Skype for Business Instant Messaging and Presence IM&P is a that is offered as part of the core NHSmail services.

Skype for Business (IM&P) offers:

• Instant Messaging • Presence Management • Group Conversations via Instant Message • Integration with Calendars • Contact management across the NHSmail platform

Skype for Business (IM&P) can be used to collaborate with anyone who has an NHSmail account, they may be accessing via Skype for Business client or via a mobile device. The Outlook Web App IM&P integration is currently not available to users.

The Skype for Business Audio and Video Conferencing (A&VC) offering is anticipated to be available as a top-up service in Quarter 1 of 2017 (calendar year). Skype for Business Access Methods

• A number of organisations are currently live and piloting the Skype for Business IM&P features

• Approx. 50,000 users are live with a further 50,000 due in the current pilot phase

• Pilots of have helped identify a number of lessons relating to use cases of the product, deploying the desktop application and encouraging adoption

• As a result of feedback from the pilot, a decision was taken to disable browser access due to poor user feedback on the user experience and issues identified in the product.

• Lessons from the pilot sites is currently being built into guidance and top tips for other organisations looking to deploy Skype for Business Skype for Business Managed Enablement Plan

• Following pilot, we will begin Managed Enablement of all NHSmail accounts across the platform. This is anticipated to begin in January 2017.

• Enablement will commence on an organisation by organisation basis. Primary Local Administrators will be notified when your organisation is successfully enabled for Skype for Business.

• You will be responsible for notifying your users on when they can access Skype for Business. The timings of this will be dependant on your local plans for rolling out the desktop application across your organisation.

• In preparation for your organisation being enabled for Skype for Business, there are a number of actions that Local Administrators should ensure their local IT teams are aware of. Actions for Local Organisations

• NETWORK CONFIGURATION: To ensure you users are able to successfully connect to the Skype for Business service, you will need to ensure that the relevant IP addresses and ports are can be reached from your local networks. Your users will not be able to access Skype for Business if this is not completed. You should ensure you run full network configuration checks over each of your sites.

Skype for Business – Top Tips for Deployment

Conduct IT and “business” pilots prior to rolling out to your organisation to ensure technical readiness and identify the key use cases for your users to support change communications

Identify champion users within your departments to encourage adoption amongst their teams

Engage your communications teams early to support an adoption campaign focussed on providing users with top tips and facts on using Skype for Business. A templated pack for this will be available soon on the NHSmail Support Site. Communications

• No central user communications are planned to enable local organisations to adopt the service at their own rate. An communications template is available for pre-enablement communications, should you wish to customise this with any local .

• An end user Handbook has also been published on the NHSmail Support Site. This provides a full outline of the Skype for Business enablement and any current known issues that you may wish to share with your users.

• How you could encourage usage and adoption across your local organisation? Are their any newsletters, intranet sites, postcards that you could distribute to your users?

Cascade Skype for Business IM&P Training Support The NHSmail Skype for Business IM&P Learning Suite is available on the NHSmail Support Site. The materials can be used standalone or incorporated in to existing training programmes run within your organisation. These materials should support users in building their confidence in using the tools and encourage adoption in day-to-day workflows.

17 Audio & Video Conferencing (A&VC) Offering

• The Skype for Business Audio and Video Conferencing (A&VC) Top-up Service provides a user with the capability to use peer to peer audio and video capabilities as well as dial-in conferencing capabilities

• The top-ups that will be available will be in the NHSmail Additional Services Catalogue are: • Audio & Video Conferencing: ability to complete peer-to-peer audio/video calls and host conferences without telephone dial-in. • Dial-in Conferencing (PSTN integration): ability to provide dial-in capabilities via a telephone to a conferencing session. • Enhanced Skype for Business SAL (6RH-00002): Microsoft licensing for audio and video conferencing features.

• A proof of concept pilot with small group of organisations is running in parallel with the IM deployment, with an to validate a number of use cases, including: • Virtual meetings • Virtual clinical peer reviews • Virtual consultations

19 Skype for Business Use Cases Skype for Business can offer a logical starting point to streamlining operations and improving effectiveness through improved communication and collaboration within the NHS. The use cases below are not exhaustive and with the correct adoption, Skype for Business could really revolutionise the way both clinical and non-clinical staff work.

Instant Access to Expertise: Clinicians can improve productivity and patient safety by using Skype for Business as a tool to contact healthcare experts in real time from almost any device

Optimise Teaching: Enable real-time face to face coaching between senior and junior staff to increase knowledge bases and improve efficacy by reducing travel costs

Enhanced Discharge Co-ordination: Improve efficiency of discharge planning and process with better co-ordination between nurses, physicians and discharge coordinators
