Configuring Entourage Web Services for Apple Macintosh Computers

Entourage Prior to configuring Entourage, review Microsoft’s Systems Requirements for Office 2008; the best source for this information is found at “Mactopia,” http://www.microsoft.com/mac/products/Office2008/system-requirements.mspx Web Services edition System Note that Office 2008, as well as Entourage Web Services (EWS), require only OS/X 10.4.9 or later, may run on either a Power PC G4 or G5, or Intel Processor, 512MB RAM, and 1GB or more of disk space. These rather minimal requirements may allow installation on older systems, but performance could be seriously diminished. Most importantly, RAM should be increased to at least 1GB in order for Office to properly function. Newer Macs, those purchased in recent years such as the iMacs, Mac Pros, or Mac Books exceed these minimums. Requirements:

Before You Installing Entourage Web Services Edition (EWS) requires that MS Office 2008 be installed, and that update be applied through MS Office 12.2.0. It is strongly suggested that all updates be applied prior to installing EWS. Presuming that MS Office 2008 is already installed, launch Entourage, click Help, and then select “Check for Updates.”

Begin EWS Installation: Update Office 2008

Microsoft AutoUpdate will continue checking for additional updates until no more updates are found.

You may check the version of MS Office by launching any one of the Office applications; for example, if you launch Word, then click Word on the menu, select About Word, you will find the installed version information, such as is shown below:

The “About Entourage” dialog box will show similar information for Entourage. Do not attempt to install EWS unless Office is Version 12.2.0 or, as shown here, Version 12.2.1, including the latest available update at the time this was written .

Download and Navigate the browser to Mactopia – Microsoft’s page for Macintosh software at http://www.microsoft.com/mac/downloads.mspx Install Select the English .dmg download package and click to download to the Macintosh.

Entourage Web Services Edition

Once downloaded, the Installer should start; follow the directions to install EWS.

Note: Entourage 2008 and Entourage Web Services Edition do not co-exist on the Mac; EWS replaces Entourage 2008.

Should EWS be installed on a system that has a prior Entourage 2008 account established, that account’s settings are not automatically transferred. When EWS is first launched, a dialog box will appear with options to transfer the account from the prior Entourage version; accept this option as it generally works to transfer the account data – , , address book, etc. However, Rules and other settings may need to be reconfigured.

For the remainder of instructions in this tutorial, it is presumed that a fresh, on-Administrative network account set-up needs to be performed. Launch EWS Click on the Entourage icon to launch Entourage Web Services; verify that the system is running the updated EWS version:

Note that Entourage is configured to work as a local client and is not yet configured for Exchange access; the “clue” is that the Entourage window shows “On My Computer” as the top-most folder in the navigation pane.

Set up the From the Menu Bar at the top of the screen, select Entourage, then select Account Settings… Exchange Account

This will open the Entourage Account Settings Dialog Box; to “Create a new account,” click the “New” button in the Accounts dialog box.

The initial data is entered into Entourage’s “Account Setup Assistant,” beginning with the client’s E-mail address: Entering the Exchange Account Data

Note: From this point in the tutorial through the end of the tutorial, the presumption is that the client is established on the District’s Administrative network; this requires that the system’s MAC address is known and entered into the Active Directory (AD) data base, and that the client’s user ID is also established in the AD data base. If this is not the case, then pause the configuration and ensure that these entries are made prior to continuing with the configuration. Click the Right Arrow at the bottom of this window to proceed with the client configuration. Entourage will attempt to verify the Exchange and AD settings for the named client account, as shown below:

Enter Account Once Entourage has performed the automatic account discovery, the client’s Account Information needs to be entered into the Dialog box now displayed: Information

Provide the client’s account information, select “Save password…” if it is the client’s own system but not if it is a “public” system.

Click OK to continue

Certificate An error message may appear, as shown below. It is the result of a server setting, and it should not cause a problem. Click OK to continue. Error

“Automatic Entourage should be able to verify the accuracy of the client account configuration and access to Exchange; if the data has been entered correctly, and the AD data base entries have been made, the following dialog box will appear:

Configuration Succeeded”

As indicated in the dialog box, click the right arrow to continue configuration.

Verify and When the right arrow is clicked, the Account Setup Assistant will display the following dialog box: Complete Settings

Note that there are several items that can be modified, but in most cases will be correct as displayed:

“Your name:” is the client account user’s name; by default it displays the AD account name, but it can be changed to display the user’s actual name. It is simply a data field used by Entourage.

“E-mail address:” is shown as provided during the account set-up process; most likely, it should remain unchanged.

The “Exchange server:” and “LDAP server” entries should be correct as the Account Setup Assistant via the client’s connection to the Exchange server discovered them automatically.

Click the right arrow to continue.

Optional: When the Account Setup Assistant continues, there will be an option to verify the settings. Although not absolutely required, and this step can be by-passed by again clicking the right arrow, it does not hurt to run the verification. Simply click the “Verify my Settings” button to start the verification. Verify Settings

A dialog box will appear, asking to verify this process; click Verify (or Skip, if that option is chosen).

When completed, the following dialog box will be displayed, confirming the account’s settings.

Click the right arrow in the Account Setup Assistant to continue.

Setup The Optional: Verify Settings action is the final step in the Account Setup Assistant’s process. When the right button is clicked following the step above, the “Setup Complete” dialog box will appear: Complete

To “Name” the Entourage folder that appears on the client’s desktop, modify the “Account name:” entry ; this can also be done via an alternate process, explained below. The check-box to “Add this new e-mail address to your “Me” contact has to do with Apple’s “Me.com” subscription (replacement for Mac.com); most likely, it will not apply to most clients, unless they are subscribers and wish to do this. The best suggestion is to “uncheck” this option, though it does not do anything if the client account does not also have a “Me” subscription.

Entourage When the client account has been established, the client account appears in the Entourage “Accounts” dialog box, as shown below. At this point, the account configuration has been completed, and this dialog box may be closed. To add a second account (not generally necessary on individual client systems, as they typically have one client account), simply repeat the process above by clicking the “New” button as before. Dialog Box

Modifying If Entourage client accounts need to be modified for any reason, open the Accounts dialog box from Entourage Preferences as before. – double-click the account in the Accounts dialog box. If you have just configured the Entourage Exchange client, you may wish to review and/or modify settings for the new account. Essentially, only two of the Edit Account settings tabs need attention: the Accounts Settings tab and the Advanced Tab Account Settings Edit Account The Account Settings tab contains data similar to the settings entered via the Account Setup Assistant. If the Account name was not entered, it may simply show “wvm” or something similar; the user’s name can be entered into this field, and it will name the Exchange folder in Entourage. Normally, the other settings should not be changed unless there is a technical reason to do so. Settings

When the OK button is clicked, the user’s Account name will appear as the account in Entourage, as shown below:

Edit Account: The data contained on this tab should be correct, presuming that the configuration was done via the Account Setup Assistant and correctly verified. Changes here are technical and need to be entered according to the way the network is configured and servers named. The LDAP server may be a different name than shown below; however, in any case, the LDAP server is not visible outside the District’s Administrative network. Therefore, this configuration, or similar, is valid only for on-network, office-based computers, not those connected at home or laptops connecting via the campus Advanced Tab wireless networks.

Accessing the When setup is complete, the account established for Exchange access via Entourage, the Entourage window will distinctly show the Exchange client account in it’s window, as shown in the following illustration. Note that there are now two main folders in Entourage: the “On My Computer” folder is a “local” folder, with content stored on and available only from the current system. Viewing Clicking on the arrow next to the client’s Exchange account will display the folder structure. Exchange It can be a bit confusing to new Entourage users (and new Outlook users as well, as this is a similar issue) to see two “Inbox” folders. The “Inbox” beneath the Exchange client account name (here – Unique Username) is located on the Exchange server, and the content of that folder is available from any computer that logs into the client’s account. The “Inbox” beneath “On My Computer” is the local store, not available except from this computer. Folders

Viewing To view the client’s E-mail from Exchange, simply click on the “Inbox;” E-mail should appear in the Inbox list, and individual messages may be viewed by clicking on the message, reading it in the Reading pane. Exchange E- mail

Address A common problem is knowing where to find the relevant information. When Entourage is set up to use Exchange, there are both “local” and “server-based” folders. One typical complaint is wondering where the client’s Address Book is located. In the screen illustrated below, the client’s LOCAL address book is being accessed. To verify this, look at the higher-level folder – in this example, it is the “On My Computer” folder, meaning this is the “Local” Address Book.

However, if the client looks down the Navigation pane to the Directory Services folder, clicking on the arrow to display that folder’s content, the Exchange server’s address book, called the Global Address List, (GAL), can be accessed. Note that, within the Directory Services folder is an entry showing the client’s name again; click this entry to display the GAL. Individual entries may be found using the Search feature – currently, the search is set to find an address by “Name starts with” and the criteria entered in the box that shows “Filter.” The search filter can be alternatively set to other options; select the arrow to show the list.

Calendar There are similarly two available through Entourage when an Exchange client is set up. Again, the Exchange-based calendar is located under the client’s Exchange account folder (“Unique Username” in this example), while the local “On My Computer” calendar is stored only on the current computer.

Exchange-based calendars can be set to be viewed by others, may have “delegates” assigned to assist in managing a client’s calendar entries, and so on.
