THREE DAYS PRIOR • Get containers ready for leftover food - to be given to caterer on site. • Arrange/order breakfast for next day - lunch for the wedding party getting ready? - We can help! YOUR BIG DAY! • Enjoy yourself! Follow up & Final payment is due for vendors, and final invoice from Savoury Chef Foods.
