Responsibilities Internal To secure a strong long-term future for in the Province by: - ❖ Inspiring, motivating and energising the membership to enjoy their freemasonry, contributing to the best of their ability at a level with which they are comfortable. ❖ Creating and communicating in a variety of ways, including via social media, a positive atmosphere about our future and our role in society. ❖ Creating and communicating a strong, clear vision for success. ❖ Setting objectives and goals which are measurable and monitorable which will demonstrate success in achieving the vision. ❖ Ensuring that aims and objectives are monitored and reviewed to demonstrate continuous improvement over the tenure of the office. To ensure the Executive and the senior leaders in the Province are capable and able to contribute to the leadership requirements by: - ❖ Carefully selecting the Executive and the senior team on the basis of ability and potential. ❖ Training, developing and coaching the Executive and the senior officers so that they can give of their best. ❖ Ensuring that there is a clear plan for succession at all levels, including ProvGM. ❖ Involving senior officers in the process of taking decisions about the running of the Province. ❖ To provide a visible, accessible and approachable presence within the Province. ❖ To ensure that the administration of the Province is appropriately resourced and delivers as efficiently as possible the support required to lodges and the Province in general. ❖ To act as the face of freemasonry in our communities; to be, or ensure that the right members of the Executive and the senior team are, the main sources of contact with media/press, civic dignitaries, attend civic occasions, liaise with the churches and other organisations.

Page 3 of 35 Version 1.3 10th September 2019 ❖ To ensure that you are satisfied with all arrangements regarding organisational structures for running the Province, securing professional advice, running Provincial charitable funds etc. ❖ To ensure that relations with the Royal Arch and other Orders are harmonious and mutually supportive. ❖ To ensure that proper financial management, accounting systems and internal controls are established within the Province. and that they are maintained and periodically examined to ensure the security and correct application of, and proper accounting for, all funds and investments under the control of Province and its lodges and chapters. ❖ To be the final decision maker on all matters including aspects of discipline (including recommendations to UGLE where appropriate), provincial appointments and recommendations for Grand ranks. ❖ To ensure a Province-wide awareness of the need for regular recruitment of suitable candidates and retention of members and to create a structured plan of action and guidance to achieve positive results. ❖ To encourage members of the Province to learn about and consider joining the at an appropriate stage in their masonic journey. ❖ To promote mentoring at all levels of membership with particular emphasis on developing every brother into a vital, valued and important part of his lodge, Province and Freemasonry more widely. ❖ To promote awareness of the importance of charity; to create a broad awareness of the Masonic Charity structure and procedures for applying for and securing aid where appropriate, and to ensure that all members understand the importance of vigilance in identifying potential cases of need. ❖ To report back to the Province on developments and the business of and Supreme Grand , together with changes to guidance, advice and the Book of Constitutions brought about by decisions reached by the Rulers, Board or Committee of General Purposes or Grand Lodge. External ❖ To ensure that the Provincial vision and objectives are consistent with UGLE’s strategy and plans for the future. ❖ To represent the Province at other neighbouring Provinces, significant masonic occasions and/or to ensure the Province is suitably represented. ❖ To attend UGLE quarterly communications, and annual investiture meetings. ❖ To contribute positively to any UGLE committees or working groups to which you may be invited.

Responsibilities ❖ To represent the Provincial Grand Master at specified Installation Meetings and to report upon same. ❖ To accompany the Provincial Grand Master at specified Installation Meetings. ❖ To attend upon the annual meeting of the Provincial Grand Lodge, the scheduled four provincial team visits and any special occasions (such as Centenary, Thanksgiving and Banner Dedication meetings) which may fall due during the tenure of office.

Responsibilities ❖ To attend upon the annual meeting of the Provincial Grand Lodge, the scheduled four provincial team visits and any special occasions (such as Centenary, Thanksgiving and Banner Dedication meetings) which may fall due during the tenure of office. ❖ To deliver an oration at special occasions (such as Centenary, Thanksgiving and Banner Dedication meetings). ❖ To attend on a ‘Chain’ as an Acting Provincial Grand Warden at Installation meetings and to liaise with the Provincial Deputy Grand Director of Ceremonies ‘on duty’.

Page 9 of 35 Version 1.3 10th September 2019 Provincial Grand Treasurer Role ❖ To assist the Provincial Grand Master with the execution of his duties. ❖ To be an effective role model for the Province by displaying high standards and leadership. ❖ To undertake the duties outlined in the procedures, guidelines and information for acting provincial officers. ❖ To be a member of the Provincial Grand Master’s Council ❖ To undertake such duties as may be determined from time to time by the Provincial Grand Master. Responsibilities ❖ To attend upon the annual meeting of the Provincial Grand Lodge, the scheduled four provincial team visits and any special occasions (such as Centenary, Thanksgiving and Banner Dedication meetings) which may fall due during the tenure of office. ❖ To attend on a ‘Chain’ as an Acting Provincial Grand Warden at Installation meetings and to liaise with the Provincial Deputy Grand Director of Ceremonies ‘on duty’. ❖ To maintain accurate books and records of the general accounts of the Province and any other funds placed under his direct control. ❖ To produce end of year accounts and balance sheets of same for submission to Provincial Grand Lodge. ❖ To produce budgets and projections to ensure that, by setting appropriate levels for dues and fees, the Province remains in good financial health. ❖ To maintain a watching brief over all other Provincial funds, not under his direct control, and reporting as necessary. ❖ To attend Provincial Executive Meetings, when required. ❖ To review all lodge accounts to ensure compliance with the Book of Constitutions and reporting as necessary on problem areas. ❖ To act as a point of reference for lodge treasurers (or any other lodge official who may be in control of lodge funds) providing advice/guidance as required. ❖ To act as a conduit between Province and lodges to ensure advice of, and compliance with, statutory or policy changes ❖ To undertake Rule 74 Book of Constitution investigations, and report accordingly, as directed. ❖ To ensure that appropriate insurance cover is in place on fixed assets and that personal cover and indemnities are kept up to date.

Responsibilities ❖ To ensure compliance with GDPR. ❖ To attend upon the annual meeting of the Provincial Grand Lodge, the scheduled four provincial team visits and any special occasions (such as Centenary, Thanksgiving and Banner Dedication meetings) which may fall due during the tenure of office. ❖ To attend on a ‘Chain’ as an Acting Provincial Grand Warden at Installation meetings and to liaise with the Provincial Deputy Grand Director of Ceremonies ‘on duty’. ❖ To attend Provincial Executive Meetings, when required.

Page 11 of 35 Version 1.3 10th September 2019 Provincial Grand Secretary Role ❖ To assist the Provincial Grand Master with the execution of his duties. ❖ To represent the Provincial Grand Master at specified Installation Meetings and to report upon same. ❖ To provide effective and efficient leadership and management of the Province. ❖ To be a member of the Executive. ❖ To be a member of the Provincial Grand Master’s Council. ❖ To provide external and internal representation of the Province. ❖ To undertake the executive functional leadership roles outlined in the Provincial Strategic Plan and to assist with its delivery with particular reference to the effective functioning of the Provincial Secretariat. ❖ To undertake such duties as may be determined from time to time by the Provincial Grand Master. Responsibilities Internal To secure a strong long-term future for Freemasonry in the Province by: - ❖ Inspiring, motivating and energising the membership to enjoy their freemasonry, contributing to the best of their ability at a level with which they are comfortable. ❖ Creating and communicating in a variety of ways, including via social media, a positive atmosphere about our future and our role in society. ❖ Creating and communicating a strong, clear vision for success. ❖ Ensuring that aims and objectives are monitored and reviewed to demonstrate continuous improvement over the tenure of the office. ❖ To train, develop and coach lodge secretaries so that they can give of their best. ❖ To provide a visible, accessible and approachable presence within the Province. ❖ To attend upon the annual meeting of the Provincial Grand Lodge, the scheduled four provincial team visits and any special occasions (such as Centenary, Thanksgiving and Banner Dedication meetings) which may fall due during the tenure of office. ❖ To attend on a ‘Chain’ as an Acting Provincial Grand Warden at Installation meetings and to liaise with the Provincial Deputy Grand Director of Ceremonies ‘on duty’. ❖ To ensure that the provincial office is appropriately manned and open for the benefit of the members whilst allowing sufficient flexibility for absence on other duties, that the administration of the Province is appropriately resourced and delivers as efficiently as possible the support required to lodges and the Province in general. ❖ To be the nominated data controller for the Province.

Page 13 of 35 Version 1.3 10th September 2019 Provincial Grand Director of Ceremonies Role ❖ To assist the Provincial Grand Master with the execution of his duties. ❖ To provide effective and efficient leadership and management of the Province. ❖ To be a member of the Executive. ❖ To undertake or oversee all Director of Ceremonies duties at provincial functions. ❖ To represent the Provincial Grand Master at selected Installation Meetings and to report upon same. ❖ To provide external and internal representation of the Province. ❖ To undertake the executive functional leadership roles outlined in the Provincial Strategic Plan and to assist with its delivery, particularly in respect of ritual and protocol. ❖ To undertake such duties as may be determined from time to time by the Provincial Grand Master. Responsibilities Internal To secure a strong long-term future for Freemasonry in the Province by: - ❖ Inspiring, motivating and energising the membership to enjoy their freemasonry, contributing to the best of their ability at a level with which they are comfortable. ❖ Creating and communicating in a variety of ways, including via social media, a positive atmosphere about our future and our role in society. ❖ Creating and communicating a strong, clear vision for success. ❖ Setting objectives and goals which are measurable and monitorable which will demonstrate success in achieving the vision. ❖ Ensuring that aims and objectives are monitored and reviewed to demonstrate continuous improvement over the tenure of the office. ❖ To ensure the senior leaders in the Province are capable and able to contribute to the leadership requirements by training, developing and coaching Deputy Directors of Ceremonies so that they can give of their best. ❖ To provide a visible, accessible and approachable presence within the Province. ❖ To be responsible for all protocols & ceremonial for the Province of Berkshire maintaining excellence and enjoyment in everything we do. ❖ To be responsible for Provincial Team Outings, Banner Dedications, Centenary & Anniversary Meetings, Consecrations, Provincial Grand Lodge and any special events. ❖ To oversee Acting Provincial Grand Deacons, Provincial ADC’s, Provincial Standard Bearers, Provincial Pursuivant & Provincial Tyler and their visit to Lodge LOI & to select a Coordinator.

Page 14 of 35 Version 1.3 10th September 2019 ❖ To update the Deputies Protocol manual. ❖ To arrange the Meeting, and hosting, the Deputy GDC’s Visitations Allocation of Escorts for the Provincial Chain Visitations throughout the Year. ❖ To maintain the yearly Provincial Visitations Table, and distributing any changes to the Provincial Executive, Deputy GDC’s, Provincial Wardens and the relevant lodge(s). ❖ To be involved with the Director of Ceremonies & Preceptors Course. ❖ To escort and/or arranging for a DepGDC Escort for the Provincial Grand Master on Personal visits to Lodges. ❖ To be available for ‘Open Days’ and other events arranged in the name of the PGL of Berkshire. ❖ To escort a new Chain on his first outing and also both Provincial Grand Wardens on their first outing as Representatives of the Provincial Grand Master. ❖ To provide specific guidance & instruction to new Provincial Grand Stewards at Provincial Grand Lodge. ❖ To update of Provincial Protocols & Procedures on ‘SharePoint’ ❖ To ensure that relations with the Royal Arch and other Orders are harmonious and mutually supportive. ❖ To encourage members of the Province to learn about and consider joining the Holy Royal Arch at an appropriate stage in their masonic journey. ❖ To promote mentoring at all levels of membership with particular emphasis on developing every brother/companion into a vital, valued and important part of his lodge, chapter, Province and Freemasonry more widely. ❖ To promote awareness of the importance of charity; to create a broad awareness of the Masonic Charity structure and procedures for applying for and securing aid where appropriate, and to ensure that all members understand the importance of vigilance in identifying potential cases of need. Page 16 of 35 Version 1.3 10th September 2019 Provincial Grand Superintendent of Works Role ❖ To assist the Provincial Grand Master and the Deputy Provincial Grand Master with the execution of their duties. ❖ To be an effective role model for the Province by displaying high standards and leadership. ❖ To advise the Deputy Provincial Grand Master in respect of matters relating to legal compliance, Health & Safety and the effective running of masonic buildings situated within the Province. ❖ To undertake the duties outlined in the procedures, guidelines and information for acting provincial officers. ❖ To undertake such duties as may be determined from time to time by the Provincial Grand Master. Responsibilities ❖ In compliance with UGLE guidelines to assist and advise the Deputy Provincial Grand Master in respect of matters relating to masonic buildings at which Berkshire masons attend meetings. ❖ To attend upon the annual meeting of the Provincial Grand Lodge, the scheduled four provincial team visits and any special occasions (such as Centenary, Thanksgiving and Banner Dedication meetings) which may fall due during the tenure of office. ❖ To attend on a ‘Chain’ as an Acting Provincial Grand Warden at Installation meetings and to liaise with the Provincial Deputy Grand Director of Ceremonies ‘on duty’.

Responsibilities ❖ To secure a strong long-term future for Freemasonry in the Province by inspiring, motivating and energising the membership to enjoy their freemasonry, contributing to the best of their ability at a level with which they are comfortable. ❖ To provide a visible, accessible and approachable presence within the Province. ❖ Under the direction of the Provincial Grand Director of Ceremonies, to be responsible for all Protocols & Ceremonial for the Province of Berkshire maintaining excellence and enjoyment in everything we do. ❖ To assist the Provincial Grand Director of Ceremonies in the discharge of his duties at Provincial Team Outings, Banner Dedications, Centenary & Anniversary Meetings, Consecrations, Provincial Grand Lodge and any special events. ❖ Under the direction of the Provincial Grand Director of Ceremonies, to be involved with the Director of Ceremonies & Preceptors Course. ❖ Under the direction of the Provincial Grand Director of Ceremonies, to escort the Provincial Grand Master on Personal visits to Lodges. ❖ Under the direction of the Provincial Grand Director of Ceremonies, to be available for ‘Open Days’ and other events arranged in the name of the Provincial Grand Lodge of Berkshire. ❖ To promote mentoring at all levels of membership with particular emphasis on developing every brother into a vital, valued and important part of his lodge, Province and Freemasonry more widely. ❖ To ensure that relations with the Royal Arch and other Orders are harmonious and mutually supportive. ❖ To encourage members of the Province to learn about and consider joining the Holy Royal Arch at an appropriate stage in their masonic journey. ❖ To attend upon the annual meeting of the Provincial Grand Lodge, the scheduled four provincial team visits and any special occasions (such as Centenary, Thanksgiving and Banner Dedication meetings) which may fall due during the tenure of office.

Page 18 of 35 Version 1.3 10th September 2019 Provincial Grand Almoner Role ❖ To assist the Provincial Grand Master with the execution of his duties. ❖ To be an effective role model for the Province by displaying high standards and leadership. ❖ To provide support, guidance and advice to all Lodge Almoners in the Province, as well as managing various petitions for assistance. ❖ To use his best endeavours to assist members of the Province and/or their dependants who are experiencing financial distress and to assist with the acquisition of medical treatment. ❖ To be a core member of the Provincial Care Team. ❖ To be a member of the Provincial Grand Master’s Council. ❖ To provide ex officio guidance and support to the Berkshire Masonic Charity. ❖ To undertake the duties outlined in the procedures, guidelines and information for acting provincial officers. ❖ To undertake such duties as may be determined from time to time by the Provincial Grand Master Responsibilities ❖ On a day to day basis to be involved with managing requests for help and communicating with the Masonic Charities. ❖ On behalf of the Province, to perform his duties as an elected member of the Masonic Charitable Foundation. ❖ To oversee the disbursement of funds as required. ❖ To attend upon the annual meeting of the Provincial Grand Lodge, the scheduled four provincial team visits and any special occasions (such as Centenary, Thanksgiving and Banner Dedication meetings) which may fall due during the tenure of office. ❖ To attend on a ‘Chain’ as an Acting Provincial Grand Warden at Installation meetings and to liaise with the Provincial Deputy Grand Director of Ceremonies ‘on duty’.

Responsibilities ❖ To support the Provincial Executive, Provincial Officers and Teams to communicate their objectives to the right audience whether it be internal or external by delivering the specific communications services commissioned by them. ❖ To develop and implement an annual communications plan that details the year’s activity to meet agreed objectives and deliver all communications activity within the agreed budget. ❖ To manage all aspects of print production, receipt and distribution. ❖ To achieve frequent, timely and positive media coverage across all available media. ❖ To manage the communication relationship with the Provincial Executive, Berkshire Freemasons, UGLE and external parties by proactively establishing and maintaining effective working team relationships and extending help, assistance and direct involvement. ❖ To chair and coordinate regular meetings of the Communications Committee. ❖ To work with the Provincial Marketing Officer to develop and implement a Province-wide plan to normalise Freemasonry within the public consciousness in Berkshire in accordance with the UGLE strategic recommendations and narrative, working with all groups, committees and Provincial Officers for its execution. ❖ To be the referral person for all questions on communications matters from all groups, committees and Provincial Officers. ❖ Where appropriate, to write draft speeches for other officers and review proposed speeches with the Executive to ensure consistency of communications message. ❖ To oversee the development and coordination of multimedia packages; letters, brochures, video, displays etc. for particular assignments as commissioned by the above.

Responsibilities ❖ To support the Provincial Executive, Provincial Officers and Teams to communicate a common message to all audiences, internal and external, with a consistent brand image that ‘Normalises Freemasonry within the Public Consciousness’ in accordance with the UGLE recommendations. ❖ To develop and implement brand guidelines that ‘Contextualise, Modernise and Normalise’ the image of Freemasonry as defined by UGLE for all those Officers and Teams to members and the general public. ❖ To deliver a brand toolkit to enable Provincial Officers and Teams to present a coherent and consistent image of Freemasonry across all communications activities in accordance within the UGLE strategic recommendations and narrative. ❖ To direct and coordinate the development and implementation of that consistent image of Freemasonry across all communications activities ensuring that any and all content follows the strategic recommendations and narrative defined by UGLE, and that no material is released that counters this. ❖ To proactively establish and maintain effective working team relationships with The Provincial Executive, Provincial Officers and Teams and to extend help, assistance and involvement to the Communications Team and other groups and committees within the Province to implement the brand guidelines and follow the strategic narrative. ❖ To work with the Provincial Communications Officer to develop and implement a Province- wide plan to normalise Freemasonry within the public consciousness in Berkshire, working with all groups, committees and Provincial Officers for its execution. ❖ To conduct market and membership research in order to identify requirements for current and future development of the public image of Freemasonry.
