Introduction

Halcyon’s Document Management System GUI provides an easy way for multiple users to simultaneously access or handle indexed spooled files, assign sticky and line notes, apply print overlays and export data direct from an IBM i device without the need for specialist skills or training. All spooled files that are stored on an IBM i can be viewed securely and remotely through a web browser. Using the appropriate security organizations have the option to allow their customers to carry out their own searches. SQL Requirements and supported versions This version of Document Management Suite requires SQL in order to store the system details used by the GUI. The following SQL versions are supported:

l SQL Server 2005 - 32bit/64bit

l SQL Server 2008 - 32bit/64bit

l SQL Server 2012 - 32bit/64bit

l SQL Server 2014 - 32bit/64bit

Minimum Hardware and Software Requirements

The following are the minimum specifications required for the installation and use of the Document Management System GUI). System Requirements for Server Installation :  l Windows Server 2008 R2 or higher

Prerequisite Software

Microsoft .Net Framework (v4.6 or higher) In order to run Document Management System GUI Microsoft .Net Framework v4.6 or higher must be installed on the server onto which the installation is being implemented. This can be downloaded from: https://www.microsoft.com/en-gb/download/details.aspx?id=48130 WARNING!: Installation of Microsoft .NET Framework v4.6 requires a reboot of the server onto which it is installed. Note: See .NET Framework Requirements (for IIS7 and above) below for further configuration instructions that may need to be undertaken for your operating environment. Microsoft SQL (one of)

l SQL Server 2005 - 32bit/64bit

l SQL Server 2008 - 32bit/64bit

l SQL Server 2012 - 32bit/64bit

l SQL Server 2014 - 32bit/64bit Note: For existing SQL Installations: If Microsoft SQL is already installed on a different server, then that can be used as the destination database server. Use a minimum of Microsoft SQL Server 2008 R2 Native Client upwards. Adobe Acrobat To view exported reports from within the web interface you must have Adobe Acrobat Reader v8.0 or above installed. Microsoft Internet Information Services (IIS) A general installation of IIS (V6 or higher) is required. This is normally undertaken by your network administrator or in-house system configuration specialist. .NET Framework Requirements (for IIS 7 and above) If you are using , in order for the Web GUI to function correctly, specific .NET Framework settings must be enabled. To check, or amend the current settings on your system, do the following:

1. From Windows | Start select . 2. From within the Control Panel select Programs and Features (Add or Remove Programs). 3. From the left-hand navigation panel select ‘Turn Windows features on or off’. The Windows Features dialog box is displayed. 4. Scroll down to Net Framework and ensure .Net Framework 3.5 (includes .Net 2.0 and 3.0) and .Net Framework 4.6 Advanced Services are enabled as in the screen shot below.

IIS World Wide Web Services Requirements Specific IIS World Wide Web Services settings must also be enabled. To check, or amend the current settings on your system, do the following:

1. From Windows | Start select Control Panel. 2. From within the Control Panel select Programs and Features (Add or Remove Programs). 3. From the left-hand navigation panel select ‘Turn Windows features on or off’. The Windows Features dialog box is displayed . 4. Scroll down to Internet Information Services and expand the folder. 5. Expand the World Wide Web Services folder. 6. Expand the Application Development Features folder. 7. Ensure the following settings are enabled. Change if required: .NET Extensibility 3.5, .NET Extensibility 4.5, ASP.NET 3.5, ASP.NET 4.5, ISAPI Extensions, ISAPI Filters and Server- Side Includes.(see screen shot below).

8. Now expand the Common HTTPFeatures Folder and ensure the following settings are enabled. Change if required. Default Document, Directory Browsing, HTTP Errors, HTTP Redirection and Static Content (See screenshot below)

9. Click OK to save the settings.

Optional: IIS Web Management Tools Requirements Specific IIS Web Management Tools settings may also be enabled. To check, or amend the current settings on your system, do the following:

1. From Windows | Start select Control Panel 2. From within the Control Panel select Programs and Features (Add or Remove Programs) 3. From the left-hand navigation panel select ‘Turn Windows features on or off’. The Windows Features dialog box is displayed 4. Scroll down to Internet Information Services and expand the folder 5. Expand the Web Management Tools folder 6. Ensure the following settings are enabled. Change if required. ISS 6 Management Compatibility, IIS Management Console, IIS Management Scripts and Tools, IIS Management Service.

7. Click OK to confirm and save the settings

IISRESET After setting the Internet Information Services parameters and you must perform an IISRESET. To perform an IISRESET:

1. From Windows | Start open the Run dialog from where individual commands can be run. 2. In the Open parameter type IISRESET and click OK.

3. The Command dialog opens and automatically stops and restarts ISS.

Note: An IISRESET resets ALL sites hosted by the Server, not just the Document Management System GUI. Requirement when restarting Halcyon Monitors If you restart the Halcyon Monitors on the IBM i you MUST stop and start all Halcyon GUI websites as well. A restart may occur as a result of user intervention, such as ENDMON > STRMON or as part of an upgrade procedure. If the Halcyon Web Agents are ended, you must also stop the Web GUI website and restart it so new connections are initiated. Failure to do so results in the Web GUI generating an error rather than requesting a new connection between the IBM i and Windows to be opened. Note: This is not the same as an IISRESET. Please follow this procedure:

1. From the Windows button, select Control Panel | Administrative Tools. 2. Double-click Internet Information Services (IIS) Manager. 3. Expand the current computer settings and expand the Sites folder. 4. Right-click on Halcyon Document Management System. 5. Click Manage Web Site. 6. Click Stop. Note: The above procedure reflects Windows 7. Other versions of Windows may contain slight discrepancies from these instructions. 7. To restart the website, follow the previous instructions to step 6 and then click Start instead of stop.

System Requirements for Print Overlay Designer The following are required for use of the Print Overlay Designer component of the Document Management System GUI. Operating Systems (one of):  l Windows Server 2008

Adobe Acrobat To view exported reports from within the web interface you must have Adobe Acrobat Reader v8.0 or above installed. Printing Reports in Google Chrome Browser Google’s Chrome browser uses its own PDF viewer by default. This however, does not let you save pages as PDF files (as you can from within Internet Explorer or Firefox browsers for example). In order to disable this feature in Chrome and use the Acrobat PDF viewer by default type 'about:plugins' into the address bar, find the "Chrome PDF Viewer" and click "Disable." Then enable Adobe Acrobat viewer from within the same list. (You must have Adobe Acrobat Reader installed).

Installation Instructions Use the following installation instructions to install the Document Management System GUI. Note: Ensure that the system on which you are installing meets the Minimum Hardware and Software Requirements. 1. Download the latest version of the Spooled File Management Suite from the Halcyon website: www.helpsystems.com/halcyon. 2. Once the download has completed, run the executable file to begin the installation process.

3. You must now accept the terms of the End User license Agreement. Select ‘I accept the terms of the end user license agreement’ and click Next.

4. At the Welcome dialog click Next to continue.

5. On the Customer Information dialog, enter your User Name and Company Name details. Click Next.

6. On the Choose Destination Loca- tion dialog, click Next to accept the default location of %Program Files%\Halcyon or click Browse to navigate to and select an alternative directory path (not a compressed drive).

7. At the Setup Type dialog, select Typical from the three installation options listed and click Next.

8. Now select the database server to be used and the authentication method. For Typical installations use the pre-configured \Halcyon database server. Connect using standard Windows authentication.

For Custom SQL instances only: If you decide not to install the Halcyon SQL instance and select a Custom installation, you must enter the SQL Path and Authorization details as required. 9. Review your choices and click Next to continue if you are happy with your current selections. Other- wise, click Back and amend as necessary.

Note: At this point, you may see a message informing you of a pending reboot. Note that Halcyon products do not require a system reboot and this is a warning that one is pending (maybe for Windows updates or other application).

10. Click Yes to continue. The installation begins.

Once all the files have been extracted and copied to the selected destination folder, the installation is complete. Click Finish.

Opening the Browser Interface Overview

Open your preferred web browser (see "Web browser" on page 11 for compatible list) and in the address bar type: http://localhost:8080. (8080 being the port on which the Web Interface connects with the IBM i). The following screen is displayed:

Note: Should your system not connect you may need to change the port number within Internet Information Services (IIS) on which the connection is made. See below. Changing the IIS Port To change the IIS port settings on which the Document Management System GUI connects to the IBM i, use the following instructions:

1. From the Windows , select Control Panel | Administrative Tools. From the list of tools, double-click Internet Information Services (IIS) Manager. 2. In the Connections (left-hand navigation panel), identify the computer on which you are currently working. This is the local host device. Double-click on this device to expand the view to show Applic- ation Pools and Sites.

3. Expand the Sites folder and from the drop-down menu select Halcyon Document Management System. 4. From the Actions (right-hand navigation panel) display, select Bindings to display the Site Bindings dialog.

5. Click on the entry so that it is highlighted and click Edit. The Edit Site Binding dialog is displayed.

6. Change the Port setting to the new value, leaving all other settings the same. Click OK to save and close this dialog. 7. Click Close on the Site Bindings dialog. The Port value for the Document Management System GUI IIS setting has now been changed. Close all open windows.

Glossary

A Administration Area The Administration Area of Document Management System GUI is used to define and maintain levels of systems access, user definitions and devices from which archived spooled files can be retrieved.

Archived Spooled File A spooled file that has been saved to an online library so that it can be retreived at any time. Indexing is only possible with archived spooled files.

D Device An IBM i machine on which archived spooled files can be stored and accessed using a direct connection with the Document Management System GUI.

Document Management System Document Management System is an licensed, puchasable extension to Halcyon's Spooled product that adds indexing, the ability to add notes and use print overlays. The Document Management GUI is a web-browser interface that dir- ectly interacts with the IBM i environment. This allows users to work with spooled file information in a familiar interface without requiring the skillset needed to use the IBM i.

F Filter A method of applying criteria to a search in order to control the returned results when the search is activated.

H HTML Hypertext Markup Language. Used to create and read documents in a web browser.

I Indexes Allow you select a Report Type or Linked Index Group and enter specific details in order to retrieve all archived spooled files that match the criteria.

L Line Note A note, that can be applied to a single line within an archived spooled file, that provides more information regarding the line to which it is applied.

Linked Index Allows the grouping of Report Type and Indexes so that archived spooled files attrib- uted to multiple Report Types can be selected for simultaneous retrieval and viewing.

Links A bookmark to a specific page in an archived spooled file (Current) or to an external web or intranet page (Custom).

P PDF Portable Document Format. A file format used to present documents in a manner inde- pendent of application software, hardware, and operating system.

Print Overlay Used to control the appearance of the spooled file when exporting from the Document Management System GUI by applying a pre-defined format.

R Report Type The method by which a set of criteria are used to identify archived spooled files for the purposes of indexing.

Role The level of access granted to a user that enables or prevents them from using spe- cific functionality within Document Management System GUI.

RTF Rich Text Format. A text file format used primarily by Microsoft products, such as Word and Office. RTF is readable by most word processors.

S Sticky Note A note that can be applied to any point on the spooled file to provide more information about a specific item. Flexible application as it does not have to be applied to a single line as a line note does.

T Template A pre-defined selection of criteria that can be applied to restrict the return of archived spooled files displayed when the search option is used.

TXT Text file. A simple file structured as a sequence of lines of electronic text that can be read by basic computer programs such as .

U User A person (or group of ) that have a profile for accessing both IBM i and Docu- ment Management System GUI systems. Users can be assigned specific Roles and can be approved or prevented from accessing the Document Management System GUI.
