Rutgers 250 Sponsorship Program and Effort

Overview Information:

● Introduction & description of main event

Rutgers' 250th Anniversary was a yearlong celebration and an opportunity for Rutgers to rededicate itself to its core values while providing a context for the University to shine as a leader among the nation’s public higher education institutions.

Additionally, we pursued the 250th as a way to celebrate Rutgers' long and distinguished history, including who we are now as well as our future. We used the anniversary to catalyze and strengthen the Rutgers' brand while also expressing our thanks to all of the constituencies who have supported the university over the centuries.

● List of all current sponsors for event; levels of support; longevity of each

Sponsors of the Celebration where sponsors for the entire year long event and included Johnson & Johnson, International Brotherhood of Electrical Workers 456, Plymouth Rock Assurance, DCH Automotive Group, and PSE&G (Electric & Gas company of ). Advertising and marketing sponsorships were also established with NJBiz Magazine and the Philadelphia Business Journal. Additionally, institutional agreements with major vendors were opened for co-branding opportunities and resulted in the placement of the Rutgers 250 marks on products and marketing by Pepsi Cola and Coca Cola.

● Available benefit packages and valuation formulas

Sponsorship levels were determined based on the number of events, outreach to promote the events and assets made available to the Celebration including the Alumni Association and their emails and website, student affairs with the RU-TV network and other university groups that participated.

● Description of sponsor research targeting and sales process

Potential sponsors were identified utilizing University policies limiting agreements with groups involved with alcohol, tobacco, gambling, etc., while also identifying the top companies with the deepest New Jersey roots and likely interest in co-branding with the State University of New Jersey. This effort was led by our sponsorship broker, Fox Run Corporation, and outreach was begun to marketing and promotional areas of identified groups once lists were reviewed and approved by Rutgers.

● Description of sponsor service team and steps taken when new agreement is signed

Coordination of all sponsorship negotiations and agreements was centered with the Rutgers 250 Office in cooperation with Fox Fun, our sponsorship broker. Standard agreements were developed and used with each sponsorship and once they were signed the specific benefits were added to a master sheet of benefits to be tracked for each sponsor. The key groups involved with managing benefit implementation and verification tracking included Rutgers 250, Fox Run, Creative Services in University Communications and Marketing, Student Affairs and Alumni Communications. Representatives from each group communicated and coordinated through the Rutgers 250 celebration to ensure that all benefits were properly received, verified and implemented. Contact and coordination with the sponsors was lead by Fox Run in direct support of Rutgers 250. A page of the sponsorship implementation and tracking forms has been included as part of the supporting materials in the binder.

● Describe current sponsor renewal process & retention rate

As year long event there is no renewal process or a retention plan developed. However, each of the sponsors for Rutgers 250 indicated an interest in any new opportunities of working again with the University.

● Overall effectiveness / success of the program

The Rutgers 250 sponsorship program was more successful and helpful than we had hoped it would be as part of the anniversary effort. The campus community responded very positively and strongly to the co-branding opportunities that the sponsorship program presented and working with our sponsors produced several opportunities like the RevolUtionary Monument developed by Johnson & Johnson and ads underwritten by NJBiz and the Philadelphia Business Journal. Neither of these would have been possible or developed without the sponsorship program being in place. The co-branding alone was a powerful and effect additional marketing tool as part of the anniversary. It seemed to raise the effort to a higher level. Additionally the extra funds were most helpful and welcomed as a state funded institution, plus the sponsorship success was viewed positively by leadership and helped to increase support and encouragement for the entire Rutgers 250 effort.

● “What challenges / obstacles did you foresee / encounter in creating the program, and how did you handle them?”

The Rutgers 250 sponsorship program was entirely new and required careful research and planning to be developed appropriately within our highly bureaucratic and complex organization structures. Not only was the nature of sponsorship confused at first with the work of our institution Foundation but there was no experience with a centralized and directed sponsorship program outside of our intercollegiate athletics areas. Finding an appropriate enterprise partner who could provide sponsorship brokerage support while understanding the unique requirements and expectations of higher educational institutions was not simple and required education efforts direct both our colleagues within Rutgers and Fox Run, the eventual sponsorship broker for Rutgers 250. Sponsors themselves were unaware of the options and opportunities presented by Rutgers 250 that transcended the traditional opportunities provided by intercollegiate athletics. This required careful and deliberate informational materials as part of the outreach effort and increased the complexity and difficulty or the sponsorship program markedly. Although work on the Rutgers 250 sponsorship program had started 3 years prior we were always short of time and believe that we could have accomplish more with an additional 6 to 8 months available to us for recruiting potential sponsors. But even with this limitation we were very happy with the final outcome of the Rutgers 250 sponsorship program. Lastly there were no implementation processes or verification systems in place at the beginning of our sponsorship program and they needed to be developed on professional level as quickly as possible with a number of units outside of the direct responsibly for Rutgers 250. Fortunately the anniversary was of interest across our institution and folks were willing to work collaboratively and productively to complete these complex tasks in a successful manner. Rutgers 250

Dear Members of the Governing Boards:

As you may know, Rutgers will be officially marking its 250th anniversary with a yearlong series of events beginning in November 2015 and extending to November 2016, under the theme, “Revolutionary for 250 Years.” With pride in our founding as the nation’s eighth oldest college and in the remarkable public research institution Rutgers has become, we are developing and implementing programs across the University, helped by a university wide planning committee and teams designated by each chancellor.

Even sooner, you will begin to see evidence of this significant anniversary. With input from the University Senate’s Student Affairs Committee and the Alumni Association board, we have updated our University Shield, first created for our 1966 bicentennial, with a simplified and much sleeker design. Rich in symbolism, the shield honors our founding as Queen’s College in 1766, our commitment to knowledge and scholarship, and our service to New Jersey. The new shield, shown above, will appear on pole banners, exterior markers, merchandise, and other University materials. You can learn more about the shield at rutgers.edu/about/rutgers- shield.

Two books are being released in recognition of the 250th anniversary. Professor Paul Clemens has written Rutgers since 1945: A History of the State University of New Jersey, which includes an essay on Rutgers architecture by Professor Carla Yanni. In addition, the University has produced Rutgers: A 250th Anniversary Portrait, a beautifully designed and illustrated coffee-table book filled with archival photos and essays written by Rutgers faculty, students, alumni, and administrators. Both books will be available later this summer at Rutgers University Press, at university bookstores, and through major online booksellers. The coming year will be an exciting period of celebration and pride for Rutgers. In fact, it has already begun. On May 31, our world-class Glee Club performed a special concert at the University of Utrecht in the Netherlands, from which our university’s formal seal and motto were derived. At the concert, senior vice president for academic affairs Barbara Lee and vice president for international and global affairs Joanna Regulska presented a plaque to the Utrecht president commemorating the historic bond between our universities as we approach our 250th anniversary.

Many units across the University are preparing materials for the coming year that embrace the anniversary—for example, the Byrne First-Year Student Seminars program is offering several 1-credit classes focused on the anniversary and uses a Rutgers 250 theme in its 2015–16 brochure. We encourage academic and administrative units, student groups, and alumni organizations to consider similar efforts with their programming and materials and have created Rutgers 250 graphics, templates, and web buttons that can be added to materials during the anniversary year. RUTGERS 250: SPONSORSHIP CONTRACT

This shall confirm the agreement reached by and between INSERT NAME OF SPONSOR (“Sponsor”) and Rutgers, The State University of New Jersey (“Rutgers”), for sponsorship of the Rutgers 250th Anniversary.

I. SPONSORSHIP BENEFIT ELEMENTS

ADVERTISEMENTS & RECOGNITION

ACCESS

INSERT SPONSOR BENEFITS FROM APPROPRIATE SPONSORSHIP PACKAGE.

II. SPONSORSHIP FEES

In consideration of all rights granted hereunder, Sponsor shall provide Rutgers a cash value of INSERT CONSIDERATION. Checks should be made payable to “Rutgers University.”

III. TERMINATION The University shall have the option to terminate this agreement upon written notice to Sponsor if it determines that continued affiliation with the Sponsor is inconsistent with the University’s mission and philosophy and/or adversely affects the reputation of the University. In case of such termination, Rutgers’ only obligation shall be to return to Sponsor the fee paid less any direct out-of-pocket expenses incurred by Rutgers prior to the date of termination.

IV. SUBSTITUTION

In the event Rutgers is unable to fulfill one or more sponsor benefits, Rutgers retains the rights to substitute a benefit of comparable value which shall be determined by Rutgers.

V. TRADEMARKS

All uses of Sponsor’s trademarks and logos by Rutgers are subject to prior written approval. Rutgers agrees to submit samples of all material using Sponsor’s trademarks and logos to Sponsor for its approval, and the Sponsor shall have up to five (5) business days to approve or disapprove such material, provided the submission deadline for artwork allows.

All uses of Rutgers trademarks and logos by Sponsor and/or its advertisers are subject to prior written approval. Sponsor agrees to submit samples of all material using Rutgers trademarks and logos, including material produced by advertisers, to Rutgers for approval, and Rutgers shall have up to five (5) business days to approve or disapprove such material. If Sponsor uses an ad agency or other organization to purchase, create, format, manage or produce its advertising, advertising opportunities, advertising placements or artwork associated with its advertising, Sponsor shall be responsible for payment of any fees or commissions due that agency or organization, and Rutgers shall have no such obligation.

VII. MISCELLANEOUS

Each party represents and warrants that it is free to enter into this Agreement without violating the rights of any person, that its trademarks do not infringe the trademarks or trade names of any person, and that it will comply with all laws and regulations pertinent to its business. Sponsor shall indemnify and hold Rutgers harmless from any liability arising out of the use of your products.

The parties shall indemnify, defend and hold the other party, its subsidiaries, and affiliates and each of their respective officers, directors, employees, agents, and contractors harmless from and against any an all claims, demands, losses, liabilities, costs, and expenses (including reasonable attorneys’ fees and court costs) of any kind or nature whatsoever arising out of or relating to the breach by such party of any of its representations, warranties or obligations hereunder; provided, that such claim, demand, loss, liability, cost or expense is not due to the negligence or willful misconduct of such party or any of the party’s employees, agents, servants or contractors or product liability with respect to the party’s products or services.

This Agreement does not constitute a partnership or joint venture or principal agent relationship between Rutgers and Sponsor. This Agreement may not be assigned by either party. It shall be governed by the laws of the State of New Jersey and any claim arising out of this agreement or its performance shall be filed in the state or federal court located in New Jersey. This agreement constitutes the entire agreement between the parties, and any modification or amendment must be in writing and signed by both parties. The signatories below acknowledge that they are authorized to execute this agreement.
