About This Document

Purpose

The purpose of this document is to describe the U.S. Bank Image Cash Letter X9.100–187 2008 file format used to transfer check MICR line, associated check processing data, and check images to U.S. Bank. The U.S. Bank Image Cash Letter file format is based on the American National Standards Institute (ANSI) Universal Companion Document (UCD) Standard X9.100–187 2008 Specifications for Electronic Exchange of Check and Image Data. This companion document refers to and modifies the use of the UCD X9.100–187 2008 standard and identifies specific requirements for sending image cash letters to U.S. Bank. This document only defines the records and fields required by U.S. Bank and should be used in conjunction with the UCD X9.100–187 2008 standard. The UCD X9.100–187 2008 contains additional information regarding file format requirements, record format requirements and fields not addressed in this document. The UCD X9.100–187 2008 is copyrighted and can be purchased through several sources (http://www.ansi.org/).

File Format Changes

The U.S. Bank Image Cash Letter X9.100–187 2008 file format may be updated from time to time. U.S. Bank reserves the right to modify the file format as defined in this document to meet future needs.

U.S. Bank utilizes the image cash letter file type, which consists of the electronic check presentment data file with front and back check images in a single, integrated binary file. Data Types and Values

Data Types

The following names, symbols, and descriptions describe the type of data used in the U.S. Bank Image Cash Letter file format. In most cases, the record definitions are presented directly from the ANSI Uniform Companion Document (UCD) Standard X9.100–187 2008 Specifications for Electronic Exchange of Check and Image Data document. Where necessary, the standard has either been further restricted or enhanced to describe specific needs and requirements for sending image cash letters to U.S. Bank.

Name Symbol Description Alphabetic A ƒ The upper case letters A through Z, the lower case letters a through z, and the blank (space) character. ƒ The fields are not case sensitive. Numeric N The numbers zero (0) through nine (9). Blank B Defined in EBCDIC with the hexadecimal value ‘40’; also referred to as a space. Special S Any printable characters with an EBCDIC hexadecimal value greater than ‘3F’ that are neither characters alphabetic, nor numeric, nor blank. Occurrences of values EBCDIC ‘00’ – ‘3F’ are not valid. Alphanumeric AN Any alphabetic or numeric characters. Binary ƒ Composed of a sequence of bytes where each byte ranges in value from binary 00000000 to 11111111 (8-bit encoding). ƒ The syntax, semantics, and number of bytes in the string are specified in the standard for each occurrence of the binary data type.

Special MICR Line Data Types

The MICR symbols for numbers are represented by the numeric values zero (0) through nine (9). Since the MICR symbols for delineation of data on the MICR line do not have any graphic equivalents, certain special characters are used to interpret these MICR symbols.

(Type 01) File Header Record

The file header record is mandatory and contains 14 fields. It is the first record of the file. If a Corresponding File Control Record (Type 99) is not present as the last record in this file, the file will be rejected. The data in the fields are created by the customer sending the file.

The Cash Letter Header Record is mandatory and contains 15 fields. It follows a File Header Record (Type 01) unless a file contains multiple cash letters. The Cash Letter Header Record then follows a Cash Letter Control Record (Type 90). If a Type 90 record is not present, the file will be rejected. The data in the fields are created by the customer. The Bundle Header Record is mandatory and contains 12 fields. It follows a Cash Letter Header Record (Type 10) unless the cash letter contains multiple bundles. The Bundle Header Record then follows a Bundle Control Record (Type 70). The data in the fields are created by the customer. (Type 25) Check Detail Record

The Check Detail Record is mandatory and contains 15 fields. One Check Detail Record shall be sent for each check. It follows a Bundle Header Record (Type 20), another check Detail Record, or a Check Detail Addendum A Record (Type 26). The data in Fields 2 through 7 represent the check MICR line; the order of these fields is the order that they physically appear on the check (See ANS X9.13 for MICR data placement). The data in the fields are created by the customer. (Type 26) Check Detail Addendum A Record

The Check Detail Addendum A Record is mandatory and contains 13 fields. More than one Check Detail Addendum A Record is permitted for a Check Detail Record (Type 25) as long as it always follows its immediately preceding Check Detail Record (Type 25) or another Check Detail Addendum A Record.

There are important and specific endorsement rules mandated by the Uniform Commercial Code and Regulation CC for the parties handling a check in order to provide traceability back to the BOFD. The endorsement chain indicating the BOFD and intermediary financial institutions handling the item must be preserved.

There are two ways endorsements are carried in the X9.100-187 2008 standard. When a check is imaged, the physical endorsements printed or sprayed on the check prior to imaging will be captured in the image contained in the Image View Data Record (Type 52) as the physical endorsement. In addition the Check Detail Addendum A Record (Type 26) and Check Detail Addendum C Record (Type 28) include fields for electronic endorsement information. There are important and specific endorsement rules mandated by the Uniform Commercial Code and Regulation CC for the parties handling a check in order to provide traceability back to the BOFD. The endorsement chain indicating the BOFD and intermediary financial institutions handling the item must be preserved. Subsequent collecting or returning banks are required to protect the identifiably and legibility of the depositary bank and include its own nine-digit routing number (without arrows), the endorsement date and an optional trace/sequence number.

There are two ways endorsements are carried in the X9.100-187 2008 standard. When a check is imaged, the physical endorsements printed and/or sprayed on the check prior to imaging will be captured in the image contained in the Image View Data Record (Type 52) as the physical endorsement. In addition the Check Detail Addendum A Record (Type 26) and Check Detail Addendum C Record (Type 28) include fields for electronic endorsement information. Glossary

ANSI: The American National Standards Institute (ANSI) coordinates the development and use of voluntary consensus standards in the United States and represents the needs and views of U.S. stakeholders in standardization forums around the globe. Auxiliary on-us field: A field on the MICR line of commercial or business checks that is usually contains the check serial number bracketed by on-us symbols. Bank of First Deposit (BOFD): The financial institution that accepts a check for deposit from a customer. It is also the institution to which a check would be returned if the check is not paid (also called depositary bank). Black and white image: The print on the image of an original check or substitute check is only in black and white tones. Bundle: A batch of checks in a cash letter usually containing about 250-300 checks. The dollar amount of the bundle serves as a control total and is listed on the cash letter. Byte: A binary string length of 8 bits. Cash letter: A package of forward presentment or returned checks, including applicable detail listings and summary recaps, deposited for collection. Check 21: The Check Clearing for the 21st Century Act, or Check 21, was signed into law on October 28, 2003. Provisions of the law took effect on October 28, 2004. The purpose of Check 21 is to encourage, but not mandate, electronic check exchange by the use of substitute checks. Check digit: A digit usually calculated by applying an algorithm to all or some of the digits in the number. Routing numbers have nine digits: 8 provide financial institution identification information and the 9th digit is the check digit. Collecting bank/institution: The financial institution attempting to collect payment on an item through the forward check collection process. Converting bank/institution: The financial institution that has truncated the original check or substitute check to a digital image (also called truncating bank). EBCDIC: Extended Binary Coded Decimal Interchange Code.

Electronic check exchange The electronic exchange of check-related data. (ECE): ECE institution: The customer/institution that creates and sends the electronic cash letter/image cash letter information. Endorsement: Information used to record the transfer of a negotiable instrument from one holder to another. Endorsements are placed on the check by payee(s), the BOFD, and financial institutions subsequently handling the check. Endorsements are used to track the routing of the check in electronic or paper form (also called indorsement). External processing code A number placed in Position 44, just before the ABA routing number, of the MICR line. Check 21 and (EPC): the proposed Federal Reserve regulations require changes to the EPC field for processing substitute checks. Whenever a substitute check is created, a “4” is always printed in the EPC field. ANS X9.90 requires that a “4” be placed in the EPC position identifying a substitute check. On an original check, Position 44 generally is left blank for forward collection. Forward check: A check sent by the BOFD, either directly or through another collecting bank, to the paying institution for payment. Government checks: Checks drawn on the United States Treasury. Image: A digital representation of all or part of an original check or substitute check. Image cash letter: A product that enables financial institutions to deposit their forward cash letters electronically (also called electronic cash letter). Image exchange: An exchange of some or all of a digitized image (or images) of a check. Image quality: An umbrella term, referring to a number of characteristics of the image, including: Defects in the source document or introduced in the image capture process Usability of the image and information contained within it Faithfulness of the image rendition to the original source document

Image replacement document A paper reproduction of the original check that: (IRD): Contains an image of the front and back of the original check Bears a MICR line containing all the information appearing on the MICR line of the original check, except as provided under generally applicable industry standards for substitute checks to facilitate the processing of substitute checks (regulations may contain exceptions) Conforms in paper stock, dimension and other specifications with generally applicable industry standards for substitute checks Is suitable for automated processing in the same manner as the original check A term used by the Accredited Standards Committee in the technical specification for substitute checks (X9.90; also called substitute checks). Magnetic ink character The characters on the bottom line on the face of a paper check that contain the routing or transit number recognition (MICR): of the financial institution the check is drawn on, the account number of the drawee (receiver) and the check number, all printed in machine readable magnetic ink in a devised for check reading. Mixed cash letter: An unsorted deposit of forward or return checks for presentment. On-us field: A field on the MICR line of checks that is generally used for the customer account number and other optional internal codes. The arrangement of characters and symbols in the on-us field is determined by the bank on which the checks are drawn. Original check: The first paper check issued with respect to a particular payment transaction. Payor: The party issuing a check (also called the maker or writer). Payor bank: The institution on which a check is drawn (i.e., institution paying the check), identified by the routing number on the check. Postal Money Order (PMO): A negotiable instrument purchased from the U. S. Postal Service. Raster: A data file or structure representing a generally rectangular grid of pixels, or points of color, on a computer monitor, paper or other display device. Reconverting bank/institution: The financial institution that creates a substitute check; or if a substitute check is created by a person other than a financial institution, the first financial institution that transfers or presents that substitute check. Regulation CC: The regulation adopted by the Board of Governors of the Federal Reserve System to implement the law that mandates the time limits for funds availability on deposited items.

Reject: A character, field or document that the recognition system is unable to recognize. Reject repair: Repairing misprinted information on a check's MICR line. Routing number: The nine-digit numeric identifier of a financial institution that enables transactions to be routed to the proper bank for posting (also called the ABA or routing and transit number). Short name: The abbreviated name assigned to a bank, typically by the Federal Reserve. Substitute check: A paper reproduction of the original check that: Contains an image of the front and back of the original check Bears a MICR line containing all the information appearing on the MICR line of the original check, except as provided under generally applicable industry standards for substitute checks to facilitate the processing of substitute checks (regulations may contain exceptions) Conforms in paper stock, dimension and other specifications with generally applicable industry standards for substitute checks Is suitable for automated processing in the same manner as the original check Is also called: Image Replacement Document (IRD): This term is used by the Accredited Standards Committee in the technical specification for substitute checks (X9.90). TIFF: Tagged Image File Format. Transit field: A field on the MICR line of checks that identifies the institution upon which the check is drawn. Truncating bank/institution: The institution that truncates the original check. Truncate: To remove an original check from the forward collection or return process and send to a recipient, in lieu of such original check, a substitute check or, by agreement, information relating to the original check. X9.100-187 2008: X9.100-187 2008 standard allows data and images, structured in a cash letter form, to be exchanged electronically between financial institutions.
