Conditions and procedures for orchestras and choirs to participate in Eurochestries festivals

Stage 1 - to acquaint and to accept the specifications of the festival in which the orchestra or the choir wishes to participate. Stage 2 - to make a request of participation with Eurochestries International festivals by using the means of the form "Application for the participation to a festival 2021" Stage 3 - After favourable opinion of the president of Eurochestries International festivals and the organizer of the festival, sign the contract of participation signed jointly by these , by paying the contribution to Eurochestries International festivals. No orchestra or choir will be authorized to participate in a festival without having followed this procedure: preliminary request to Eurochestries International, the signature of the contract of partnership by the three parts, payment of the contribution at the time of the signature of the contract.

 The registration of the orchestra/choir will be effective only after the payment of this contribution.

Conditions to participate in the Eurochestries festival Charente-Maritime 2021

These International Orchestras Meetings for Young people will be organized respecting the Charter of Eurochestries. The Charente Maritime Eurochestries Festival creates the “Eclats de cuivres” brass ensemble. It will be conducted by the French conductor Didier Descamps. Composed by trumpets, horns, tubas and percussions, it will participate in the festival as all the other orchestras and ensembles. 1) DATES The Eurochestries Festival Charente-Maritime will take place from 30 July to 12 August Dates for the "Eclats de cuivres" ensemble: from 29 July to 12 August. Arrival of the musicians : Thursday, July 29 th , in the morning Departure of the musicians : Thursday, August 12nd , at 9 a.m. 2) DISPLACEMENTS Transport charges for the round trip from the country of origin to the town of Jonzac (Charente- Maritime / France) are paid by every ensemble. Transport during the festival to the concert venues and activities organised by the festival is provided by the festival. Transportation for additional tourism requested by the musicians will be at their own expense.

3) THE STAY (Accommodation and Meal) They will be taken care of by the Eurochestries in Charente-Maritime from 29 July (in the morning) until August 12, after breakfast. The instrumentalists will be accommodated in the dormitory of the Lycée Jean Hyppolite Place St. Exupéry 17500 Jonzac Rooms with 3 beds. Showers, washbasins and toilets on the landing.

It is not necessary to bring bed sheets and blankets, only personal toiletries.

Charente-Maritime 3 4) THE MUSICIAN Age: Musicians have to be between 15 and 25 years old. Information required: first name and last name, instrument played, date of birth, as well as allergy or specific diet .

5) CONCERTS and MUSICAL PROGRAM

Musicians commit to come with their scores learnt. (these will be sent to them beforehand) A first rehearsal will take place on Thursday 29 July p.m. - Opening concerts : Saturday 31 July and Sunday 1 August in Jonzac. The “Eclats de cuivres” brass ensemble will appear with one or two pieces. Duration of the performance: 10 minutes.

- During the festival , every ensemble will give several concerts , with their own program. Every concert has to contain two parts of 40 minutes with an interval . Concerts will be organized between the 2nd and 8th August 2021 .

One hour rehearsals on the stage of the concert will be organized.

Musicians can be called to play in chamber music and to participate in musical entertainment during the festival. Feel free to bring music sheets!!

- Final international concerts: Tuesday 10 th August in Jonzac – Wednesday 11 th August in Pons The closing concert of the Festival is the originality and strength of the Festivals. A large orchestra will be formed, bringing together all the musicians present. This group has the particularity of bringing together different nationalities and cultures. Every morning will be dedicated to the international rehearsals to prepare the closing concerts.

6) INSTRUMENTS AND MUSIC STANDS Every musician has to come with all the necessary material : instruments, music stands and music sheets.

7) INSURANCE Every musician will have to cover itself with an insurance against the deterioration and the theft . The festival for itself takes out an insurance policy for civil liability for the damages caused by their actions.

8) COMMUNITY LIFE - Participants agree to respect the rules of community life , in particular the internal regulation of the secondary school, as well as the schedule of the activities of Eurochestries Festival. - Respect sleep of others: to keep silent in and outside the premises. - It is forbidden to smoke and to transport alcohol inside the secondary school and within the place of accommodation. The failure to respect these regulations can lead to severe sanctions against the musicians. Any recognized deterioration caused by the musician will be charged to him. In a spirit of exchanges and life in common, the musicians can be asked to help punctually.

Charente-Maritime 4 9) MEMBERSHIP The musicians wishing to participate in the Eurochestries festivals have to release a membership contribution of 70€ to Eurochestries International. This contribution must be paid with the registration . The registration will be effective in the payment of this contribution. This contribution is not refundable in case of withdrawal. For information, the stay of a musician, singer or other, costs the organizer 620€.

10) MISCELLANEOUS - The Festival reserves the right to cancel until June 1, 2021, if health conditions related to COVID-19 or funding do not allow its realization. In case of cancellation of the festival by the organisers, the fees paid by the participants will be refunded. No other costs incurred (transport, etc.) will be refunded by the festival or Eurochestries International. - Eurochestries festivals are secular and apolitical places, promoting the mixing of cultures and the values of peace between peoples. Musicians commit themselves to participate fully in the festival to which they subscribe through their orchestra or choir. No religious, political or personal conviction will allow them not to follow or to adapt their participation to the activities planned by the festival. Therefore, the musicians undertake to play the entire repertoire proposed by the organisers and to take part in all the rehearsals and concerts planned as part of the festival. - Each musician gives his or her permission to be photographed, filmed, or recorded and broadcast on any media, without claiming any remuneration - Parents and visitors of musicians during the festival are not allowed to eat with the musicians at the school or at the concert venues, unless they request it at least 3 days in advance, paying the "outside" rate communicated by the festival, and subject to availability. - Parents and visitors of musicians during the festival must pay for their concert tickets like any other spectator. If they wish to attend more than one concert of the ensemble, they can contact the festival organizer to plan their visit and study the possibilities of reduced rates.

11) Documents to be supplied: The orchestra/choir will supply: -the completed registration form - The registration, by cheque or bank transfer - A nice photo (high quality) - The musician will notify to the organizer before June if he has a specific diet or allergy, and other important health information to know. - Copy of the civil liability insurance certificate.
