2021 Afternoon Ski Sundown Program and Safety Agreement

Northwestern Regional Middle School and High School / NWR7

Dear Parents/Guardians,

Now that our cold weather is slowly returning we are looking forward to a fun ski/boarding season. We are continuing with our safety policies. We need Parents/Guardians to come into the ski lodge at or before 5:45 and sign their child out at the NWR7 table.

If your child has a season’s pass from Ski Sundown with your permission your child can sign themselves out at or before 5:45. You must signify that you give them permission to stay after all NWR7 chaperones leave.

Also, please review and sign our Northwestern Regional Emergency and Permission Form. We ask that you and your child carefully read together Section 4 of the Ski Sundown Program Agreement before signing all forms.

Included in the ski packet from Ski Sundown is the Weekly Group Information 2020/2021 information handout. Please read and discuss the information with your child.

Thank you for participating in our program. If you have any questions please contact me at [email protected]. Please note, at times it is hard to get cell service at Ski Sundown. Furthermore, we greatly appreciate your help with our safety forms. We always value the health, safety, and welfare of our students.

Sincerely,

Kathy Cady

Ski Sundown Policies for After School Groups and COVID-19 During the 2020-2021 Season

Ski Sundown will be following all CT recommendations at the time of opening for social distancing, sanitization, and capacity restrictions. The National Ski Area Association (NSAA) has worked to create guidelines for its members this season which can be viewed here. Also, the CT Ski Area Association, which includes all ski areas in Connecticut, is currently working together to create a more specific, unified COVID-19 plan. This plan, guided by the recommendations provided by the state of CT and NSAA, will form our COVID-19 policy.

Your cooperation is requested as we navigate this winter season together.

Arrival • Group Leaders/Chaperones may pick up their group signs and sign in at the desk. • Participants are instructed to leave their bags in cubbies or neatly under the group table. Unattended bags will not be allowed. • Participants should arrive dressed and ready to ski and head immediately out on the mountain or to rentals to get their equipment. • Participants should be prepared to spend that majority of their time outside. Any participant who feels they cannot stay outside should not participate this season. • One chaperone must remain at the table at all times. Chaperones may rotate, but no more than one at the table. Other chaperones must be outside.

• Chaperones may be at the bridge or deck to meet and direct any incoming students.

Capacity Restrictions Ski Sundown will follow state of CT recommendations for mountain and building capacities. Building access will be limited to use of the bathrooms or quick food purchases. The lodge will be restricted to group participants and customers. Lodge Hosts will be regulating capacity inside all buildings. The number of school group programs will be limited and spread out over the week. It is possible that we will close one or more days to new groups if we have reached capacity. If you have not yet selected your day and time, do so immediately. First come, first served.

Sanitization

Ski Sundown will have extra staff on this season to continually clean and disinfect all high touch areas and heavy traffic areas. The restrooms will have frequent routine cleanings and disinfection.

Social Distancing in high traffic areas, lift lines and buildings: Ski Sundown will have signage at the lifts, base area and inside all buildings reminding customers that 6 feet of distance is required between customers throughout the mountain, base areas and buildings. Also signage will instruct the wearing of face coverings at all times and frequent hand washing/sanitizing is recommended. Ski Sundown employees will also be instructed to ask customers to comply with signage instructions if they are not doing so.

Riding the lifts All lifts will be operational this year. To maintain physical distancing on our chairlifts and surface lifts, we will only be seating related parties (guests skiing or riding together), or two singles on opposite sides of a three-person lift. We will also accommodate for any guest who prefers to ride alone.

Rentals

We will be managing the number of people inside of the Rental Shop, in accordance with local regulations, and setting them up to allow for physical distancing and appropriate guest flow. Guests and employees will be required to wear face coverings, and for the portions of the process that require close interactions with our technicians, our employees will take additional precautions, including wearing eye protection and gloves. Equipment will be fully sanitized between each guest use.

CLOSURE Credits and Refunds

Quarantine at your school: In the event that your school is temporarily shut down due to quarantine and your group cannot attend, please do not come to Ski Sundown until you have completed your entire quarantine period. Your group will still be able to utilize the 4 hours lift access for each day that is missed and we will provide lesson and/or rental vouchers. The 4 hour lift access, lesson voucher and your rentals can be used any non-holiday weekday (not weekends) before the season ends.

Temporary Quarantine at Ski Sundown: In the event that Ski Sundown is temporarily closed due to quarantine and WE CANCEL your group, we will offer you a makeup date including lessons for the missed day. Alternatively, the participant may choose to come and ski on that 4 hour badge any non-holiday weekday, but lessons will not be available except on the designated makeup day. Ski Sundown is shut down before we open for the season: Refunds will be issued in the same form of payment.

Ski Sundown is shut down permanently after we open for the season: In the event that Ski Sundown is given a mandated shut down, prorated credits will be offered for any unused lift/lessons/rentals.

Weather related closing of Ski Sundown: In the event that Ski Sundown is temporarily closed due to weather and WE CANCEL your group, we will offer you a makeup date including lessons for the missed day.

Weather related closing of your school: In the event that your school is closed due to weather, notify us right away. We will offer you a makeup date including lessons for the missed day.

When we offer a makeup date to you, we do our best to accommodate your group on your same day and time. During the 2020/2021 season it is possible that we might have to accommodate you at a different day and time. We will work with you to reach a reasonable solution.

Medical Refunds will be issued as stated in our Program Protection Policy:

Ski Sundown will reimburse the cost of your school program on a prorated basis in the event of injury/sickness which prevents you from completing the program. Refund requests must be received prior to March 15, 2021. Injury or illness must be confirmed by letter from a licensed physician.

1. Requests must come through the group leader and include the request form and letter from the doctor stating that the child is unable to ski for the remainder of the program.

2. Requests received after March 15, 2021 will not be accepted.

Other facts • No lessons, rentals or lift access will be carried over to next season. • Lessons will be mixed with other groups as we have done in the past. • badges? Call ahead with any problems so that we can address them as contactless as possible. The more notice you give us will allow enough time to solve the issues. · Final day for add ons this season will be January 4, 2021. No students may enroll with lessons or rentals after this date. Lift only enrollment will be allowed with the late fee. • The mountain will be open to the public during school group sessions. • Ski Sundown employees will self-assess daily and temperatures will be taken.

This pandemic season will require more patience, kindness and compliance than ever before. Let’s all do our part to protect each other so that we can all enjoy this ski season!
