REHEARSAL AND PERFORMANCE POLICIES General Policies • On-call musicians must be available to attend a service until one hour prior to the start of that service. • For performance services, all musicians involved in any portion of the program must be present at the beginning of the performance service. • Turn off all cell phones while rehearsals and performances are in progress. • With the exception of health emergencies, musicians may not leave stage while rehearsals are in progress unless one does not play a particular work or movement. • Musicians may not leave the stage during the performance of a work. • For concerts, a musician may enter or exit the stage only once per half if not playing in any piece. • No instrument cases or other non-essential items, other than a small black purse for ladies, will be allowed on stage during a performance. • Warm-up on stage will be limited to soft, non-repetitive/continuous playing, especially for brass and percussion.

Guests at Rehearsals Guests are not permitted backstage, in the dressing room area, or in the rehearsal hall without prior permission from the Operations Manager. The Operations Manager must be notified a minimum of three days in advance of the proposed visit.

Children at Rehearsals At no time can a child be in Symphony Hall unless he or she is a performer in the rehearsal or is with a chaperoned group for an Open Rehearsal.

Guests at Performances With advance approval from the Operations Manager (minimum three days notice), guests are permitted backstage or in the dressing room area under the following circumstances: • Pre-concert, up to 15 minutes before start time. • During intermission or after the concert. • Additionally, orchestra members arriving with children may bring them through the backstage door and escort them directly to the lobby. Please note that guests are not permitted backstage during equipment moves.

Use of Rehearsal Room Orchestra members may use the rehearsal room for personal or group practice with advance approval from the Operations Manager (minimum three days notice).

REHEARSAL AND PERFORMANCE POLICIES (cont.) String Rotation The method of rotation used for strings is the “bicycle chain.” This means players move down the outside of the section (chair five to chair seven, chair seven to chair nine) and up the inside (chair eight to chair six, etc). The rotation period is 2 weeks. Rotation excludes titled chairs.

All non-contracted players will sit behind contracted players in the rotation. If an absence occurs, the contracted player farthest back in the rotation moves up to fill the empty seat. If additional absences occur (in different chairs), the current contracted player farthest back moves up. Unless you return to your original chair, you do not move up again. If the absence occurs for a titled chair, a titled player moves up and the last contract player fills the remaining titled chair. If the principal player is absent and there is no titled player available, the conductor shall choose a replacement (with the player’s consent).

If programs are repeated later in the season the rotation previously used for that program shall be used again. If a program is rehearsed earlier in the season, then the rotation for the week in which the performance occurs shall be used. Rosters are posted using the correct rotation for each program with move-ups that are known at the time of the preparation of the roster.

LIBRARY POLICY All musicians who take a folder from the Library must sign it out. There will be Folder Sign Out sheets attached to a clipboard that will be on the desk in the Symphony Hall library or in one of the music bins when we are outside of Symphony Hall. All players should sign out a folder by writing their initials or placing a check mark by their name on the appropriate form.

String Folders: Outside string players must take the folder of the stand to which they are assigned. Inside string players must take practice parts. Practice parts are made for inside players only and may not be taken by outside players. Musicians may not take the folder of a stand to which they are not assigned.

It is preferable that any requests for page turn fixes or other changes be made prior to the first rehearsal of a concert cycle.

Rosters and rehearsal orders will appear online at www.phoenixsymphony.org/rehearsal

MEDIA POLICY

All media representatives will be met and escorted by a member of The Phoenix Symphony administrative staff.

Due to the sporadic and spontaneous nature of media appearances, Marketing will not always be able to give advance notice of media presence to the orchestra and/or stage and house crew.

USE OF EQUIPMENT AND INSTRUMENTS OWNED BY THE PHOENIX SYMPHONY Operations staff must document any item removed from and returned to TPS storage. There is no charge to Symphony musicians for use. There is a charge for equipment used by any person or entity other than a Phoenix Symphony musician. Use of equipment and instruments must be arranged through the Operations Manager a minimum of two weeks in advance. PARKING For all Symphony Hall services, parking for musicians will be in the Cityscape Garage (enter off Washington or Jefferson Streets between 1st Ave. and Central). Please note: Due to downtown construction, access routes may vary.
